We have added fields that exist in your current standard work instructions but were missing from Dive SOPs. We also provide functionality to identify which SOPs need to be updated when parts or materials change, and to request revisions with assignments and deadlines.
1. Document Number, Items Used, and Standard Time Added to SOPs
We compared standard work instructions from manufacturing, maintenance, and food service customers. Although industries differ, the format is the same across all of them. These three fields were missing from Dive SOPs. All plan levels can use this feature.
- Document number — Your reference number for management. Enter it as-is in the basic information for the SOP. If an SOP with the same number already exists, you receive a notification.
- Items used — Register by type, name, part number, and quantity. Tools, materials, consumables, protective equipment, and other items used in the task appear on the SOP cover.
- Standard time — The baseline value for each step. The total appears in the basic information.
●Your team defines the type labels
The "type" field for items used (tools, materials, protective equipment, etc.) can be edited by your team in the Dictionary / Templates screen. You can also import from industry presets. Only missing items are added, so you can import multiple times without creating duplicates.
●Where these fields appear
- Player — Shows the total document number, items used, and standard time on the start screen and Step list. The duration in seconds for each step also appears.
- SOP list and cards — Display document number and items used.
- Search — Search by document number (exact match) and by name and part number of items used. Document number uses exact match only to avoid picking up different parts from partial part number matches.
- Output — Include in PDF, Word, Excel, and custom format output. Output options let you choose whether to include each field.
●Values are retained per version
These three fields are retained for each version of the SOP. When you output a past version, you see that version's values. You can track what changed between revisions. This prevents substantive content changes that bypass approval.
●About standard time
Standard time is a human-set baseline value. Video length is used only as an "initial value suggestion" and does not change automatically when you replace the video. If the baseline changes every time you reshoot, it loses its value as a basis for work hours. Values change as a batch only when you press "Match all steps to their video length."
The total is the sum of only the steps with values entered. Even if you enter values for only some steps, the total does not disappear. The player displays this total alongside the count of steps that have values set.
2. AI Extracts Items Used from Videos and Materials
When you use video AI analysis or create SOPs from existing materials, you can now choose to extract items used. AI identifies tools and materials used during the work and lists them on the SOP cover.
You can use extraction when inserting videos or materials into existing SOPs, not just when creating new ones. Insertion adds steps, so items used on the cover are appended, not replaced. Items with both the same name and part number are considered duplicates and are not added. The existing order is preserved.
3. Find Revisions — Identify Affected SOPs and Request Updates
When parts or materials change, you may not know which SOPs need updating. We have added "Find revisions" to the Creation Plan screen. Creation Plan is available with Pro plan and above.
●How to search
Enter what changed (part name, part number, material name, tool name, document number, etc.) and press "Find". A list of affected SOPs appears. If there are multiple items, separate them with line breaks or commas.
Results show where the match occurred. Matches to values registered for items used or document number appear first, followed by matches in the text of the steps. The step numbers are displayed. You can also use the same filtering as the SOP search screen.
●Request revisions directly
Select an SOP from the list and press "Send the request" to batch-request revisions with revision details, assignment, deadline, and revision reason. Requests appear in the assignee's "My assignments." When you publish the target SOP, the request closes automatically. The target SOP and matched places are automatically recorded for each request.
The revision reason you select here becomes the default when the assignee publishes. If you have mapped an approval workflow to the revision reason, that workflow is also selected (taking precedence over team defaults; the person creating the request can still change it).
●Additional improvements
- The Creation Plan list now shows who assigned a task and when.
- If someone outside your group is assigned to an item, you cannot change the assignment (you cannot reassign it yourself). The display remains with a "(Outside your group)" label.
- Reminder emails for deadlines now use wording specific to revision requests.
4. Search from Change Points — Identify SOPs to Revise by Comparing Excel Records at Two Points in Time
If you have an Excel spreadsheet documenting changes (such as a parts change log or drawing revision log), you can now compare it at two points in time, extract changed values, and pass them directly to "Find revisions" (section 3 above). Use "Search by change" from the Find revisions screen.
●How to use
- Register a record. You can use a local Excel file (.xlsx / .xlsm) or a file on Teams, SharePoint, or OneDrive.
- Add time points. If you specify a Microsoft 365 file, you can later press "Import the latest source file" to add new time points (no addition if content has not changed).
- Select two time points to compare. Rows that were changed, added, or deleted appear.
- Check the box for words generated from those rows and search for SOPs directly.
●Track changes even as rows are added
Records grow over time. If you simply compare the same row positions, adding one row causes everything after it to appear as "changed." Dive matches rows first, then compares cells, so "only the torque value changed" appears as a single change. Specifying a key column (such as part number) for your record makes matching more accurate.
5. Standard Time Auto-populated When Creating SOPs from Work Analysis Video
When you create an SOP from a model video assembled in Work Analysis (Time Analysis), the initial value for standard time is now automatically filled in for each step. Standard time uses the times confirmed for element work in the work analysis.
- If you divide steps to match element work, the time in seconds is filled in as-is.
- If you combine steps, the total time is filled in.
- Cut sections do not become steps, so they are not counted.
Auto-fill works whether you create from the materials page, create new from the new creation modal "Create from video," or add a video to an existing SOP. Auto-fill applies only at creation; afterward, replacing or re-splitting the video does not update standard time.
Impact on Existing Customers
SOPs you have already created continue to work as-is. Document number, items used, and standard time start blank. You fill in values only for SOPs that need them. No settings changes are required on your part.
