This feature lets you register the questions (pass/fail judgment, multiple choice, numeric range, etc.) you set on an SOP as templates, and apply them to multiple steps at once. Work that used to mean setting up similar inspection questions again and again can be finished by selecting one template.
Question templates are available on the Pro plan or higher.
When to use this
- When you run inspection sheets or checklists and want to set a pass/fail judgment of "No issues / Needs repair" on many steps
- You want to reuse questions with standard values, such as a numeric range check (for example, pressure 0.8 to 1.2 MPa), across several steps
- You want to standardize questions with the same choices and correct answer (for example, "Done" / "Not performed" → Done) and keep them as a template
- You want to replace unusual questions in SOPs you made earlier with the team standard question set all at once
Create a question template
- In the sidebar, open [Dictionary / Templates]
- At the top, switch to the [Templates] tab
- Click [New template]
- Enter the following
- Template name (for example: Pass/fail standard / Pressure check 0.8 to 1.2 MPa)
- Question type: Multiple choice / Numeric range / Multiple choice with pass/fail judgment, etc.
- Question text (the wording shown to staff on site)
- Choices / correct answer / pass/fail judgment settings
- When you click [Save], the template is shared with the entire team.
You can edit or delete the templates you created from the template list. If you later update the questions in a template, the changes apply to future applications (SOPs that already had the template applied are not changed).
Apply a template to a single step
In the SOP editor, open the target step and click [Choose from template] in the question settings section. When you pick a template from the list, the questions of that step are replaced with the template's content (you can also add the template's questions to a step that has none).
Apply a template to multiple steps in bulk
If you want to add the same template to all 10 places in this SOP at once, use the bulk edit modal.
- Open the target SOP in edit mode
- At the top right, click the [Other] menu → [Bulk edit]
- At the top of the modal, switch to the [Questions] tab
- In the action switch, select [Use template]
- From the dropdown, select the question template you want to apply
- Turn on the checkboxes for the steps you want to apply it to (all are selected by default, and you can also use the filter search)
- Click [Apply template to N selected]
This applies the questions of the selected template to all the target steps. You can also add questions from the template to steps that have no questions set, so you can add questions all at once to SOPs you plan to turn into inspection sheets.
Frequently asked questions
Q. Can I use this on the Free / Lite / Core plans?
A. This feature is available on the Pro plan or higher. If you open the bulk edit modal on a lower plan, a prompt to trial a higher plan (CTA) appears when you run the [Use template] action.
Q. If I update a template, is it automatically reflected in SOPs where I applied it before?
A. No, it is not reflected. A template is brought into a step as a "snapshot as of the time it was applied," so even if you edit the template later, the content of existing SOPs does not change. (This design prevents unintended bulk changes.) If you want to reflect the change, apply the template in bulk again.
Q. When I replace questions with a template, what happens to the original questions?
A. The questions (question type / question text / choices / correct answer / pass/fail judgment) of the selected step are replaced with the template content. Other elements, such as the step text, title, and video, are not affected. For steps with no questions, the template's questions are added.
Q. Where do I manage the team's templates?
A. It is the [Templates] tab on the [Dictionary / Templates] page in the sidebar. It is gathered on the same page as the Pronunciation Dictionary, Terminology Glossary, Tags, and so on.
