After making video SOPs, more customers have asked us to manage their existing SOPs and documents in one place in Dive, and to be freed from the workload of skill management based on them. In this release, we have strengthened three points to meet these requests.
First, we greatly expanded "File-based SOP," which lets you register the SOPs you already have made in Word, Excel, PowerPoint, or PDF as they are, and then revise and translate them. We also rebuilt search, so you can find items by reading, by team dictionaries, and by meaning. The text inside File-based SOPs is searchable too. In Skill Map, we added importing levels from your current skill matrix (Excel), exporting the details of evaluation dates and evaluators, and managing re-checks after an SOP revision with a deadline.
①You can now register, revise, and translate existing SOPs as they are (File-based SOP)
We changed the name of SOPs that show Word, Excel, PowerPoint, and PDF files in their original layout, without splitting them into steps, to "File-based SOP." You can use folders, viewing permissions, approval and revision, and viewing records in the same way as other SOPs. In this release, you can now do everything from registration to revision and translation while keeping the files as they are.
●You can register files as they are from "Register existing SOPs" when creating a new SOP
The "Create from file" option under the "+" in the sidebar has been changed to "Register existing SOPs." On the screen that opens, drag a file onto it or click to select one, and a draft is created for each file.
- You can select several files at once. If you select one file, its draft opens right away. If you select two or more, you will see a list of the drafts created, and the files that could not be created along with the reason
- You can also register files stored in "Teams / SharePoint" or "Google Drive"
- Because files are registered without going through materials, they do not appear in the materials list. AI is not used, so it does not count toward your AI processing usage
- For Word, Excel, and PowerPoint, a PDF for display is created when you register the file, and it is shown on the screen as it is. The title is the file name, and the cover is the first page
- When you use a file in your materials, or when you use AI to split a file into steps for a Dive SOP, choose it from "Choose from materials" on the same screen. PDF and Office files that have not been through AI processing can also be selected. Choose "File as is," the first option under the import methods, to make a File-based SOP. ("Whole file as 1 step," "1 step per slide," and "Select slides" can be used only with files that have finished AI processing.)
●You can replace the file directly on the SOP edit screen
We rebuilt "File-based SOP settings" in the "Basic information" tab of the SOP edit screen. Before, you had to upload a file again as a material and select it again every time you made a change. Now, you can replace the draft's file directly with "Replace." The new file can be taken from "Upload from computer," "Teams / SharePoint," "Google Drive," or "Choose from materials."
- Even after you replace a file, the file of the previous Rev is kept. On the edit screen, open "View revision history," and you can take out the original file of each Rev with "Download the file for this Rev" on that Rev's row (this follows the download permission settings)
- For Excel (xlsx and xlsm), you can choose how the display PDF is made under "Conversion method": "Print settings," "Fit width to 1 page," or "1 sheet = 1 page." Use these when a wide table is split across many pages on the screen
●You can edit and save files directly in Office on Windows (Edit on desktop)
Click "Edit on desktop" in "File-based SOP settings," and the file opens in Word, Excel, or PowerPoint on your computer. When you save in Office (Ctrl+S), the file of the Dive draft is updated as it is. You do not need to download the file, edit it, and upload it again.
- This works for SOPs that use Word, Excel, or PowerPoint files on a Windows computer
- Only the person who created the draft can edit it. You cannot edit it while it is in approval
- If "Enable Editing" appears at the top of Office, click it
- While you are editing, "Editing on desktop" is shown on the SOP edit screen. On the screens of other people who can edit this SOP, the name of the person who is editing is shown
- When you close Office, the display PDF is created again
●You can translate and view File-based SOPs and step PDFs
When you open a File-based SOP and choose a language from the translate button at the top of the screen, Word, Excel, PowerPoint, and PDF files are machine translated while keeping their layout, and the translated file is shown. The language screen is the same "Language settings" as the player for other SOPs.
- The original file is not changed. While you view the translation, "Machine translation (language)" is shown, and you can go back to the original with "Show original"
- The translation you made can also be used by other people who view this SOP. The language you chose is kept on your device, and the next time you open the file, it is shown in that language
- If you have registered a glossary, its translated terms are used. While you view the translation, the SOP name is also shown in the language you chose, and when you download it, you get the translated file
- People who view files on smart glasses or through an external share URL can also choose a language. If you choose a language in advance (preload), the translated file can be viewed offline too
- You can translate files up to 20 MB, PDFs with text up to 300 pages, and scanned PDFs up to 20 pages
We also made the PDFs shown in the steps of Dive SOPs translate and display in the same way. When you choose a language in the player, the PDFs are shown in that language's translation, along with the step text, subtitles, and read-aloud.
- PDFs are translated in order, starting with the step you are viewing and the next two steps. While a translation is being made, the original is shown with "Translating to (language)." When it is ready, it switches to the translation
- At the bottom left of the PDF, "Show original" switches to the original, and "View machine translation" switches to the translation
- If you choose a translation language in advance (preload), the translations of step PDFs are also made and loaded, so you can view them offline
●Other changes
- You can now search the text of File-based SOPs (see ② below)
- File-based SOPs now also appear in "Viewing history" on the home screen and in the sidebar (this includes SOPs you opened on or after April 25, 2026)
- On smartphones, the bar at the top when you open a file now uses larger text to make it easier to read. This applies to all screens that show files, such as File-based SOPs and attached files
- File-based SOPs you have opened once are kept on your device, so you can open them offline. (This does not apply to teams that do not keep viewing data on devices, or to PDFs larger than 50 MB.)
- In the folder list, the tag icon on a File-based SOP now shows the type of the original file (Word, Excel, PowerPoint, or PDF)
●Availability
Registering and replacing File-based SOPs is available on all plans. Registration from "Teams / SharePoint" and "Google Drive" follows the plan and team settings that allow each integration. "Edit on desktop" and file translation (including translation of step PDFs) are available on the Pro and Enterprise plans. For details, see Register existing SOPs as files (File-based SOP), Edit File-based SOPs directly in Office on Windows (Edit on desktop), and View File-based SOPs and step PDFs in translation (machine translation).
②Search has been rebuilt, so you can find SOPs by reading, team dictionaries, and meaning. You can also search the text in files
We rebuilt search in the search box and strengthened "fuzzy search," which finds items even when the words do not match exactly.
●What we strengthened in fuzzy search
- You can search by reading. For example, "tenken" finds the SOP for "Inspection," and "shimetsuke" finds the SOP for "Tightening." Words that are read the same but mean different things (for example, the Japanese words for "abnormal" and "or higher") are not matched
- It uses your team's dictionaries. It also matches the readings in the read-aloud dictionary, the alternative wordings in the "Notation Unification Dictionary," and the terms in each language in the glossary (for example, the Vietnamese "bu lông" finds the SOP for "bolt")
- Allowing for typos is applied only when the letters line up within a range close to the length of the word. This reduces matches made from letters scattered across a long text (for example, a search for "torque wrench" does not match text where "torque," "crane," and "wrench" are far apart)
- Words that match fewer SOPs count for more in the ranking (for example, searching "work calibration" puts SOPs that contain "calibration" at the top)
- The "Did you mean" suggestions that appear when nothing matches are now made from SOP names, step names, items used, and tags, and they also use how similar the readings are
- When fewer than 20 SOPs match by word, SOPs with a similar meaning are added below under "Similar meaning"
●You can also search the text of File-based SOPs
Text inside File-based SOPs (PDF, Word, Excel, and PowerPoint) is now included in search. Matching pages are shown, and tapping one opens the SOP on that page. In the filters, "Match location" includes "File text," and "Feature" includes "File-based SOP." "AI search" also uses the places matched in the file text as clues when it searches.
Scanned PDFs without text cannot be searched by their text. (You can still find them by SOP name and other details.)
●Availability
Available on all plans. For details, see Full-text search.
③We expanded the import of skill matrices, added the export of evaluation details, and added deadlines for re-checks after SOP revisions
In Skill Map, you can now import levels from your current skill matrix (Excel). We also added a sheet of evaluation dates and evaluators, listed in rows, to the skill matrix Excel file. We added deadlines to re-checks after a skill's related SOPs are revised, so you can record when they are done.
●You can import levels from the skill matrix (Excel) you use now
We expanded the tables that "Other" → "Import levels" in Skill Map can read. Until now, only files exported with "Export to Excel," with half-width numbers 1 to 4 filled in, could be read.
- Tables with people in rows and skills in columns can be read. The header row has a "Name" or "Email" column and columns for skill names. Two-row headers (process and category on top, skill names below) can also be read. Columns such as furigana, employee number, No., department, position, and total are skipped. If a workbook has a cover sheet or instruction sheet first, the tool looks for the sheet that has the table and reads that one
- For symbols such as ○, △, and ×, after the file is read, you can choose which level each value becomes, or "Do not import." For a table with numbers outside the 1 to 4 range, such as a 5-level table, choose how to map the values, including the numbers
- If you enter "Evaluation date and evaluator for this table" (optional), they are saved as the evaluation date and evaluator of the levels you import. If you leave them blank, the date and the person who did the import are used
- Rows whose email address is not a member, and rows that match the same person more than once (for example, people with the same name), are not imported, so that they are not recorded under the wrong person. You can check the rows that could not be imported on the screen after the file is read
- "Import levels" is now available from the Core plan (until now, it was for the Pro and Enterprise plans). Only the Owner, Team Administrators, and Group Administrators can use it
●We added an "Evaluation details" sheet to the skill matrix Excel
We added an "Evaluation details" sheet to the Excel file exported from "Other" → "Export to Excel" in Skill Map, and to the Excel file taken out of a skill matrix you saved with "Store." For each member and skill, one row lists the level, evaluation date, evaluator, source (manual entry, auto evaluation, Excel import, or bulk change), and basis (comment). The name of the person who exported the file is also shown at the top of the table. Available on the Pro and Enterprise plans.
●You can manage re-checks after SOP revisions with deadlines
When you revise an SOP related to a skill, people who completed the previous version to the end, but have not yet completed the new version, are marked "Not performed since revision." In this release, we added deadlines to these re-checks, and you can now record when they are done.
- Deadline: In Skill Map, set the number of days, counted from the day after publication, in "Deadline for re-check after revision" on the "Auto evaluation" tab under "Common settings." (At first, there is no deadline.) Once the deadline passes, the mark turns red and "Expired" is shown. The number of days is fixed by the settings at the time each revision is published. Changing it later does not change the deadlines of revisions that have already been published
- Follow-up by people: If someone is retrained through a reading session or OJT, a trainer or administrator can record "Done." If no re-check is needed, for example because the person is no longer in charge, they can record "Excluded from re-check," with a comment. The entry point is "Re-check follow-up," which is found in the trainee list, in skill details, and in SOP viewing records. If the person completes the new version to the end, the mark disappears even without a record
- Revisions that do not need a re-check: For a revision that does not change the content, such as a typo fix, you can select "Do not require re-check for this revision (typo fixes, etc.)" on the approval request or publish screen. Even after publishing, an administrator can set it to "No re-check needed" from "View revision history"
- Re-check records: From "Re-check records" in SOP viewing records, you can export to Excel, for each person who completed the previous version, whether the re-check is done (new version completed, or follow-up recorded) and whether it has expired (available on the Pro and Enterprise plans)
- In the trainee list, the "Needs re-check" count also shows how many are past the deadline, as "of which expired"
- Deadline notice emails: If you turn on "Send deadline notifications by email" on the "Auto evaluation" tab, then around 8:00 every morning, people who have not yet completed the re-check are notified 3 days before the deadline, 1 day before, and on the day after the deadline. On the day after the deadline, the trainers for that skill also receive one combined email. (It is off at first.)
●Availability
Skill Map (including Import levels and re-checks after revision) is available on the Core, Pro, and Enterprise plans. Export to Excel, Store, and export of re-check records are available on the Pro and Enterprise plans. For details, see Move your existing skill matrix (Excel) to Dive, Automatically update skill levels from course completion, certifications, and SOP results, and Manage re-checks after SOP revisions (deadlines, follow-up records, no re-check needed, and record export).
●Other changes
- We fixed an issue where the "Needs re-check" mark and the "Viewing records" button were not shown in skill details opened from a personal page (since October 9)
④Other improvements and bug fixes
●Creating SOPs
- We fixed an issue where, when an SOP was made from a material in which video sections had been merged into one by hand with text added, the AI split the sections again and the merged section could be overwritten
●Deleting SOPs and the trash
- SOPs in the trash can be opened to check their content, but they can no longer be revised, sent for approval, or published. To use one again, restore it from the trash. This was done because the number of SOPs shown in a folder and their contents sometimes did not match
- When you restore an SOP from the trash, if a draft you were working on remains, that draft is carried over during the restore
- A folder that contains SOPs with drafts in progress, or with versions in approval flow, can no longer be deleted. The list shows which version of which SOP is involved
●SOP viewing records
- In "Completion records," answers to the same question are now shown in the same column, even after you edit a published version directly (the same rule now applies to all versions and to specific versions)
Impact on existing customers
There are no changes to saved data or settings. Please check the following points.
- The name of these SOPs has been changed to "File-based SOP." Registered SOPs can still be used as they are. The team setting "Download of file-based SOPs" has also been renamed, and the setting carries over as it is
- Until now, you used "Create from file" to split a file into steps with AI and make an SOP. This is now done from "Choose from materials" under "Register existing SOPs"
- Deadlines for re-checks after revision are not set until you decide the number of days. When you set the number of days for the first time, deadlines counted from each publication date are also applied to revisions that were already published (those already past the deadline are marked "Expired")
- Search result order and the SOPs that match may change from before because of the improvements to fuzzy search
- Apps for smartphones and tablets (iOS and Android 5.0.8 or later) and apps for smart glasses (DynaEdge, Vuzix, MiRZA, XREAL, and RealWear 2.1.4 or later) must be updated from October 14. For details, see Notice of the required app update scheduled for October 14, 2026
