For paid plans (Lite / Core / Pro / Enterprise), you can complete your subscription in the Dive interface—from issuing an estimate through placing an order. After subscribing, you can upgrade your plan, add accounts, configure your next renewal settings, and cancel all from the screen. This page outlines the flow for subscription, billing, renewal, and cancellation.
New paid plan subscription flow
- (If you haven't already) Register for the Free plan.
- Log in to Dive, then select the profile icon in the top right corner and open "Subscription, estimates & orders".
- In the "Contract information" tab, under "Plan", click "Change subscription" then "Purchase plan". The estimate and order screen will open.
- Enter your plan, number of additional accounts, contract period, and customer information (company name, postal code, address), then click "Issue estimate". The estimate (PDF) will be downloaded immediately and added to the "Estimate list".
- Open "Order from an existing estimate" and select "Order" (Owner only) from the row of the target estimate.
- Specify the service start date, agree to the Terms of Use, and proceed with "Proceed to the confirmation screen" → "Place order with this information".
- We will process the license application based on your order and send you a completion confirmation email (an invoice will be sent separately).
- You can use the paid Dive plan from the license start date.
※ Owner / Team Admin can issue estimates. Owner only can place orders.
※ If your total is 600 accounts or more, you will receive a custom quote. Use the "Issue request" option in the form, and our Customer Success team will propose the optimal plan and terms.
※ Teams subscribed via a reseller cannot place estimates or orders from this screen. Please contact your reseller.

Upgrade plan / add accounts
While on a paid plan, you can upgrade to a higher plan or add accounts at any time, even in the middle of your contract period.
- Select the profile icon in the top right corner and open "Subscription, estimates & orders".
- In the "Contract information" tab, under "Plan", click "Change subscription" then "Upgrade plan / add accounts".
- Enter the start date (today to within 30 days; default is today), the new plan, and the number of additional accounts. The screen will display the estimate result for the difference (calculated on a daily basis).
- Click "Apply with this information" to confirm and apply immediately. If you need a record of the estimate, you can obtain an estimate (PDF) by clicking "Issue estimate".
Key points for upgrading and adding accounts:
- The upgrade is reflected immediately from the start date. No back-and-forth purchase orders are needed—it is complete when you click "Apply with this information".
- The difference is calculated on a daily basis for the remaining days of your current contract period and billed in a lump sum. See Can I change my plan mid-contract on a paid subscription? for calculation method and case studies.
- Your current contract period and next renewal date do not change (the new plan applies for the remaining contract period).
- To downgrade your plan, reduce accounts, change your contract period, or cancel, you must do so via "Next renewal plan settings" at the next renewal date, not mid-contract (see "About next renewal" below).
Billing
An invoice is issued when the license application is complete and when an upgrade or account addition is applied. Payment terms are as follows:
- Invoices close at the end of the invoicing month and are due at the end of the following month. The entire contract period cost is paid in a lump sum.
- The invoice is issued when your order (procedure) is received. Even if you specify a future date as the service start date (the date the license actually applies), the invoice is issued without waiting for that date.
- Bank transfer (transfer fees are the responsibility of the customer). Bank details are as follows:

About next renewal (auto-renewal and next renewal plan settings)
Your subscription automatically renews under the same terms. To change your next renewal (downgrade your plan, reduce accounts, change your contract period, or cancel), use "Next renewal plan settings". Your next renewal details are finalized 30 days before the subscription end date (the day before the renewal date).
- Select the profile icon in the top right corner and open "Subscription, estimates & orders".
- In the "Contract information" tab, under "Plan", click "Change" next to "Next renewal plan".
- Select "Continue with the current plan (auto-renewal)" / "Downgrade plan" / "Change contract period" / "Cancel (switch to Free plan at next renewal)" and click "Configure".
- Your settings will take effect at your next subscription renewal date. You can continue using your current plan until then.
- Configure your next renewal details by 30 days before the subscription end date. After this 30-day mark, the details are finalized. Until then, you can change or cancel as many times as you wish.
- Upgrades and account additions are not done through this setting; use "Upgrade plan / add accounts" above to proceed at any time.
- Auto-renewal occurs based on the finalized details at the 30-day mark (continuing with the current plan if there are no changes), and an invoice based on the renewal details will be sent.
Downgrade and cancellation
- If you select "Cancel (switch to Free plan at next renewal)" in "Next renewal plan settings", you will automatically switch to the Free plan at your next renewal date. Your created SOPs will remain viewable. If your account count exceeds the Free plan limit (3 accounts), the excess accounts will be disabled and unable to log in (not deleted). If you upgrade to a higher plan, you can restore disabled accounts from the "Disabled" section on the User management page. Before the switch, you will be notified by email to the contact person registered in your contract information and by a warning on the User management page.
- If you downgrade to a lower paid plan (such as Pro to Lite) or reduce the number of accounts in your renewal, accounts exceeding the new plan's limit (Free 3 / Lite 10 / Core 25 / Pro 50 / Enterprise 100) will be disabled in the same way. Additionally, since guest invitations are a separate allowance of up to 3 times the account limit, all guests will be disabled if you switch to the Free or Lite plan, which do not include guest invitations. - If you wish to cancel your Dive subscription entirely (including data deletion) rather than switch to the Free plan, contact your sales representative or Customer Success (customer-success@episotech.com) by email. All data will be deleted after your subscription ends.
