This feature lets you attach existing manuals (work standards, drawings, checklists, reference materials, etc.) to an SOP as "Related files," and use AI to extract "Tasks to do," "Work tips," "Quality warning," and "Important safety information" from those documents and apply them to each step. Use this when you want to bring know-how you already have in paper or PDF form into your video SOPs.
What are related files
Files that you can attach and store with an SOP. You can classify them by choosing their role.
- Work standard
- Drawing
- Checklist
- Reference
- Other
- Attachment only (when keeping it outside of AI extraction)
You can also set each related file to "Hide from viewers" (to keep internal documents separate).
How to use
1. Add related files
- In the SOP editing screen, open the "Basic information" tab and open the "Related files" panel
- Click "Add related file" to upload PDFs, images, or other documents
- Select the file's Role (Work standard / Drawing / Checklist / Reference / Other / Attachment only)
- If you don't want to show it to viewers, turn on "Hide from viewers"
2. Run AI extraction
- Set the role of the related file you want to extract from to something other than "Attachment only," and click "AI Extract"
- AI analyzes the document and extracts content that falls into each category: "Tasks to do," "Work tips," "Quality warning," and "Important safety information"
When extraction is complete, a confirmation modal opens.
3. Review extraction results and apply to steps
- Extraction results are displayed for each step. You can also change the target step (assignment) and adjust categories in this screen
- Check the items you want to apply (you can also use "Use all" or "Deselect all" for batch operations)
- Click "Apply selected items" to confirm and apply to each step
Tips for success
- PDFs with selectable text (PDFs that contain text information) extract with higher accuracy than PDFs that are just scanned images
- Selecting the correct Role for related files helps AI extract based on context
- Extraction results can all be reviewed before applying, so you can try with confidence. Uncheck items that don't match your intent before applying
