We are pleased to inform you of changes to how we handle Account limit during plan downgrades.
Key Changes
We will automatically disable accounts that exceed the limit when your plan is downgraded
Previously, we informed you that "even after the end of a paid contract and transition to the Free plan, you can continue to use accounts exceeding the limit." Going forward, at the time your plan changes, we will automatically disable accounts exceeding the limit to align your contract with your actual usage. As described above, disabling is not deletion—accounts can be restored if you upgrade to a higher plan.
When accounts are disabled, account information, Group Affiliation, permissions, viewing history, and created SOPs remain completely as-is. If you upgrade to a higher plan, you can restore them directly from the User management page without re-inviting them or recreating accounts (Restore disabled users).

When and Which Accounts Are Subject to Disabling
●Evaluation Timing
- Trial expiration (when returning to your contracted plan)
- Contract cancellation (when switching to Free plan)
- Downgrade to a lower plan (e.g., Pro to Lite) or contract renewal (including renewals that reduce the Number of accounts)
If your current Number of accounts does not exceed the limit, nothing will happen. Upgrades to higher plans or adding seats are not subject to this as they only increase the limit.
●How the Limit is Counted
- Account limits are Free 3 / Lite 10 / Core 25 / Pro 50 / Enterprise 100 (purchased additional seats and bonuses are added)
- Inviting accounts (those not yet accepted) count as 1 person because we reserve the Number of accounts when the invitation is sent
- Guest invitations are counted separately from the Number of accounts (up to 3 times the Number of accounts). Free and Lite plans do not have Guest invitations, so all Guests become eligible for disabling if switching to these plans
●Order of Disabling
- Inviting accounts (not yet accepted)
- Accounts that have never logged in
- Accounts with the oldest last login
- If the limit is still exceeded, Owner accounts (in order of oldest last login)
We follow this order to ensure that active users are not interrupted first. Owner accounts are disabled last, but will become eligible if no other adjustable accounts exist (however, at least one Owner will always remain). Team Administrators will be disabled after other roles under the same conditions.
When a disabled user logs in, they will see: "The Account limit of your contract has been reached. Your account is currently unavailable. Please request your team administrator to add seats." A record of the action will be kept in Contract information and Audit log.
You will be notified before the change takes effect
To ensure you are aware before any accounts are disabled, we have added advance notification.
- Email: We will send emails 7 days and 1 day before trial expiration, and 30 days and 7 days before plan downgrades or cancellations to the contact person registered in your Contract information. The email will include how many accounts will be over the limit and the names of those expected to be disabled. We will also send a list of actually disabled accounts after implementation.
- On-screen: A warning will be displayed at the top of the User management page (in the sidebar: "User management"). Owners and Team Administrators will see this warning. The Number of accounts and Guest invitations will be displayed separately so you can see which to adjust
If you remove unnecessary accounts or unaccepted invitations from the User management page before the change takes effect, automatic disabling will not occur. If everyone continues to use accounts as-is, you can request an upgrade to a higher plan or add seats from the Contract information page.
What You Need To Do
- Teams using within the Number of accounts of your contract will see no changes. There are no changes related to viewing, playing, or creating SOPs
- Users who previously could not log in due to the trial restriction will be able to log in as-is from August 10
