What is the Terminology Glossary?
This is a feature that lets you register in advance specialized terms used within your company—such as product names, equipment names, and process names (in-house terminology and official notation). The content you register is shared across the entire team and is used in the following two scenarios:
- ① Prioritizing terminology during AI-powered SOP creation (video and PDF analysis): When the system auto-generates SOPs from videos or PDFs, it prioritizes recognizing your registered terms and reflects them in the manual using the official notation and in-house terminology. Unique product names and hard-to-hear company jargon are also properly formatted in the generated SOPs. When you add "description (pronunciation and meaning)" to a term, the recognition accuracy improves further.
- ② Prioritizing translation equivalents during multilingual viewing: When SOPs are viewed in multiple languages, the system prioritizes the translation equivalents you preset for each language. This is ideal when you want to say, "Machine translation is convenient, but I want product names and company terms to be translated appropriately."
Note: Scenario ① uses the Japanese terms you register and their explanations; scenario ② uses the equivalent translations in each language. Depending on your needs, you can register terms in Japanese only or include multilingual equivalents.
How to Configure
You can configure this from the "Terminology Glossary" tab on the page opened from "Dictionary / Templates".
Bulk Import via Excel or CSV
When you want to register or update a large number of terms, you can import Excel or CSV files from the Bulk import button. If your company maintains a multilingual translation table internally, you can upload it directly and apply it.
- Click Bulk import in the top right of the "Terminology Glossary" tab
- Click Excel template in the top right to download the template. If you already have registered terms, they will be pre-filled in the download, so you can edit and re-upload as needed
- Enter the translation equivalents for your terms in the template, or place language headers in the first row (Japanese / English / Chinese… or
ja/en/zhCN… and other language codes) and prepare your own CSV or Excel file with equivalents in each row - Drag and drop the file, or paste the contents
- A differential preview appears, and you can check the contents in added / updated / skipped / error categories
- If everything looks good, click Register N items to confirm
- Supported file formats: CSV, TSV, Excel (.xlsx / .xlsm). Character encoding is auto-detected as UTF-8 or Shift-JIS
- Japanese (reference column) is required. Other language columns can be left blank (blank languages are excluded from registration)
- You can add languages not included in the template as columns (only codes supported by Dive)
- Terms with the same content as existing ones are automatically skipped
- After registration, it takes 1 to 2 minutes for changes to take effect in actual translations
- Even when users at the Group Administrator level or below perform bulk import, approval requests are sent to the Owner/Team Administrator as proposals, just like normal additions
Translate Blank Cells in Bulk
You can fill in empty cells with machine-translated terms all at once. Click "Translate blanks", select the range, and execute.
- Language currently displayed — targets only the language currently shown in the table
- All languages — targets all supported languages
- Choose a language — specify target languages individually
Translation results are entered only into the table you're editing and are not saved automatically. Check the content before saving. If there are many items, the process may take time, and you can stop it midway. Even if you stop, the content filled in up to that point remains in the table.
Cells that already have translations are not overwritten. Only Team Administrators and above can execute this.
Language for Newly Created SOPs
You can set a default language for SOPs you create going forward. This is the baseline language for translation and text-to-speech features. Set this when your entire team creates SOPs in a local language, such as at overseas offices.
SOPs that have already been created are not affected. You can change the setting for individual SOPs from the "Playback & display settings" in "Basic information" on the SOP editing screen. Only Team Administrators and above can configure this.
Default Behavior
Behavior varies depending on user permissions. Note that changes can be made from the Owner Functions.
For Owner/Team Administrator
Settings are applied immediately.
For Group Administrator and below (excluding Guest)
Changes are submitted as proposals and are not applied immediately. Approval requests are sent to the Owner/Team Administrator, and they are applied once approved.
