Tag feature is a function to classify, search, and visualize SOPs and folders by attaching team-common markers (tags). You register unified vocabulary once—such as "Important," "In progress," or "For new model A"—and then simply select and apply (free entry is not allowed, so notation variations don't occur).
Tags are available in all plans. Tag vocabulary additions and edits are performed by Team Administrators and above, while attaching tags to SOPs and folders can be done by users with edit rights.
Register tag vocabulary (Team Administrator and above)
First, register the tag vocabulary your team will use.
- Open [Dictionary / Templates] in the sidebar
- Select the [Tag] tab at the top
- Click [Add tag] in the upper right to add a row
- Configure the following
- Tag name: for example "Important," "In progress," "For new model A," etc.
- Color: select the background color with the color picker (optional). You can use the same recommended color palette as the Shapes editor
- Bold (emphasis): when turned ON, the tag displays in bold in lists and chips, increasing emphasis
- Sort order: drag to reorder (reflected in the order of candidates in the assignment UI)
- Click [Save] in the upper right
- Tag vocabulary additions, edits, deletions, and saves can only be performed by Team Administrators and above
- Other roles can view registered tags (and also select them in the assignment UI)
- Tag names cannot be duplicated within the team (an error occurs at save time)
Add tags to SOPs
Attach from the Basic information tab (while editing)
- Open the SOP you want to tag in the edit screen
- Open the [Basic information] tab
- In the "Tag" field, you can make multiple selections from the team-common vocabulary
- When selected, it is reflected immediately (no revision needed)
Attach from the "…" menu in the list (attach without opening)
This is convenient when you want to add tags to an SOP from the Procedure list in a folder without opening it.
- Open the [⋯ (Other)] menu in the upper right of the SOP card / row in the folder screen
- Click [Set tag]
- A modal opens; select from the team-common vocabulary (reflected immediately)
Add tags to folders
You can attach tags to folders using the same method. Select [Set tag] from the [⋯] menu in the upper right of the Folder list, or attach them from the folder settings screen.
- Tags attached to a folder can be used to search and classify the folder itself
- When you specify folder tags as Filter conditions in SOP search, you can search only the SOPs under that folder (see "Filter by search" below for details)
Filter by search
Tags can also be used to filter searches.
- In the advanced filter of SOP search, specify SOP tags to narrow down to only SOPs with that tag
- You can also specify folder tags at the same time. When you filter by folder tag, only SOPs under folders with that tag become search targets
- For details on behavior when multiple tags are specified and other details, see the advanced filter explanation
Who can attach tags
- SOP tags: people who can edit the SOP (Initiator, users with edit rights)
- Folder tags: people who can edit the folder (Administrators, Group Administrators, etc.)
- People without assignment rights see tags as display only (read-only)
Tips for effective use
- Start with minimal vocabulary: beginning with 3–5 operational axes (for example: "Important," "In progress," "By model") prevents confusion
- Use bold only for the most critical: limiting bold + deep color to items like "Important" or "Urgent" that you want to stand out at a glance is effective
- Separate colors by operational axis: using different color hues for status (in progress / completed) and classification (by model / by process) makes meaning readable in lists
- Folder tags × SOP tags: attaching broad categories to folders and fine categories to SOPs lets you filter by "this process × status" in search
