Dive's [Dictionary / Templates] page has five tabs: Pronunciation Dictionary, Terminology Glossary (team-specific terms prioritized in AI analysis and translation), Notation Unification Dictionary (this article), Templates (question templates, etc.), and Tags. This article explains how to use the "Notation Unification Dictionary" tab.
This is a dictionary feature that lets you register rules such as "when this word appears, replace it with this word" to standardize text variations across your team. You can share replacement rules like "モーター → モータ" or "外径φ → 外径 φ" across the entire team and apply them to AI analysis results and SOP editing. The Notation Unification Dictionary is available on the Pro plan and above. Registered replacement rules are automatically applied to the final text in AI analysis and can be applied in bulk through button operations in SOP editing.
What is the Notation Unification Dictionary?
A dictionary for applying pre-registered "Source → Replacement" pairs to text within your team. You can standardize words that tend to vary in your company—such as product names, model numbers, unit notation, and formal vs. casual language—with a single rule registration. Settings are shared across the entire team.
Setup
You can set it up from the [Notation Unification Dictionary] tab on the page you open from [Dictionary / Templates] in the sidebar.
Add a new rule
- Click [Add to dictionary]
- Select [Language]
- Enter the varying text in [Source (when this word appears)] (example: モーター)
- Enter the standardized text in [Replacement (replace with this word)] (example: モータ)
- If needed, enter the registration reason in [Comment]
- Click [Save]
Bulk import with Excel / CSV
When you want to register or update a large number of rules, you can import them from Excel or CSV files using the [Bulk import] button. This is useful when migrating from other tools or when you want to use terminology tables already managed within your company.
- Click the [Bulk import] button in the top right of the [Notation Unification Dictionary] tab
- Click [Excel template] in the top right to download the template. If there are already registered rules, they will be downloaded pre-filled, so you can edit and re-upload them as is
- Drag and drop the template (or your own CSV / Excel with columns "Source / Replacement / Language (Optional)"), or paste the contents
- A difference preview appears, allowing you to confirm content in four categories: Add / Update / Skip / Error
- If there are no issues, click [Register N items] to confirm
- Supported file formats: CSV, TSV, Excel (.xlsx / .xlsm). Character encoding is auto-detected between UTF-8 and Shift-JIS
- Language column: If omitted, it will be registered as Japanese (ja)
- Rules with the same content as existing ones are automatically skipped
- Rows where source and replacement are the same result in an error (not registered)
- When a Group Administrator or lower-level user performs bulk import, a request approval notification is sent to the Owner / Team Admin, just like a normal addition
Edit or delete rules
For registered rules, you can change the content using the edit button on the list, or delete them using the delete button.
Differences by user permission
The dictionary operation method varies depending on user permissions.
Owner / Team Administrator
Added, edited, or deleted content is reflected immediately. You can also approve or reject proposals.
Group Administrator and below (excluding Guest)
Additions are made as proposals through the [Suggest replacement rule] form and are not reflected immediately. A request approval notification is sent to the Owner / Team Admin, and the dictionary is updated once approved.
Proposers can view the status of their proposals (Pending approval / Approved / Rejected) in a list.
Approve or reject proposals (for Owner / Team Administrator)
- Open the proposal list at the top of the [Notation Unification Dictionary] tab
- Click [Approve] on the proposal you want to approve (you can also edit the content before approving if needed)
- To reject, click [Reject] and enter the rejection reason (optional)
You can also approve or reject multiple proposals together.
Where rules are applied
Registered replacement rules are used in the following two places.
AI analysis results (automatic application)
Dictionary rules are automatically applied to AI analysis results of videos (scene descriptions, transcripts, etc.). Even if you update the dictionary later, the latest rules are applied during re-analysis or reload. The replacement text is displayed on the AI analysis confirmation screen.
SOP editing (bulk application)
When you want to apply dictionary rules in bulk while editing an SOP, follow these steps.
- Open [Bulk replace text] from the [Other] menu in the top right of the SOP editing screen
- Click the [Apply notation unification dictionary] button in the modal
- Rules with match counts are listed (all selected by default)
- Uncheck any rules you don't want to apply
- Click [Apply]
