What is the Terminology Glossary
This is a feature to register product names, equipment names, process names, and other specialized terminology (company-specific names and formal notations) in advance. The registered content is shared across the entire team and is used in the following two scenarios.
- ① Prioritize notation in AI-powered SOP creation (video and PDF analysis): When auto-generating SOPs from videos or PDFs, the AI prioritizes recognizing registered terms and reflects them with proper notation and company-specific names in the manual. Even unique product names and company terminology that is hard to hear are turned into SOPs with correct notation. Adding "description (pronunciation and meaning)" to terms further improves recognition accuracy.
- ② Prioritize translations in auto-translation when viewing: When viewing SOPs in multiple languages, pre-set translations for each language are prioritized in translation. This is perfect when you want to say "auto-translation is convenient, but I want product names and company terminology translated appropriately."
※ ① uses the registered Japanese terminology and its descriptions, while ② uses translations in each language. Depending on the purpose, you can register Japanese only or register with multilingual translations.
How to set up
You can configure this from the "Terminology Glossary" tab on the page opened from "Dictionary / Templates".
Bulk import with Excel / CSV
When you want to register or update a large number of terms, you can import them from an Excel / CSV file using the "Bulk import" button. If you manage a multilingual translation table in-house, you can upload it directly and have it applied.
- Click "Bulk import" at the top right of the "Terminology Glossary" tab
- Click the "Excel template" at the top right to Download the template. If there are already registered terms, they will be filled in when downloaded, so you can edit and re-upload as is
- Enter term translations in the template, or prepare your own CSV / Excel with language headers in the first row (Japanese / English / 中文… or
ja/en/zhCN… and other language codes) and translations in each row - Drag and drop the file or paste the contents
- A difference preview is displayed, and you can check the contents in 4 categories: Add / Update / Skip / Error
- If there are no issues, click "Register N items" to confirm
- Supported file formats: CSV, TSV, Excel (.xlsx / .xlsm). Character encoding is automatically detected between UTF-8 and Shift-JIS
- Japanese (reference column) is required. Other language columns can be left blank (languages left blank are not subject to registration)
- You can add columns for languages not included in the template (only codes supported by Dive)
- Terms with the same content as existing ones are automatically skipped
- After registration, it takes 1–2 minutes for the translation to be reflected
- If a user at or below Group Administrator level performs bulk import, a request for approval is sent to the Owner / Team Administrator just like a normal addition
Default operations
This varies depending on user permissions. However, changes can be made from Owner Functions.
For Owner / Team Administrator
The settings are reflected immediately.
For Group Administrator and below (excluding Guest)
It is submitted as a suggestion and is not reflected immediately. A request for approval is sent to the Owner / Team Administrator, and it will be reflected once approved.
