We have released two features to make better use of existing procedure information (AI extraction from related files and procedure authoring policy), as well as a feature to bulk link SOPs to your Skill Map using AI. This article introduces the details of this update.
① AI Extraction from Related Files and Apply to Steps
You can now attach existing work standards, drawings, checklists, reference materials and other PDFs or images as "Related files" to an SOP, and use AI to extract "Tasks to do," tips, quality warnings, and important safety information from those documents and apply them to each step.
- Before: If you wanted to add knowledge from an existing manual to a procedure created from video, you had to type it in by hand
- Now: Simply attach the existing manual as a related file and click [AI Extract], and AI reads the content and suggests what to apply to each step
●Key features
- Choose the role of each related file from "Work standard / Drawing / Checklist / Reference / Other / Attachment only"
- [AI Extract] pulls out "Tasks to do, tips, quality warnings, and important safety information"
- Review the extraction results in preview and choose to apply or skip each item
- You can set the related file itself to "Hide from viewers" (supports workflows where internal materials are only seen by administrators)
For how to use this, see AI extraction from related files and apply to SOP steps.
② Procedure Authoring Policy (AI follows organizational phrasing and standards)
If your team or organization defines "how we write SOPs", AI organizing will format SOPs according to that policy phrasing. This addresses the concern that "procedure writing varies across staff, and quality is inconsistent" by aligning everything to organizational standards.
- Before: Each person and department had different unspoken rules about style, and AI could only produce general prose
- Now: Define your Procedure Authoring Policy once, and AI organizing will output in wording that follows that policy
●What you can define
- Phrasing / Writing style: For example, "sentence endings are plain form; one step = one action; use company terminology"
- Don'ts (Prohibitions): For example, "do not use vague language like 'appears to be'"
- Common phrasing: company phrases auto-extracted from sample SOPs
●Features to use alongside
- Generate policy from samples: Register sample files or SOPs in Dive, and AI generates a draft of writing style, don'ts, and common phrasing
- Follow policy in AI organizing: A policy mode has been added to AI organizing options
- Policy check: AI can check whether an SOP you are editing aligns with your policy
For how to use this, see Define a Procedure Authoring Policy.
③ Bulk Link SOPs to Skill Map Using AI
We have added a feature that uses AI to suggest relevant SOPs for each skill in your Skill Map and bulk link them. If you have defined skills but haven't made progress linking them to SOPs that teach those skills, AI helps you catch up all at once.
- Before: You had to manually select and link one SOP at a time for each skill
Now: From [Bulk link with AI] in your Skill Map, AI suggests SOPs that match each skill, and you can confirm and bulk link them all at once
●Key features
- [Unlinked only / Select all / Deselect all] to filter target skills
- AI suggests SOP candidates for each skill (with a progress bar)
- Review the suggestions and click [Confirm] to bulk link
- For large numbers of SOPs, we present suggestions from representative procedures
For how to use this, see Bulk link SOPs to your Skill Map using AI.
In addition, as improvement releases, we have also supported partial replacement of video SOPs and switching between video and non-video SOPs. For details, see Improvement release article.
