This release brings four new features. AI Search now works as an assistant that guides each person based on their courses, skills, and work records. Questions that AI Search could not answer are listed so you can use them to improve your SOPs. SOPs can now be played straight through from Step 1, like a video. The Terminology Glossary now grows from the wording corrected on site. Published file-based SOPs can now be opened read-only in Office on Windows.
Please also see the Improvements release published at the same time (enhanced MP4 export, a revised SOP editing screen, and more).
①AI Search has become an assistant that adapts to each person
Until now, AI Search was a feature that found and showed the SOPs and steps that match a question. In this release, it now takes into account the courses the person is taking, their skill goals, and their SOP work records, and guides them accordingly. In addition to which SOP to look at, AI Search now also tells you whether you have already done it, where you got stuck last time, and what to learn next.
●"Your status" on the answer card
For each SOP in the answer, the status of the person who asked is shown. For example:
- Not done yet / Partly done / Completed (last done 10/12)
- Last time, the question in Step 3 was answered incorrectly
- Revised since you last did it (due 10/31)
- SOP for the course "New Hire Training" (2 more to go, due 10/31)
- Connects to the skill "Welding" (Lv1 → goal Lv3)
The AI's reply may also include a remark based on the person's records, such as "You answered the Step 3 question incorrectly last time, so please review from Step 3."
●What to learn next
Below the answer, under "What to learn next," one SOP is recommended: the next SOP in an assigned course, or an SOP for a skill that has not reached its goal. Tap [Open] to open the SOP right there, and [View course] to check your progress in your course. When you ask how to learn something by including the name of your course or skill, such as "How do I learn grinding machine operation?", the SOPs included in that course or skill are shown.
Recommendations are chosen from the courses assigned to the person and from SOPs linked to skills of the group they belong to. Only the person's own records and the SOPs they are allowed to view are used. Other people's records and names are not used.
●Using unanswered questions to improve SOPs
Questions for which AI Search could not find an SOP, questions where [Not what I was looking for] was tapped, and words that returned zero search results are recorded without showing the name of the person who asked. Recorded questions are listed under [Unanswered questions] in [Desired procedures], together with the number of times asked, the number of people, and the SOPs shown at the time. From the questions that could not be answered on site, you can decide which SOPs to create or revise.
- [Make it a desired procedure]: The question text is posted as is to "Desired procedures." The name shown is that of the person who tapped the button; the name of the person who asked the question is not shown.
- [Request revision]: Request a revision of a similar SOP, with an assignee and a deadline (Pro plan or higher)
- [No action needed]: The item is removed from the list for everyone on the team. It can be restored from "Show items marked No action needed."
By default, the list can be viewed by owners, team administrators, and group administrators. (Owners can change the roles that can view it, and it can also be opened up to the Created user.) Group administrators see only the questions from their own group and the people under it. Also, when an answer was not found, the person who asked can tap [Post to Desired procedures] to post that question under their own name to "Desired procedures."
●Settings and availability
Under [Business rules] in Owner Functions, you can configure the following four settings in [Personalized AI Search guidance · Unresolved question list]. All of them are on by default.
- Use the asker's own courses, skills, and work records in AI Search
- Also use HR fields (department, position, hire date): Department, position, and length of service are used only to decide the order of guidance. They are not shown in answers or cards, and the range of SOPs a person can view does not change
- Collect unanswered questions
- Roles that can view unanswered questions
- "Your status" and "What to learn next" (Personalized AI Search guidance) are available on the Core, Pro, and Enterprise plans
- Recording unanswered questions and the Unresolved question list are available on the Lite plan and above
- AI Search itself remains available on all plans, as before
For details, see Guiding each person in AI Search based on their situation (Personalized AI Search guidance) and Deciding which SOPs to create or revise from unanswered questions in AI Search (Unresolved question list).
②SOPs can now be played straight through like a video (Continuous play)
Until now, SOPs were viewed by playing the video and narration for each step. In this release, we added "Continuous play," which plays from Step 1 to the end, continuously like a video. Tap [Continuous play] below the text area, and playback continues across steps, with a seek bar for the entire SOP appearing above the video. You can jump to any position with the seek bar, and while you drag the handle, the title and text of the step at that position are shown. Use it when you want to show an entire SOP during training, or when you want to check it straight through inside Dive without exporting to MP4.
The video and narration for the next step are loaded in advance, so the wait at the joins between steps is also shorter.
●What happens during continuous play
- When the video and narration end, playback automatically moves on to the next step
- Questions are skipped (same as reference mode). If an SOP with questions is viewed in continuous play, that viewing is not counted toward inspection totals or the completion of training courses
- SOPs with conditional branching are played in step order
- For steps where the narration is longer than the video, the video stops on its last frame and waits for the narration
- Tap [Continuous play] again to stop. Whether you used continuous play is remembered on the device, so the next time you open an SOP, it starts in the same state (a notice appears at the top of the screen when it opens)
●Open shared URLs and QR Codes in continuous play
We added [Open in continuous play] to [Open mode] on the sharing screen. URLs and QR Codes created with the checkbox selected open in continuous play. URLs and QR Codes created without the checkbox selected open in normal playback, even if the viewer has used continuous play before. The same setting can be used for external sharing URLs (URLs that do not require login).
●Availability
- Available on all plans
- On smart glasses operated by voice or a directional pad (such as RealWear and Vuzix), SOPs open in normal playback
For details, see Playing an SOP straight through like a video (Continuous play).
③The Terminology Glossary now grows from wording corrected on site
Until now, the Terminology Glossary only worked with terms registered by people. In this release, words that would be good to add to the Terminology Glossary are collected as "Term candidates" from records of SOP wording corrected on site, and those with sufficient evidence are added automatically. In addition, a single term can now have aliases and spelling variants, as well as names specific to each group.
●"Term candidates" from on-site corrections
Each night, the following are collected and listed under [Term candidates] in the Terminology Glossary: places where text that AI generated from a video was corrected before publishing, words replaced through bulk edit, and words found by rephrasing a question in AI Search. Each candidate shows its basis: the number of corrections, the number of SOPs, and the number of people. Tap [Confirm] to add it to the Terminology Glossary. If you tap [Dismiss], the same item will no longer appear as a candidate or be added automatically. [Collect now] lets you collect candidates again on the spot.
●Items with sufficient evidence are added automatically
Aliases and descriptions with the same correction in three or more places and in two or more SOPs are added to the Terminology Glossary automatically. Values entered by people are not overwritten. Items added automatically are marked, and they can be removed at any time from [Added automatically] under [Term candidates]. (Once removed, an item is never added automatically again.)
●Registering from bulk edit and extracting from documents
- Users who can approve the Terminology Glossary can select [Also register in the Terminology Glossary] when replacing words with Text replace in bulk edit (registered as aliases for the entire team, or as group-specific names)
- With [Extract from documents (AI)], AI picks out terms, aliases, group-specific names, and descriptions from source documents (up to 5, such as PDF or Office files), and you can register only the rows you select
●Multiple names for one term
A single term in the Terminology Glossary can now have other ways of writing or naming the same thing (aliases and spelling variants). For example, if the official name is "Emergency stop" and the alias is "E-stop," AI analysis writes "Emergency stop," and in the SOP editing screen and the video editor you can align text in bulk with [Standardize to the Terminology Glossary]. In search, the same SOP is found with either name, and in translation, the same translated term is used. When creating an SOP from a video or document, aliases and spelling variants are also aligned to the official notation. (For SOPs created from documents, the "Items used" column is also aligned to the same notation.)
- Group-specific names (Enterprise plan): If names differ by site or brand, you can register a name for each group. In AI analysis, SOPs are written using the name of the group the person creating the SOP belongs to
- The previous [Notation Unification Dictionary] tab has been consolidated into "Aliases" in the Terminology Glossary (the replacement rules that were registered have been moved over). The feature for aligning spelling variants, which was previously available from the Pro plan and up, is now available from the Core plan and up
- Bulk registration from Excel/CSV also works with the columns [Aliases], [Detailed description], and [Group-specific names:Group name]
●Availability
- The Terminology Glossary, Term candidates, and Extract from documents are available on the Core, Pro, and Enterprise plans. Group-specific names are available on the Enterprise plan
- Only users with a role that can approve the Terminology Glossary can review and confirm term candidates (by default, owners and team administrators)
- Records are stored only within that team, and they are never used to train the AI model itself
For details, see Growing the Terminology Glossary from on-site records (Term candidates and Extract from documents) and Terminology Glossary (terms and multilingual translations).
④You can now open published file-based SOPs in Office to view them (Open on desktop)
Until now, file-based SOPs were shown in Dive as PDFs for display, and to view the original Word, Excel, or PowerPoint files, you had to download them. In this release, we added [Open on desktop] to the bar above the file-based SOP viewer, so published file-based SOPs can be opened read-only in Office on Windows. When you are viewing in a translated language, the translated Office file opens.
- Saving in Office does not change the file in Dive (the published version). To edit the file, use [Edit on desktop] in the revision draft
- Available on the Pro and Enterprise plans for users whose role is allowed to download file-based SOPs (see "Download of file-based SOPs" in [Permitted user roles per feature] under Owner Functions)
- Shown only on Windows PCs. It is not shown in drafts, for invited guest users, or when viewing through external sharing URLs
For details, see Opening and viewing a published file-based SOP in Office (Open on desktop).
Impact on existing customers
There are no changes to SOP content. Please check the following points.
- "Your status," "What to learn next," and the recording of unanswered questions in AI Search are turned on by default. If you do not use them, or do not want to use HR fields, change the settings under [Personalized AI Search guidance · Unresolved question list] in [Business rules] under Owner Functions
- Automatic updates to the Terminology Glossary are turned on by default (Core plan and above). Aliases and descriptions with sufficient supporting evidence may be added to the Terminology Glossary automatically. If you do not want automatic additions, select [Do not update automatically (only offer proposals)] under [Grow it from the records on site] in [Business rules] under Owner Functions
- The [Notation Unification Dictionary] tab has been removed. Replacement rules that were registered have been moved to aliases and spelling variants in the Terminology Glossary
- Continuous play is remembered on the device. On devices where continuous play was used before, SOPs opened from QR Codes printed in bulk and from URLs and QR Codes distributed so far also start in continuous play, and questions are skipped (a notice appears at the top of the screen when opened). For SOP URLs and QR Codes used for inspections, create them on the sharing screen without checking [Open in continuous play], and they will open in normal playback
Thank you for your continued support of Dive. ◎
