You can set the Sharing scope on a Work Analysis (TimeStudy) project so that other members can see it. You can use standard time measurement results to reach agreement with your Entire team, or share with only your group for site-by-site Review. This gives you flexibility in how you use sharing.
Three sharing scope options
For each project, you can choose from these three options (the default is Only me, or the same sharing scope as the original video material).
- Only me: Only the Creator can view and edit (default)
- Same group (including subgroups): The Creator and members in the same Group and its subgroups can view
- Entire team: All members in the Team can view
When you expand the sharing scope, people you share with can only view by default. However, if you turn ON the Allow other members to edit checkbox in the Sharing scope dialog, you can permit people you share with to edit. Note that View-only users are always read-only regardless of this setting.
Change sharing scope
- Open Work Analysis in the sidebar and return to the List screen showing your target project
- Click the […] (three vertical dots) menu at the right end of the project row
- Select Sharing scope from the menu
- In the dialog, select Only me / Same group (including subgroups) / or Entire team with a radio button, and click Change
When you change the sharing scope, the project immediately appears in the List screen for members in the scope you selected (live subscription).
A checkbox for Allow other members to edit is also available in the dialog.
- OFF (default): People you share with can only view, export to Excel, and access comparisons that you added
- ON: People you share with can also edit the analysis (add, change, cut, reorder elements, re-export the improved-after video, etc.). However, View-only users are always read-only as an exception
This checkbox is disabled when Only me is selected (since other people cannot see it anyway).
The […] menu for Sharing scope is displayed only to the Creator. It does not appear on analyses shared from other members.
How it appears to the recipient
Analyses shared by other members at the Team or Group level appear mixed in with the Work Analysis List screen.
- Sharing scope column displays a green team icon and "shared from [name]" showing the Creator's name
- Use the Filter (refine in the column header) in the Sharing scope column to select "shared" and extract only analyses shared from other members
- For shared analyses, click the row to open it in the same view as the Creator and Check the contents
- You can also export to Excel and view improved-after videos
- Edit operations (add, change, cut, reorder elements, re-export the improved-after video, etc.) are normally available to the Creator only. However, if the Creator has turned ON Allow other members to edit, then people you shared with can also edit (View-only users are always read-only)
When a shared analysis is organized in Folders by another member, it still appears directly under Root in your view (Folders are not shared because they are for organizing individual views).
Inherit the sharing scope of the original video material
When you create a new Work Analysis project using video material that is already set to Group Shared or Team Shared, that sharing scope becomes the initial setting for the project.
For example, if the material was shared with the Team, the analysis created from it will also be automatically Team Shared. Afterward, you can independently change the sharing scope on the analysis side.
When the Creator is not yet assigned to any group
If the Creator has not yet been assigned to any group and selects Group sharing, the following message displays:
Since you are not assigned to a Group, even if you set Group sharing, it will not be visible to other members at this time.
The sharing setting itself is saved, but will not actually be shared until the Creator is added to a group later. If you want to share right away, first assign the Creator to a group via User management, then configure the setting.
Quick Analysis and Compare with SOP sharing scope
The content of this article explains the Time Analysis projects within Work Analysis. "Quick Analysis" and "Compare with SOP" also have sharing scopes, and the concept is the same.
- Quick Analysis … When you start an analysis, you select the sharing scope (Only me / Group / Entire team). You can change it later from the […] menu in the List
- Compare with SOP … Each comparison has its own sharing scope. Comparison results that you do not have permission for are not displayed in the List. The target person can view their own results from their Personal page
Frequently asked questions
Q. Can members I shared with also export to Excel?
A. Yes. If you can view it, you can download an Excel file with the same content using the Export to Excel button in the upper right of the screen. For details, see Export Work Analysis Results to Excel (Standard Time Extraction).
Q. Can members I shared with edit the analysis?
A. By default, they can only view. However, if you turn ON Allow other members to edit in the Sharing scope dialog, people you share with can also edit. Even if you turn it ON, View-only users remain read-only. If you do not want to allow co-editing, leave the checkbox OFF.
Q. Can I narrow the sharing scope later?
A. Yes. The Creator can follow the same steps ([…] → Sharing scope) to return to Only me, and the analysis will then no longer appear in other members' Lists.
