Upload your existing Excel manuals, work standards, or checklists, Word procedures, or PowerPoint slides to Dive, and AI automatically generates titles, summaries, and steps (including questions and pass/fail judgments). You can then edit and share them on the same screen as video SOPs.
Many customers currently run their procedures in Excel. This workflow lets you move your existing procedure assets directly to Dive without re-shooting videos or rewriting scripts.
Supported file formats
- PDF (previously supported)
- Excel: .xlsx / .xlsm / .xls
- Word: .docx / .doc
- PowerPoint: .pptx / .ppt
- OpenDocument: .odt / .ods / .odp
When you upload a file, it is converted to PDF on the cloud side, and AI uses that to structure the steps (the original Excel / Word / PowerPoint file is also retained as source material).
Creation steps
- Click the [+] button in the sidebar, then select "Create from file"
- Drag and drop the target file, or select it using "Select file"
- AI processing options open. Adjust as needed (see the next section for details)
- Click "Run"
- When processing is complete, AI-generated results (title / summary / step list) appear in preview. Review the content and click "Create SOP" to save it as a new procedure
If you want to redo the processing partway through, open the material detail modal and click "Re-run AI" to change the options and re-analyze (you can try as many times as you like with the same file).
AI processing options in detail
Adjust the following options based on your file content and the type of SOP you want to create.
Text mode (how to import content)
- Reformat (summarize) (default): AI reads the text and reformats it into easy-to-read procedure language. It consolidates redundant explanations and clarifies the subject and object of each action.
- Transcribe (original text): Text from the file is placed into the procedure body exactly as it appears. Use this when you need to strictly maintain your company's wording or phrasing.
Step split method
- Per content (default): AI splits steps based on semantic breaks in the text. Even if one Excel step is scattered across multiple cells, they are grouped by content.
- Per page: Steps are split so that 1 PDF page = 1 step. This works well with Excel and PowerPoint slides formatted as 1 sheet = 1 page.
Tone
- Command form (example: "Turn on the power")
- Polite form (example: "I will turn on the power")
- Suggestive form (example: "Let's turn on the power")
- Follow policy: If your team has set a Procedure Authoring Policy, it will follow that policy
Conversion mode (layout when converting to PDF)
For Excel files, this specifies the layout when converting sheets to PDF.
- Follow print settings (default): Conversion follows the Excel file's print settings (page breaks, print range)
- Fit width to 1 page: Shrinks the horizontal direction to fit on one page. Avoids cutoff issues with wide sheets
- 1 sheet = 1 page: Forces each sheet onto a single page
Questions and audio narration
- Create questions / do not create: Whether to import inspection tables or check items from the file as questions (quizzes). Even if you do not create questions, the step text is still created
- Convert questions to pass/fail judgment mode: Automatically converts created questions to pass/fail judgment mode (normal / abnormal). For inspection table and checklist operations
- Read text aloud / do not read aloud: Whether the step text is read aloud during playback of the created SOP
Specify a reference SOP (beta / related feature)
When creating an SOP from a video, you can also specify an existing SOP or file (such as Excel) as a reference material to reflect in the video analysis. Frequently asked questions
Q. Will Excel charts and images be reflected in the SOP?
A. Once converted to PDF, images and charts are imported as page images. AI primarily reads the text within the document, and images are attached to steps as thumbnails and reference materials. If you want to leverage page images, "Per page" split method is recommended.
Q. Can I import macro-enabled .xlsm files?
A. Yes. .xlsm is a supported format. The macros themselves are not executed; the displayed sheet content is converted to PDF and imported.
Q. AI is not splitting the steps the way I expected.
A. Open the material detail modal and click "Re-run AI" to change the options and re-analyze. Simply switching the "Step split method" between "Per content" and "Per page" can significantly change the result. If it still does not match your needs, manual editing in the SOP editor is the most reliable approach.
Q. Can I create multiple SOPs from the same file?
A. Yes. Files saved in the material library can be re-analyzed as many times as needed with "Re-run AI", and you can create a new SOP each time.
Q. What is the file size limit for supported formats?
A. The same upload limit as video materials applies. Very large Excel or PowerPoint files (equivalent to hundreds of pages) process more reliably if you split and upload them separately.
