You can now automatically add links that open the corresponding SOP steps directly into the items of your existing checklists, work standards, and other documents. Dive finds which items correspond to which steps.
Until now, your existing documents and Dive's SOPs have been separate. When staff on the floor look at an item in your existing materials and wonder "how do we do this?", they have to open Dive and search for the SOP again — and often end up asking a nearby colleague instead. Many teams have wanted to insert Dive links into their existing procedures, but doing it manually requires looking up the URL for each item and pasting it, which is time-consuming. With this feature, Dive handles the matching and insertion. The items in the documents your team already uses become direct entry points to video SOPs.
Supported formats
- Excel — .xlsx / .xlsm
- Word — .docx / .docm
- PowerPoint — .pptx / .pptm
- PDF — .pdf
Older formats (.doc, .xls, .ppt) are not supported. Although they can be read as reference materials for AI analysis, we cannot add links to them because we need to preserve the original file format intact.
Your text, layout, and format stay exactly the same
Only link information is added; the content of your documents is not changed. Because the format stays intact, documents in environments that require formal document control are easy to handle. Text with links appears in blue with an underline so recipients know they can click (except in PDFs).
- Excel — Hyperlinks are set in matching cells. Borders, fills, alignment, and number formats keep their original settings; cell values, formulas, row and column sizes, shapes, and checkboxes remain unchanged.
- Word / PowerPoint — Text in matching paragraphs becomes links. Paragraph formatting, shape position and size, and font size are unchanged.
- PDF — Link areas are added to the page. The page content itself is not touched, so the appearance stays exactly the same (links are not visible).
You can check where links will be placed before exporting
When you click "Add Dive links", you first see a list showing which steps match which locations in your file. The file is exported only after you confirm.
- Matches are shown in three categories: "Exact match", "Partial match", or estimated.
- You can see side by side where the link will be placed and what text is written there.
- For PDFs, page images are shown side by side, and clicking a row moves to the matched location.
- If a match is not intended, you can uncheck it to exclude just that step.
Two ways to receive the exported file
- "Download" — receive the file right away. Use this when you want to distribute it outside Dive.
- "Replace related files in Dive" — save it in Dive and replace the related files with the version that has links.
Even after replacement, the original file before links were added is kept, and the next time it will always be created fresh from the original. Links are never added twice.
A reminder appears when you make changes
The inserted links point to step numbers. If you change step names or reorder steps after adding links, a reminder saying "The file exported with links will become out of date" appears when you publish. If step names and order haven't changed in your revision, the reminder won't appear, and previously exported files can still be used as they are.
Terms of use
- Exporting is available for Pro and Enterprise Plans.
- Only users who can edit SOPs from a PC browser perform this. You need user permission to "Download attachments".
- This applies only to files linked as related files. External files registered as URLs and protected (encrypted) PDFs (including those with only print, edit, or copy restrictions) are not supported.
- Embedded URLs require login to Dive. They are displayed only to users who have logged in and have permission to view the folder.

About step name matching
We continue to improve step name matching. When wording or sentence endings are different (for example, "fix the jig" versus "to fix the jig"), they are currently treated as different text and don't match. If you notice examples where matches worked well or where they were placed unexpectedly, please let our support team know. We use this feedback for improvements.
Impact on existing use
This feature only works when you run it. Your created SOPs, related files, and files you have already exported are not affected.
