When sharing uploaded video materials, the feature you use depends on your goal. Review the operation instructions for the scenario closest to your needs.
I want team members to be able to use the materials too
Change the material's Reference scope. Uploaded materials are visible to only you by default, but when you change the Reference scope to Group Shared or Team sharing, the materials will also appear in the Materials List for the target members. Those members can then use the materials to create SOPs and Work Analysis.
Use this method when video capture and SOP creation are handled by different people, or when multiple members create separate SOPs from the same video.
How to do it: Change the Reference scope of uploaded materials (Only me / Group Shared / Team sharing)
I want to show the SOP created from the materials to people in our company
Who can see an SOP is determined not by the material's Reference scope, but by the Access restriction of the Folder where the SOP is stored. Even if you keep a material set to "Only me", members can view the SOP if you Publish it.
How to do it: About Access restriction for published SOPs and materials / Step 4 Publish your SOP
I want to show it to external parties
Sharing with external parties is done at the SOP level, not individual materials. There are two methods.
- External Sharing: You issue a URL for each SOP. The recipient does not need to log in. You must set either an Expiry date or Password when issuing.
- Guest: Invite external parties to Dive and Share information at the Folder level. The recipient logs in to view.
How to do it: How to use External Sharing / What is Guest invitation?
For guidance on which method to use, see Sharing SOPs externally: Comparison guide (External Sharing / Guest invitation).
External Sharing is disabled by default. If you cannot use it, have a user with Owner permissions enable it in Team settings (see External Sharing restriction settings (Enable / Disable External Sharing)).
I want to provide the video file itself
If you need a video file that reflects edits (cuts, shapes, subtitles, text-to-speech), export it as MP4 from the SOP. If you need the original uploaded video file, download it from the material preview screen.
How to do it: MP4 export
Download and Export permissions can be toggled on a per-user-role basis in Team settings. If the button is not available, check Permitted user roles per feature (Download, Export, and Share role restrictions).
Frequently Asked Questions
Q. If I change a material's Reference scope, does the SOP's Sharing scope also change?
A. No. A material's Reference scope determines only what appears in the Materials List. An SOP's Sharing scope is determined by the Folder's Access restriction.
Q. Can I issue a URL for a material and show it directly to external parties?
A. There is no feature to publish a material alone to external parties. You must create an SOP first, then use External Sharing or Guest invitation.
Q. Can Free Plan users Share materials?
A. Changing a material's Reference scope (the Share operation) and External Sharing are available on Lite Plan or higher. On the Free Plan, you can view materials you uploaded, plus materials that are already shared as Team sharing or Group Shared. The difference is that you cannot perform the Share operation for new materials; viewing is not restricted. If you switch from a higher Plan to the Free Plan, materials that were previously shared will continue to appear in your list.
