"Find revisions" helps you identify SOPs affected by changes to part numbers, part names, material names, tool names, document numbers, and more. You request revisions by assigning them to staff members and setting deadlines. Open this feature from "Creation Plan" in the side menu. You can search with any plan, but assigning revisions to staff members requires Pro or higher.
Search by entering words
- Open "Creation Plan" in the side menu and select the "Find revisions" tab
- Enter what changed (part numbers, part names, material names, tool names, document numbers, etc.). If there are multiple items, separate them with line breaks or commas
- Click "Search"
How to read results
Results show "How it matched".
- Items used / Document number … Matches the values of items used or document numbers registered in the SOP. These appear at the top of the list
- Body text … The words appear in the step's body text. The matched step numbers are also displayed
You can use the same filters available on the SOP search screen. Filters are applied after the search results are displayed, so changing filter conditions does not require a new search.
If you don't find what you're looking for, check for differences in how items are named (for example: "hex bolt" vs. "bolt"). It helps to try shorter words or different phrasings.
Request revisions
- Check the target SOP in the list
- Click "Send the request"
- Enter the revision details (what to fix and how), the instructor, deadline, and revision reason. The instructor is required
- Click "Send the request"
- The request appears in the assigned staff member's "My assignments"
- When the target SOP is published, the request is automatically marked completed
- The target SOP and matched places are automatically recorded for each request
- When the deadline approaches, a reminder email is sent to the assigned staff member
About revision reason
The revision reason you select here becomes the default when the assigned staff member publishes the SOP. If you've linked an approval workflow to a revision reason, that mapped approval workflow is also selected automatically (this takes priority over the team default). The person submitting the revision can change it if needed.
Search by Change: Compare an Excel ledger at two points in time
If you have an Excel file that documents changes—such as a parts change log or drawing revision table—you can compare two points in time, extract the changed values, and search with them directly. Do this from "Search by change" on the "Find revisions" screen.
Register the ledger
- Open "Search by change" and create a new ledger
- Upload an Excel file (.xlsx / .xlsm). You can also specify files on Teams, SharePoint, or OneDrive
If you specify a Microsoft 365 file, you can add new time points by clicking "Import the latest source file". If content hasn't changed, a new point isn't added.
Compare two time points
- Select the two time points to compare
- Rows that were changed, added, or deleted appear in the list
- Check the word candidates created from that list and search for SOPs directly
Ledger key column
For each ledger, you can specify a key column (such as part number) to match rows more accurately. If you don't specify one, the system still matches rows based on their content, so adding a single row doesn't cause all subsequent rows to be marked as changed.
