"Find revisions" is a feature that identifies affected SOPs by searching for part names, part numbers, material names, tool names, document numbers, and other information, then sends a request to update them with an assigned person and deadline. Open it from "Creation Plan" in the side menu. Creation Plan is available in Pro plan or higher.
Search by entering words
- Open "Creation Plan" from the side menu, then select the "Find revisions" tab
- Enter what changed (part names, part numbers, material names, tool names, document numbers, etc.). If there are multiple items, separate them with line breaks or commas
- Click "Search"
How to read results
Results display "How it matched".
- Items used / Document number … Matches the Items used or Document number values registered in the SOP. These appear at the top of the list
- Step text … Items where the term appears in the step text. The matching step number is also displayed
You can use the same Filter as in the SOP search screen. Filtering is applied after search results, so changing conditions does not trigger a new search.
If not found, check for differences in notation (example: "hexagon bolt" vs. "bolt"). Shortening the term or trying different wording is effective.
Send the request
- Check the Target SOP in the list
- Click "Send the request"
- Enter the revision details (What to fix and how), assigned person, deadline, and Revision reason. Assigned person is required
- Click "Send the request"
- The request appears in the assigned person's "My assignments"
- When the Target SOP is published, the request automatically completes
- The Target SOP and matched places are automatically recorded for each request
- As the deadline approaches, a reminder Email is sent to the assigned person
About revision reasons
The revision reason selected here becomes the default when the assigned person publishes the SOP. If you have mapped an approval workflow to the revision reason, the mapped approval workflow is also selected (takes precedence over the team default). The person drafting can also change this.
Search by change (comparing Excel ledger at 2 timepoints)
If you have an Excel file that documents what changed, such as a parts change list or drawing revision list, you can compare 2 timepoints, extract changed values, and use them directly as search words. You can do this from "Search by change" on the "Find revisions" screen.
Register the ledger
- Open "Search by change" and create a new ledger
- Upload an Excel file (.xlsx / .xlsm). You can also specify files on Teams, SharePoint, or OneDrive
If you specify a Microsoft 365 File, you can simply click "Import the latest source file" to add new timepoints. If the Details have not changed, it won't be added.
Compare 2 timepoints
- Select the 2 timepoints to compare
- Rows that changed, were added, or were deleted appear in the list
- Check the term candidates created From them and Search SOPs directly
Key column of the ledger
If you specify a key column (such as part number) for each ledger, you can match rows more accurately. If you do not specify it, matching is done based on row Details, so adding just one row will not make all subsequent rows appear as "Change".
