Your subscription to a paid plan (Lite / Core / Pro / Enterprise) can be fully managed within the Dive interface, from generating an estimate to placing your order. After subscribing, you can also manage plan upgrades, add accounts, configure renewal settings, and cancel your subscription all from the screen. This page summarizes the flow for subscriptions, billing, renewals, and cancellations.
How to Subscribe to a Paid Plan (New Subscription)
- If you haven't already, register for a Free plan.
- Log in to Dive, then click on the profile icon in the top right corner and select "Subscription, estimates & orders".
- In the "Contract information" tab under "Plan", click "Change subscription" then "Purchase plan". The estimate and order screen will open.
- Enter your plan, additional accounts, contract period, and customer information (company name, postal code, address), then click "Issue estimate". The estimate (PDF) will be downloaded immediately and added to your "Estimate list".
- Open "Order from an existing estimate" and select "Order" for the desired estimate (Owner only).
- Specify your "Start date" (the date the license will take effect), agree to the Terms of Use, then click "Proceed to the confirmation screen" and "Place order with this information". You can select any date from today onward as your start date. If you want your subscription to begin on a future date, specify that date.
- Once your order is complete, the license will take effect on your specified start date (or immediately if you selected today). We will send an invoice separately.
- From your start date, you can use Dive on your paid plan. Your contract period also begins on the start date.
Note: Only Owners and Team Administrators can issue estimates; only Owners can place orders.
Note: You can also use a free trial before your subscription begins. Specify a future date as your start date when placing your order, and then start your free trial (14 days, once per plan). There is no charge during the trial period. If you have already used the trial for your selected plan, please contact Customer Success.
Note: If your total accounts will be 600 or more, you will receive a custom quote. Use the "Issue request" option in the form, and our Customer Success team will propose the optimal plan and terms for you.
Note: Teams subscribing through a reseller cannot place estimates or orders through this screen. Please contact your reseller.

Plan Upgrades and Adding Accounts
While your paid subscription is active, you can upgrade to a higher plan or add accounts at any time, even in the middle of your contract period.
- Click on the profile icon in the top right corner and select "Subscription, estimates & orders".
- In the "Contract information" tab under "Plan", click "Change subscription" then "Upgrade plan / add accounts".
- Enter your start date (select within 30 days from today; default is today), your new plan, and the number of additional accounts. The difference (calculated daily) will be displayed as an estimate result on the screen.
- When you click "Apply with this information", it will take effect immediately after confirmation. If you need a record of the estimate, click "Issue estimate" to download the PDF.
Key points about upgrades and adding accounts:
- The upgrade takes effect immediately from the start date. There is no need to exchange purchase orders; simply click "Apply with this information" to complete the process.
- The difference is calculated daily based on the remaining days in your current contract period and billed in one payment. For calculation methods and case studies, see Can I change my plan during a paid subscription?
- Your current contract period and next renewal date remain unchanged (the new plan applies to the remaining contract period).
- To downgrade your plan, reduce accounts, change your contract period, or cancel your subscription, you must use the "Next renewal plan settings" option for the next renewal date (see "About Renewals" below).
About Billing
An invoice is issued when your license takes effect and when your upgrade or added accounts are applied. Payment terms are as follows:
- Invoice is due at the end of the month following invoice date. You pay the entire contract period fee in one payment.
- The invoice is issued at the time your order is received. Even if you specify a future start date, the invoice will be issued immediately without waiting for the start date to arrive.

About Renewals (Auto-Renewal and Next Renewal Plan Settings)
Your subscription automatically renews on the same terms. To change your renewal (downgrade your plan, reduce accounts, change your contract period, or cancel), use the "Next renewal plan settings" option. The renewal details are finalized 30 days before the subscription end date (the day before renewal).
- Click on the profile icon in the top right corner and select "Subscription, estimates & orders".
- In the "Contract information" tab under "Plan", click "Change" next to "Next renewal plan".
- Select from "Continue with the current plan (auto-renewal)" / "Downgrade plan" / "Change contract period" / "Cancel (switch to Free plan at next renewal)", then click "Configure".
- The settings you configure will take effect from your next subscription renewal date. Until then, you can continue using your current plan as is.
- You must configure your next renewal settings by 30 days before the subscription end date. Once this 30-day deadline passes, the settings are finalized. You can change or cancel your settings as many times as you like until then.
- To upgrade to a higher plan or add accounts, use the "Plan Upgrades and Adding Accounts" section above instead, and you can do so immediately at any time.
- On the finalization date 30 days before renewal, your subscription automatically renews based on the settings you configured (or your current plan if you made no changes), and we send an invoice based on the renewal terms.
About Downgrades and Cancellations
- If you select "Cancel (switch to Free plan at next renewal)" in "Next renewal plan settings", your subscription will automatically switch to the Free plan on your next renewal date. Your created SOPs will remain available to view. If your account count exceeds the Free plan limit (3 accounts), the excess accounts will be disabled and unable to log in (they are not deleted; you can restore them from the "Disabled" section of the User management page if you upgrade to a higher plan). You will be notified by email and via a warning on the User management page before the switch.
- If you downgrade to a lower paid plan (like Pro to Lite) or reduce your account count at renewal, the same rules apply. Account counts exceeding the new plan's limit (Free 3 / Lite 10 / Core 25 / Pro 50 / Enterprise 100) will be disabled. Guest invitations are counted separately from account counts, with a maximum of 3 times your account limit. If you change to a Free or Lite plan that does not support guest invitations, all guests will be disabled. For details, see here.
- If you want to cancel your Dive subscription entirely (including data deletion) without switching to the Free plan, please contact your sales representative or Customer Success (customer-success@episotech.com) by email to let us know. We will delete all your data after your subscription ends.
