When operating Dive across multiple departments, it is critical to configure "which department members can view which SOPs". This page provides a guide to implementing this configuration.
Initial Setup Flow
- Reflect your organizational structure (to be performed by Owner/Team Administrator)
- Create folders for company-wide, multi-department, and individual department use
Reflect Your Organizational Structure
The SOPs a user can access depend on the Access Restriction Settings of the folder containing that SOP. This Access restriction means that users belonging under the configured Group can access the content.
Please refer to here for configuration details. We recommend the following efficient setup flow:
- First, define your organizational structure in Dive
- Then, use Excel Import to batch-apply Group Affiliation for each user
Create Folders for Company-Wide, Multi-Department, and Individual Department Use
Apply Access Restriction Settings to each folder. Folders support a tree structure. Here is the recommended approach:
- Owner/Team Administrator users first create top-level folders based on your organizational structure (e.g., "For XXX Business Division").
- Configure Access Restriction Settings for each created folder. For configuration details, see here.
- Group Administrators create lower-level folders based on organizational structure or purpose.
*In some cases, Owner/Team Administrator users may perform this as well. -
Owner/Team Administrator users create a company-wide folder at the top level. Do not configure Access Restriction Settings for this folder.
Supplementary Notes on Operations
Policy for SOP Creation through Distribution
When creating and issuing an SOP, you need to specify a folder to store it in. Users can only store SOPs in folders they can access, so the configuration above ensures SOPs are properly placed in the correct folder.
*Note: Owner and Team Administrator users can access all folders, so be aware of this if they also create SOPs.
Operations During Revisions
After an SOP is issued, any user who can access the folder containing the SOP (in addition to the original creator) can perform revisions. If the creator changes, continuous operations are possible as long as the new user is properly configured in the appropriate Group.
Note: Even if the new creator does not have access to the original source video, they can access the materials for upload during the revision edit process.
