What is Creation Plan
Creation Plan is a feature to identify SOPs that need to be developed by folder, and manage assignments, deadlines, and progress all in one place. You can create a list of "which SOP, in which folder, who will create, and by when," and track plans (scheduled) against actual published SOPs (results).
While "Desired procedures" gathered from the floor is bottom-up demand collection, Creation Plan is a board for placing "development schedule" first from the top down.
● Screen: Creation Plan opened from the left menu on the dashboard (Plan Map)
Requirements
- Permission: Created user role or higher (Owner / Team Administrator / Group Administrator / Created user). The menu is not displayed for View-only users and Guests
- Plan: "My Assignments" view and viewing the Plan Map are available on all plans. Plan Map management operations (adding/linking scheduled SOPs, Excel import/export, etc.) are available on Pro plan or higher
- Location: Open from [Manage] → [Creation Plan] in the left menu of the dashboard
Two Views
Creation Plan has two views: "Plan Map" and "My Assignments," and you can switch between them using the toggle at the top of the screen. The default view changes depending on your role—administrators see "Plan Map" first, and creators see "My Assignments" first. The top displays progress including counts for Scheduled, Completed, Creating, Not started, and Overdue, as well as completion rate.
Plan Map
A canvas map organized by folder, showing an overview of the entire team's development status. Below each folder, scheduled SOPs (plan) and, if needed, existing SOPs (results) are displayed layered.
- Drag to move: You can move plan cards to a different folder
- Zoom and pan: Use the controls in the bottom right of the canvas to zoom in/out and center the view
- Header collapse: Click ▼ in the top left to collapse the title, KPI, and top menu to maximize your workspace
My Assignments
A list view showing only the scheduled SOPs assigned to you. You can see Status, SOP name, Creation status, Storage folder, Deadline, and Notes in columns. Assignees use this screen to create SOPs and update their status.
● Screen: "Plan Map / My Assignments" toggle at the top
Steps
1. Create a folder
From the action menu (⋮) to the right of "Home" in the top left of the Plan Map, select "Create folder" and enter the folder name. The folder you create is shared with the folders in the SOP list. From the action menu (⋮) of existing folders, you can also create subfolders, rename folders, move them, configure access restrictions, and delete them.
2. Plan an SOP
From the action menu (⋮) of the folder where you want to add a plan, select "Plan SOP" and enter the name of the SOP to create, then click "Add". The added scheduled SOP appears in "Not started" status. To register multiple items at once, use "From Excel" in the toolbar at the top of the Plan Map (see below).
● Screen: "Plan SOP" input dialog
3. Set assignments and deadlines
Click the plan card (Plan Map) or the row (My Assignments) to open the panel and set assignment and deadline. Assignments can be made only to members with Created user role or higher (Owner / Team Administrator / Group Administrator / Created user). When an assignment is made or a deadline is set or changed, the assignee receives a notification email. Items past their deadline that are not completed are tallied as "Overdue."
● Screen: Panel for setting assignments and deadlines
4. Create and link the SOP
Assignees can select "Create SOP" from their row in the "My Assignments" view to create a new SOP. If the storage folder is not set, choose a folder first. The draft created is automatically linked to the scheduled SOP, and the status changes to "Creating." From the linked SOP, you can edit the draft, check approval status, or view the published SOP via the "SOP" column in the list.
Assignees can leave personal notes on scheduled SOPs (creation goals, reference information, research notes, etc.).
5. Manage progress (status)
Scheduled SOP status progresses in three stages: "Not started" → "Creating" → "Completed". Only administrators and the assignee of that item can advance the status. When an SOP is published, the linked scheduled SOP automatically becomes "Completed." To manually set status to "Completed," select and link an actual SOP that corresponds to the scheduled SOP.
6. Link to existing SOPs (optional)
You can also treat already-published SOPs as results for scheduled SOPs. Turn on "Show existing SOPs" at the top of the Plan Map to display published SOPs below the folders. From the link button of an existing SOP, select a scheduled SOP from that folder that is not yet linked, and the scheduled SOP becomes "Completed."
Add and update in bulk from Excel
From the toolbar button [From Excel] at the top of the Plan Map, you can register multiple scheduled SOPs at once in the same format as the Excel export of the existing SOP list (Type / Folder path / Title, optionally with Assignment / Deadline).
- Click [From Excel] in the toolbar
- Click [Excel template] in the top right to download a sample, or paste tab-delimited data directly in the paste area
- Drag and drop a file, or paste the content
- Review the content in the diff preview (Add / Update / Skip / Error)
- If there are no issues, click [Register N items] to confirm
-
Folder path uses forward slashes like
root/parent/child. Non-existent folders are created automatically - Assignment is matched by email address (name also works, but email is recommended to avoid ambiguity)
- If the same folder and title already exist, only assignment and deadline differences are updated (no difference = skipped)
- Rows with type "Folder" create folders up to that path (existing ones are skipped)
Export development status to Excel
- Overall Excel export (Pro+): From [Export to Excel] at the far right of the progress header on the Plan Map, you can export an overall list following the folder structure
- My Assignments Excel export (all plans): From [Export to Excel] in the top right of the My Assignments view, you can export a flat list of your assignments
Elevate "Desired procedures" to Creation Plan
Requests gathered in "Desired procedures" that are decided to be developed can be elevated to Creation Plan, where they can be tracked with assignments and deadlines. Elevated scheduled SOPs show a "desired origin" label, and as you advance status on the Creation Plan side, the status reflects in the Desired procedures board as well. When completed, notifications are sent to the original requester and anyone who voted "+1".
Deadline reminders (automated email)
When a scheduled SOP's deadline is approaching or has passed, an email is automatically sent to the assignee.
- 3 days before / the day before / overdue (overdue sent once only)
- Sent daily at 08:00 (JST)
- When a deadline is changed, it is resent with the new deadline (duplicate guard is reset)
- Scheduled SOPs with "Completed" status are removed from reminder targets
Frequently asked questions
Q. Can I add scheduled SOPs on any plan?
A. The "My Assignments" view and Plan Map viewing are available on all plans, but operations to add SOPs to plans, link them, and import/export with Excel are available on Pro plan or higher.

A. Yes. Items you incorporate will show a "desired origin" label, and as you advance status on the Creation Plan side, the status will reflect in the Desired procedures board as well.
Q. Can people other than the assignee change the status?
A. Status can be advanced only by administrators and the assignee of that item.
