Dive's External Sharing URL feature (a function that shares SOP URLs with external parties on a time-limited basis without requiring login) is Disabled by default in Security Settings. Switch this setting on or off to match your team policy regarding whether to permit or restrict sharing with people outside your organization.
For details on how to use the External Sharing URL feature itself, see How to use External Sharing.
Who can configure this
Only users with Owner Permission only.
How to Enable
- Click "Owner Functions" in the side menu
- Select the "Security" tab at the top and open the "External Sharing Restriction Settings" card
- Change the checkbox state
- Uncheck (off): Enable External Sharing feature (allow sharing with external parties)
- Check (on): Disable External Sharing feature (internal use only)
-
Click "Save"
* After saving, the setting will take effect once you Reload the page (for example, by navigating to another page in Dive). If you want to continue using it right away, please Reload the Page.
Behavior after enabling
- Once enabled, users with the Allowed roles can use the "External Sharing" tab from "Share" on the SOP
- Who can use this feature (role threshold) is controlled separately in Permitted user roles per feature
- Issued URLs are also recorded in the Audit log (Issue, Disable, Restore, and Expiry changes)
Alternative methods for external sharing
As a more secure sharing method for external parties, Dive also offers Guest Permission. Use the appropriate method based on your requirements.
- Types of external sharing (differences between Guest Permission and time-limited URLs)
Tips
- Even when permitting External Sharing, operations are safer if you narrow the role threshold (for example, Created user or higher)
- For teams handling highly confidential SOPs, it is safer to keep External Sharing Disabled and Enable it temporarily only when needed
- For managing and disabling issued URLs, see How to use External Sharing
