The Dive [Dictionary / Templates] page has five tabs: Pronunciation Dictionary, Terminology Glossary (team-specific terminology prioritized in AI analysis and translation), Notation Unification Dictionary (this article), Templates (question templates, etc.), and Tags. This article explains how to use the "Notation Unification Dictionary" tab.
This dictionary feature lets you register rules like "when this word appears, replace it with this word" for text within your team, unifying notation variations in your organization. You can share replacement rules like "Motor → Motor" or "Outer diameter φ → Outer diameter φ" across your entire team and apply them to AI analysis results and SOP edits.
The Notation Unification Dictionary is available on the Pro plan and above. Registered replacement rules are automatically applied to AI analysis final text and applied in bulk via button operation in SOP editing.
What is the Notation Unification Dictionary?
A dictionary for applying pre-registered "Source (when this word appears) → Replacement (replace with this word)" pairs to text within your team. Product names, model numbers, unit notations, formal/casual language, and other terms that tend to vary in notation within your organization can be unified with a single rule registration. Settings are shared across the entire team.
How to Set Up
Go to the page opened from [Dictionary / Templates] in the sidebar and configure it from the [Notation Unification Dictionary] tab.
Add a New Rule
- Click [Add to dictionary]
- Select [Language]
- Enter the varying notation in [Source (when this word appears)] (example: Motor)
- Enter the unified notation in [Replacement (replace with this word)] (example: Motor)
- If needed, enter the registration reason in [Comment]
- Click [Save]
Bulk Import via Excel / CSV
When you want to register or update a large number of rules, you can import them from an Excel or CSV file using the [Bulk import] button. This is convenient when migrating from other tools or when you want to leverage terminology lists already managed within your organization.
- Click the [Bulk import] button in the upper right of the [Notation Unification Dictionary] tab
- Click the [Excel template] in the upper right to download the template. If rules are already registered, they will be downloaded with their content filled in, so you can edit them as is and re-upload them
- Drag and drop the template (or your own CSV / Excel with "Source / Replacement / Language (Optional)" columns), or paste the content
- Difference preview is displayed, and you can check the content in four categories: Add / Update / Skip / Error
- If there are no issues, click [Register N items] to confirm
- Supported file formats: CSV, TSV, Excel (.xlsx / .xlsm). Character encoding is automatically detected as UTF-8 or Shift-JIS
- Language column: If omitted, it will be registered as Japanese (ja)
- Rules with the same content as existing ones are automatically skipped
- Lines where Source and Replacement are the same will result in an error (not registered)
- When users below Group Administrator perform bulk import, an approval request is sent to the Owner / Team Admin as a proposal, just like normal addition
Edit or Delete Rules
Registered rules can be modified using the edit button on the list or canceled using the delete button.
Differences by User Permission
How you operate the dictionary varies depending on your user permissions.
For Owner / Team Admin
Added, edited, and deleted content is reflected immediately. You can also approve or reject proposals.
For Group Administrator and Below (excluding Guest)
Additions take the form of proposals through the [Suggest replacement rule] form and are not reflected immediately. An approval request is sent to the Owner / Team Admin, and the dictionary is updated when approved.
Proposers can check the status of their proposals (Pending approval / Approved / Rejected) in the list.
Approve or Reject Proposals (For Owner / Team Admin)
- Open the proposal list at the top of the [Notation Unification Dictionary] tab
- Click [Approve] for the proposal you want to approve (you can optionally edit the content before approving)
- To reject, click [Reject] and enter a rejection reason (optional)
You can also approve or reject multiple proposals at once.
Where Rules are Applied
Registered replacement rules are used in the following two places.
AI Analysis Results (Automatic Application)
Dictionary rules are automatically applied to video AI analysis results (scene descriptions, transcripts, etc.). Even when you update the dictionary later, the latest rules are reflected when re-analyzing or reloading. In the AI analysis result confirmation screen, the replaced text is displayed.
SOP Editing (Bulk Application)
When you want to apply dictionary rules in bulk while editing an SOP, follow these steps.
- Open [Bulk edit] from the [Other] menu in the upper right of the SOP editing screen, and select [Text replace] from the [Text] tab
- Click the [Apply notation unification dictionary] button in the modal
- Rules with match counts are listed (all selected by default)
- Uncheck rules you do not want to apply
- Click [Check]
Related Dictionary Functions
[Dictionary / Templates] also has the following dictionaries. Use them appropriately for your purpose. All of them support bulk import via Excel / CSV in the same format.
