Tag feature allows you to assign team-common tags to SOPs and folders to classify, search, and visualize them. Register unified vocabulary once—such as "Important," "Under update," "For new models"—and then simply select and apply them (free input is not available, which prevents notation inconsistencies).
Tags are available on all plans. Team Administrators and above add and edit tag vocabulary, while users with edit permissions can assign tags to SOPs and folders.
Register tag vocabulary (Team Administrator and above)
First, register the tag vocabulary your team will use.
- Open Dictionary / Templates in the sidebar
- Select the Tag tab at the top
- Click Add tag in the upper right to add a row
- Set the following
- Tag name: Examples include "Important," "Under update," "For new model A"
- Color: Select a background color using the color picker (optional). You can use the same recommended color palette as the Shapes editor
- Bold (Emphasis): When enabled, tags appear in bold in lists and chips, increasing emphasis
- Sort order: Drag to reorder (reflected in candidate order in the assignment UI)
- Click Save in the upper right
- Adding, editing, deleting, and saving tag vocabulary is only available to Team Administrators and above
- Other roles can view registered tags (and can also select them in the assignment UI)
- Tag names cannot be duplicated within a team (an error occurs when saving)
Add tags to SOPs
Add from the Basic Information tab (while editing)
- Open the SOP you want to tag in edit mode
- Open the Basic information tab
- In the "Tag" field, you can select multiple tags from your team's vocabulary
- Selection is applied immediately (no revision needed)
Add from the "…" menu in the list (assign without opening)
This is convenient when you want to assign tags from the folder's SOP list without opening the SOP.
- Open the ⋯ (Other) menu in the upper right of the SOP card or row on the folder screen
- Click Set tags
- A modal appears; select from your team's vocabulary (applied immediately)
Add tags to folders
You can assign tags to folders using the same mechanism. Select Set tags from the ⋯ menu in the upper right of the folder list, or assign from the folder settings screen.
- Tags assigned to a folder can be used to search and classify the folder itself
- When you specify folder tags as filter conditions in SOP search, you can search only SOPs under that folder (for details, see "Filter by search" below)

Tags can also be used to filter searches.
- When you specify SOP tags in the detailed filter of SOP search, you can narrow down to only SOPs with that tag
- You can also specify folder tags at the same time. Filtering by folder tag restricts the search target to only SOPs under the tagged folder

Who can assign tags
- SOP tags: Users who can edit SOPs (Initiator and users with edit permissions)
- Folder tags: Users who can edit that folder (Administrators, Group Administrators, etc.)
- Users without assignment permissions can only view tags (read-only)
Tips for effective use
- Start with fewer vocabulary items: Begin with 3-5 operational axes (examples: "Important," "Under update," "By model") to avoid confusion
- Reserve emphasis for the most critical items: Use bold + darker color only for items like "Important" or "Urgent" that you want to stand out at a glance—it's more effective that way
- Separate colors by operational axis: Use different color hues for states (in progress / completed) and classifications (by model / by process)—this makes meaning readable at a glance in lists
- Folder tags × SOP tags: Assign broad categories to folders and detailed categories to SOPs—this lets you filter searches by "this process × status"
