By default, changes to the Pronunciation Dictionary and the Terminology Glossary go through two steps: suggest, then approve. Suggestions from View-only users up to Group Administrators are not reflected until an Owner or Team Administrator approves them.
If you want field staff to be able to apply changes to the dictionary directly, change the user permission level for Approve / Edit directly on the [Business rules] tab under [Owner Functions] in the sidebar. Only an Owner can change this setting, and it is done from a PC browser.
This operation permission setting is available on all plans. However, the Terminology Glossary is available on the Core plan or higher.
Default behavior
The Pronunciation Dictionary and the Terminology Glossary each have two permissions: "Suggestion feature" and "Approve / Edit directly".
Suggestion feature (default: View-only user or higher)
This is the scope of users who can request that changes be applied. Users with this permission can do the following:
- From the [Report misreading] button while viewing an SOP, suggest a correction to the reading
- Make a suggestion with [Suggest reading] on the [Pronunciation Dictionary] tab of [Dictionary / Templates], or with [Suggest translation] on the [Terminology Glossary] tab
- In [My proposals], check whether each of your suggestions is Pending approval, Approved, or Rejected
Suggestions are held as Pending approval and are not reflected in actual read-aloud or translation until they are approved.
Approve / Edit directly (default: Team Administrator or higher)
This is the scope of users who can edit the dictionary itself without going through approval. Users with this permission can do the following:
- Register directly in the dictionary with [Add to dictionary] (in the Terminology Glossary, [Add term])
- Import from Excel/CSV with [Bulk import]. In the Terminology Glossary, you can also load from an [Industry template]
- In [Pending approval], approve or reject other users' suggestions (you can also edit the reading before approving)
- Edit or delete registered entries directly
- While viewing an SOP, the button changes to [Correct misreading], and you can register the correction in the dictionary on the spot
By default, Owners and Team Administrators are included in this scope.
Allow changes to be applied directly without approval
- Open [Owner Functions] in the sidebar
- Switch to the [Business rules] tab
- Under [Dictionary / glossary operation permissions], select the target dictionary ([Pronunciation Dictionary] or [Terminology Glossary])
- In the [Approve / Edit directly] dropdown, select the user permission level you want to allow to apply changes directly (for example, Created user or higher)
- Click [Save]
You can choose from the following five options in the dropdown. The lower an option is in the list, the wider the range of users who can apply changes directly.
- Owner only
- Team Administrator or higher (default for both the Pronunciation Dictionary and the Terminology Glossary)
- Group Administrator or higher
- Created user or higher
- View-only user or higher
Guests cannot be assigned operation permissions, so they do not appear as options.
The Pronunciation Dictionary and the Terminology Glossary are configured separately. To allow direct changes for both, select the setting for each one and click [Save]. To go back to the defaults, click [Restore defaults], then click [Save].
What changes after you set this up
Once you allow a user permission, the display changes as follows:
- On the [Dictionary / Templates] tabs, [Add to dictionary] ([Add term]), [Bulk import], [Pending approval], and [View history] appear, and you can edit the table contents directly
- While viewing an SOP, the button changes from [Report misreading] to [Correct misreading], and readings you register are applied to the entire team without approval
- If there are suggestions pending approval, a count badge appears on [Dictionary / Templates] in the sidebar and on the relevant tab
Change who can make suggestions
If you only want to change who can report or make suggestions, change the [Suggestion feature] dropdown on the same screen and click [Save]. The options are the same as for [Approve / Edit directly].
Set [Suggestion feature] to a broader scope than [Approve / Edit directly] (a scope that also includes lower user permissions). If you allow [Approve / Edit directly] but set [Suggestion feature] narrower, the [Correct misreading] button will no longer appear on that user's SOP viewing screen. Even in this case, registration from the [Dictionary / Templates] page is still possible.
When changes take effect
- Permission changes are saved when you click [Save]. On other users' screens, the change is reflected from their next login (or after they reload the screen)
- Readings registered in the Pronunciation Dictionary are reflected when you reopen the target SOP
- It takes 1 to 2 minutes for translations approved or registered in the Terminology Glossary to be reflected in actual translations
Frequently asked questions
Where do I set the permissions for the Notation Unification Dictionary?
On October 21, 2026, the Notation Unification Dictionary was merged into "Aliases" in the Terminology Glossary. Registering and changing Aliases is governed by the settings of the [Terminology Glossary] (for reference: Unifying spelling variations (Aliases in the Terminology Glossary)).
Can users who are allowed to apply changes directly also approve other people's suggestions?
Yes. If you allow [Approve / Edit directly], approving and rejecting items under [Pending approval] and [View history] become available as well.
Can I check who registered or changed something, and when?
You can check records of registrations, edits, deletions, approvals, and rejections in [View history] on each tab. To check the change history of the operation permissions themselves, export the audit log on the [Security] tab under [Owner Functions] as a CSV file.
How do I go back to the suggestion flow?
Set [Approve / Edit directly] back to [Team Administrator or higher] and click [Save]. (Clicking [Restore defaults] gives the same result.) From then on, additions made by user permissions below that level will be submitted as suggestions and held in [Pending approval].
