A "Course" is a feature that bundles multiple SOPs together as a "must-have set of skills" for delivery and training management. Use it for new employee onboarding, annual refresher training, and new equipment rollouts — whenever you want to say "everyone must see this through to the end and understand it." Progress is automatically determined from existing viewing records.
Available plans
The Course feature is available in Core and above plans (Core / Pro / Enterprise). On Free / Lite plans, an upgrade notice appears when you open the Training tab.
Creating and assigning courses can be done by the Owner / Team Administrator / Group Administrator. Anyone with a role who receives an assignment can take the course (attend training). Open it via [Training management] → [Training] in the sidebar.
Relationship between "Training (Courses)" and "Development (skill map)"
Training and development management are split into two layers with different roles:
- Training (Courses): A system for bundling and distributing "sets of SOPs everyone must see." The goal is to view and complete SOPs (digest content).
- Development (skill map): A system for evaluating, planning, and recording "a person's capability." Track individual growth over the long term.
Use courses to distribute content, and skill maps to make each person's status visible — that's the basic combination. For detailed information about skill maps, see What is a Skill Map? / How to read skill marks.
Create a course
- Open [Training management] → [Training] in the sidebar, then click [+ New course].
- An edit drawer opens. Set the following items in order from the top.
Course name and description
- Course name (required): For example, "New Employee Floor Setup Course"
- Description: Write a one-line summary of who the course is for and what skills you want them to gain
- AI-generated: Generate course name and description suggestions with one click based on the content of added SOPs
Course thumbnail
The image displayed in the course list and learner screens. If not set, the thumbnail of the first SOP in the course is used automatically. You can optionally add shape and text overlays to make the course look distinctive.
Add procedure
Add the SOPs to include in the course. There are two ways to add, using the same operation system as skill maps.
- Choose from folder: Navigate the folder hierarchy and select manually
- Choose from AI Search: Search in natural language and select from AI-suggested candidates (the initial query for courses, "Please suggest procedures useful for this course," is automatically entered)
You can reorder by drag and drop. If you use sequential access (described later), this order becomes the "order procedures can be opened."
Settings
- Sequential access: When ON, the next SOP cannot be opened until the previous one is completed. Use when you want learners to build skills step by step.
- Strict completion: When ON, if there are wrong answers in questions (quizzes) along the way, it shows "Wrong" instead of "Completed." Use for training where you want solo completion as a condition.
Assessment test (optional)
You can add an assessment test to measure course comprehension. You can write questions manually or let AI generate them based on the content of the added SOPs.
- Pass threshold: Specify by correct answer rate (default 80%)
- Passing satisfies the course's overall completion requirement (= all SOPs Completed + test passed)
- Retake as many times as needed. Pass/fail and test history can be checked from "Assignment / progress"
Assign course (distribute)
Distribute the created course to target recipients.
- Click [Assignment / progress] on the right side of the course list.
- A drawer opens. Click [+ Add assignment].
- Specify the following and save:
- Assign to: Group / individual users (multiple selections possible)
- Completion deadline: Target date by which they should finish. Used for color-coding in the progress grid.
Group assignment scope (all members below / direct only)
When selecting a group, each click toggles the state as follows (same operation feel as skill maps):
- No selection
- All members below: The parent group itself + all members of subgroups are targets
- Direct only: Only direct members of that group are targets (does not expand to subgroups)
On the assignment chip, groups set to "Direct only" display a blue "Direct only" badge. Groups saved with "all members below" automatically track changes to child group structure.
When saved, an automatic notification email "A new course has been assigned to you" is sent to all assigned recipients (guests are excluded).
Completion deadline reminders (automatic email)
For courses with a completion deadline, automatic reminder emails are sent to the assigned person at three timing points: 3 days before, 1 day before, and after the deadline (overdue). No additional setup is required.
- 3 days before, 1 day before, Overdue (overdue sends only once)
- People who have already completed all SOPs in the course do not receive reminders
- Guests and disabled users are also excluded
- For the same deadline, the same stage reminder is sent only once. Changing the deadline resets the duplicate guard and the new deadline reschedules the reminder.
- Delivery runs in batch at 08:00 (JST) daily
View progress status
Use the [By course / By person / group] view toggle at the top of the course screen to check progress from two perspectives.
By course view
A grid of "recipients × SOPs in the course" is displayed for one course, with each cell color-coded in four colors:
- Green: Completed (finished viewing; with strict ON, completed with no wrong answers)
- Red: Wrong (answered questions incorrectly / with strict ON, red if any wrong answers even if completed)
- Yellow: Incomplete (opened but not completed)
- Gray: Unviewed (not yet opened)
At the end of each row, course completion rate and assessment test pass/fail are displayed, giving you a complete overview of "which person is stuck where."
By person / group view
Conversely, you can check the list of courses one person/one group is taking and their progress. A group tree is displayed on the left, and its border can be adjusted by dragging. The same content can also be viewed on a person's page (/dashboard/person/{uid}) in the [Training] tab.

Learner experience
Users assigned to a course can attend training in the following places:

"Mastery" tab on the Top Page: Your assigned courses appear in a list

[Training] tab on your person page (profile): Same content plus completion deadline and progress percentage
When you open each course, the contained SOPs appear with thumbnails, titles, and summaries. The flow is: open and view/complete an SOP, then take the assessment test. With sequential access ON, the next SOP is locked until the previous one is completed.
Update history and archive
- Update history: A record of who changed what and when is automatically logged. Check it from the icon at the top right of the drawer.
- Archive: Retire unused courses and hide them from the list (existing assignments and progress data are retained)
Usage examples
- New employee onboarding: Bundle and distribute essential safety and basic operation SOPs for new hires to view, ensure understanding with an assessment test
- Annual refresher training: Set a deadline to encourage retake, complete a company-wide record of "who watched and understood" with one course
- New equipment or process rollout: Ensure all related people complete before the switch date. Use "strict completion + sequential access" to guarantee solo completion
- First-day orientation for contractors or temp workers: Set assignment group to "Direct only" to narrow the target scope, have them complete only what's essential before they start work
