You can now automatically insert links directly into existing checklists and work standard documents that open the corresponding procedures. Dive finds which items correspond to which steps.

Previously, existing documents and Dive SOPs were separate. When field staff saw an item in existing materials and thought "how do I do this?", they had to open Dive and search for the procedure again, often ending up asking a nearby colleague. Many customers requested the ability to insert Dive links into existing SOPs, but doing so manually meant looking up URLs for each item, a tedious task. Now Dive performs both the matching and the insertion. The items in the documents your team already uses become entry points to video procedures.

●Supported formats

• Excel — .xlsx / .xlsm
• Word — .docx / .docm
• PowerPoint — .pptx / .pptm
• PDF — .pdf

Legacy formats .doc / .xls / .ppt are not supported. They can be read as reference materials for AI analysis, but link insertion requires returning the original file unchanged, so they are not supported.

●Text, layout, and format remain unchanged

Only link information is added; the document content is not modified. Because the format stays the same, it is easy to handle even in environments that require document management procedures. Linked text appears in blue with an underline so recipients know it can be clicked (except PDF).

• Excel — Hyperlinks are added to matching cells. Borders, fill colors, alignment, and number formats keep their original styling; cell values, formulas, row and column sizes, shapes, and checkboxes remain unchanged
• Word / PowerPoint — Text in matching paragraphs becomes links. Paragraph formatting, shape position and size, and font size are not affected
• PDF — Link regions are added to the page. The page contents are not touched, so the appearance remains the same (links are not visible)

●You can verify where links will be placed before exporting

When you click "Add Dive links", a list showing "which procedures match where in the file" appears first. Export happens only after you confirm.

• The match type is displayed as one of three: "Exact match" / "Partial match" / "Estimated"
• You can see the location where the link will be placed alongside the text at that location
• For PDFs, page images are displayed side by side, and clicking a row moves to the matching location
• If the location is not what you intended, you can uncheck it to exclude that step only

●There are two ways to receive the exported file

• "Download" — Receive the file immediately. Use this when distributing outside Dive
• "Replace the related file in Dive" — Save it to Dive and replace the related file with the linked version

After replacement, the original before link addition is retained, and you always create from the original next time. Links never become duplicated.

●Alerts appear on revision

Inserted links point to step numbers. If step names or step order change after links are added, "The file exported with links will become out of date" confirmation appears at publication. Changes that don't alter step names and order don't trigger the alert, and previously exported files can continue to be used as-is.

●Requirements

• Export is available with Pro and Enterprise plans
• Performed from a PC browser by someone who can edit the SOP (requires user permission for download attachments)
• Applies to files linked as related files. External files registered as URLs and password-protected PDFs are not supported
• Embedded URLs require login to Dive. They are displayed to users who are logged in and have folder viewing permissions

About step name matching

Step name matching continues to improve. When wording or endings differ (for example, "fix the fixture" vs. "fixing the fixture"), they are currently treated as different text and do not match. If you notice successful matches or unintended placements, please contact support. We will use this feedback to make improvements.

Impact on existing usage

This feature only runs when executed. Existing SOPs, related files, and previously exported files are not affected.
