We have conducted a comprehensive review of the SOP export functionality. We have added Word export and redesigned the standard PDF to match paper forms more closely. The Export format feature released on August 21 (which exports in your company's custom format) now allows you to register Word and PowerPoint templates in addition to Excel.
① Export format now supports Word and PowerPoint templates
The Export format feature released on August 21 previously allowed you to register only Excel templates (.xlsx / .xlsm). With this release, you can now register Word (.docx / .docm) and PowerPoint (.pptx / .pptm) templates as well. The merge tag syntax is the same regardless of format.
When you register a template, its name appears alongside the Standard option under Export > Excel, Word, and PowerPoint on the SOP details screen. When a template is registered, both the Standard template and your custom template appear at the same level.
● The way steps expand differs by format
- Word: Place only one step frame. Rows increase according to the number of steps. You do not need to enter step numbers.
- PowerPoint: If your template displays one step per slide with one frame per slide, slides increase according to the number of steps. If your template uses two or more slides per step, place the start tag on the first slide and the end tag on the last slide, and that sequence increases. If your template places a list table on one slide, making the table row the frame will increase the rows.
- Excel: As before, you line up as many frames as you need. To preserve formulas, print settings, and macro references without changing the number of rows, this format differs from the other two in this respect only.
● Cautions when creating PowerPoint templates
- Place step and Revision history tags on the slide itself, not in the Slide Master or Layouts
- Tags written inside "Click to add" placeholders will not be reflected. Draw a text box and write the tags inside it
- For photo tags, place them alone in a text box sized for where you want the photo to appear. If you write them in the same shape as the text body, the photo will overlap with the characters
● We have prepared sample templates in Excel, Word, and PowerPoint
From "How to create a template" in the settings screen, you can Download sample templates for all three formats. You don't need to create from scratch — you can simply add merge tags to the templates you already use.
● Terms of use
- Available on the Enterprise plan
- Registrable file formats are .xlsx / .xlsm / .docx / .docm / .pptx / .pptm, up to 50 MB per file
- Template registration and deletion can be performed by Team Administrator or higher; export can be performed by anyone with permission to export SOPs
- The setting location is side menu Dictionaries / Templates > Templates > Export format

② Standard PDF redesigned to match paper forms
The previous standard PDF had a cover page as the first page, followed by one step per page. Since the number of pages increased with the number of steps, a 20-step SOP would become 21 pages, which was too thick as a printed document and difficult to scan at a glance. We received feedback that improvements were needed.
With this release, we have redesigned it to a list format similar to actual work standards.
● There is no cover page; the content starts from page 1
The overview (description on the left, cover image on the right) appears at the top of page 1, and the step list begins immediately below. We have removed the practice of inserting a cover page that requires turning before work can begin.
● The document name, Rev, and page number appear at the top of all pages with a border
This ensures that anyone can identify which SOP and which revision a page belongs to, even if it is removed from the document. The footer that was previously displayed at the bottom and the red "Confidential" marking have been discontinued. The handling classification is determined by each customer, and it is inaccurate for Dive to uniformly print it on all SOPs. If you need to display a confidentiality notice, add it to the Export format (custom template) side and use that.
● Steps are displayed in a three-column table, one step per row
- The three columns from left to right are Thumbnail, Work steps, and Important safety information / Cautions
- The jump URL and QR Code for each step are stacked vertically in the Thumbnail column (they appear in the Work steps column when thumbnails are not displayed)
- Column headings repeat at the top of each page
- Row height varies according to the amount of content for each step, with horizontal lines marking step divisions
- Photo size is designed so that approximately 4 steps fit on one page
● Revision history is consolidated on the last page
● You can now select which items to export
Previously, only Excel allowed you to select export items. Now PDF and Word also allow this selection. You can choose which items to include from Thumbnail, The step heading, Step details, Work tips / Quality Warning / Important safety information, Quiz, Audio (subtitles), and Revision history (last page). When you deselect an item, that column is removed from the printed page.
● Noto Sans JP font is embedded
PDF fonts are embedded, so the text will display with the same appearance on any device, regardless of whether it has that font installed.
③ Word export has been added
Previously, Dive could export files in PDF, Excel, PowerPoint, and MP4 formats, but not Word. Customers who manage work standards in Word had no choice but to manually copy content from PDF or Excel.
With this release, "Word" has been added to the Export menu on the SOP details screen. Select it and you can export directly as a .docx file. Since you can edit the exported file directly in Word, you can make adjustments to match your company's format and paste the content into other documents.
● The layout is the same as the standard PDF
The structure is the same as the PDF: an overview on the first page, a list of steps thereafter, and Revision history on the final page. Both PDF and Word will have the same appearance when printed.
● Terms of use
- Available on Core, Pro, and Enterprise plans (same terms as PDF export and Excel export)
- Execute from Export > Word on the SOP details screen
- You can select which items to export and whether to include jump URLs and QR Codes for each step at export time
Impact on existing usage
The content of previously Created SOPs has not changed. There is no impact on previously exported files.
The standard PDF layout changes starting from this export. It is no longer in the one-step-per-page format, and no longer includes a cover page or the "Confidential" marking and page number at the bottom. If you need the previous layout, register your company's format in Export format (Enterprise plan) and use that. The standard Excel and PowerPoint layouts have not changed.
