When you want to share uploaded video materials, the features you use depend on your purpose. Check the operation method for the purpose that best matches your needs.
I want team members to use the materials
Change the sharing scope of the materials. Uploaded materials are initially visible only to you, but when you change the sharing scope to Group Shared or Team sharing, the materials will also appear in the Materials List of the target members, and those members can use them to create SOPs or perform Work Analysis.
This method is used when the capture staff and SOP creation staff are separate, or when multiple members create separate SOPs from one video.
Operation method: Change the sharing scope of uploaded materials (Only me / Group Shared / Team sharing)
I want to show the SOP made from materials to in-house staff
Who can see the SOP depends not on the sharing scope of the materials, but on the access restriction of the folder where the SOP is placed. Even if you keep the materials as "Only me," the target members can view it if you publish the SOP.
Operation method: About access restrictions for published SOPs and materials / Step 4: Let's publish the SOP
I want to show it to people outside the company
Sharing with people outside the company is done at the SOP level, not for individual materials. There are two methods:
- External Sharing URL: A URL is issued for each SOP. The recipient does not need to log in. When issuing, setting either an Expiry date or a Password is mandatory
- Guest Invitation: Invite external people to Dive and share information at the folder level. Recipients log in and view it
Operation method: How to use external sharing / What is Guest Invitation
For guidance on which method to use, see External SOP sharing: How to choose (External Sharing URL / Guest Invitation).
The External Sharing URL feature is disabled by default. If you cannot use it, have a user with Owner role enable it in team settings (External Sharing Restriction Settings (Enable / Disable External Sharing)).
I want to provide the video file itself
If you need a video file that reflects the editing content (sections, shapes, subtitles, text-to-speech), export it as an MP4 from the SOP. If you need the original uploaded video file, download it from the materials confirmation screen.
Operation method: MP4 export
Download and export can be allowed or prohibited per user role in team settings. If the button cannot be pressed, see Permitted user roles per feature (Download, Export, and Sharing role restrictions).
Frequently asked questions
Q. If I change the sharing scope of the materials, does the publishing scope of the SOP also change?
A. No, it does not. The sharing scope of the materials only determines the viewing range in the Materials List. The publishing scope of the SOP is determined by the access restriction of the folder.
Q. Can I issue a URL for the materials and show it directly to external parties?
A. There is no function to publish individual materials externally. Convert it to an SOP and use External Sharing URL or Guest Invitation.
Q. Can I share materials with the Free plan?
A. The ability to change the sharing scope of materials and external sharing are available with Lite or higher plans. With the Free plan, only the materials you have uploaded are displayed.
