You can get an estimate and place an order for a paid plan (Lite / Core / Pro / Enterprise) entirely within Dive. After you subscribe, you can also upgrade your plan, add accounts, set your next renewal, and cancel, all from the screen. This page summarizes the flow for subscribing, billing, renewal, and cancellation.
Flow for subscribing to a paid plan (new)
- (If you have not done so yet) Sign up for the Free plan.
- Log in to Dive and click the [Profile] icon in the upper right corner of the screen → [Subscription, estimates & orders].
- On the [Contract information] tab, under [Plan], click [Change subscription], then click [Purchase plan]. The estimate and order screen opens.
- Enter the plan, number of additional accounts, contract period, and customer information (company name, postal code, and address), then click [Issue estimate]. The estimate (PDF) is downloaded right away and added to the [Estimate list].
- Open [Order from an existing estimate], then select [Order] for the estimate you want in its row (Owner only).
- Specify the [Start date] (the date the license takes effect), agree to the Terms of Use, then click [Proceed to the confirmation screen] → [Place order with this information]. You can pick a start date from today onward. If you want the subscription to start on a later date, specify that date.
- Once the order is complete, the license takes effect on the start date you specified (if you specified today, it takes effect immediately). We will send the invoice separately.
- You can use the paid plan of Dive from the start date. The contract period also starts counting from the start date.
※ Estimates can be issued by the Owner / Team Admin, and orders can be placed by the Owner.
※ You can also use the free trial to cover the period before your subscription starts. Place your order with a future [Start date], and start the free trial (14 days, one per plan) at the same time. You are not charged for usage during the trial. If you have already used the trial for that plan, please let your Customer Success team know.
※ For a total of 600 or more accounts, we will prepare an individual estimate. Use the [Issue request] form, and your Customer Success representative will propose the best plan and terms for you.
※ For teams that subscribed via a reseller, estimates and orders cannot be placed from this screen. Please contact your reseller.
※ If you have questions about the procedure, please contact your sales representative or Customer Success at customer-success@episotech.com.
Upgrade plan / add accounts
If you want to switch to a higher plan or add accounts during an active paid contract, you can do so at any time, even in the middle of the contract period.
- Click the [person] icon in the upper right corner of the screen → [Subscription, estimates & orders].
- On the [Contract information] tab, under [Plan], click [Change subscription], then click [Upgrade plan / add accounts].
- Enter the start date (select a date from today up to 30 days ahead; today is the default), the new plan, and the number of additional accounts. The screen then shows the estimate for the prorated price difference.
- Click [Apply with this information] to apply the change right away after you check the details. If you need a record, you can use [Issue estimate] to get the estimate (PDF).
Here are the key points for upgrading and adding accounts.
- Upgrades take effect right away from the start date. No purchase order exchange is needed; the change is complete when you click [Apply with this information].
- The price difference is prorated based on the number of days left in the current contract period and billed in one payment. For how it is calculated and examples, see Can I change my plan partway through a paid contract?.
- The current contract period and next renewal date do not change. The new plan applies for the rest of the current contract period.
- To downgrade the plan, reduce the number of accounts, change the contract period, or cancel, do it from [Next renewal plan settings] for the next renewal date, not in the middle of the contract period (see "About the next renewal" below).
About billing
An invoice is issued when the license application is completed and when an upgrade or added accounts are applied. The payment terms are as follows.
- Billing closes at the end of the month, and payment is due at the end of the following month. Fees for the entire contract period are paid in one lump sum.
- Invoices are issued when we receive your order (application). Even if you set a future start date (the day the license actually takes effect), the invoice is issued without waiting for that date.
- Bank transfer (you bear the transfer fees). The bank details are below.
ドコモSMTBネット銀行 / DOCOMO SMTB Net Bank, Inc. (Bank Code: 0038)
法人第一支店 (Branch Code: 106)
普通 1511113 エピソテック(カ
Invoices are sent by email. You can check and change the recipient on the [Invoice recipient] item under [Contact] on the [Contract information] tab (Owner / Team Admin only). Click the edit button, uncheck [Set same as contract administrator], then enter email addresses in [Email]. To send to multiple people, you can enter up to 5 addresses separated by commas. One email is sent to all registered addresses, with the first address in the To field and the second and later addresses in CC. If [Set same as contract administrator] is checked, the invoice is sent to the email address of the [Contract administrator].
About the next renewal (auto-renewal and next renewal plan settings)
Your contract renews automatically on the same terms. If you want to change the next renewal (downgrade the plan, reduce the number of accounts, change the contract period, or cancel), please do so from [Next renewal plan settings]. The details for the next renewal are fixed 30 days before the subscription end date (the day before the renewal date).
- Click the [person] icon in the upper right corner of the screen → [Subscription, estimates & orders].
- On the [Contract information] tab, under [Plan], click [Change] next to [Next renewal plan].
- Choose from [Continue with the current plan (auto-renewal)] / [Downgrade plan] / [Change contract period] / [Cancel (switch to Free plan at next renewal)], then click [Configure].
- The settings take effect from the next subscription renewal date. Until then, you can keep using your current plan as is.
- Please set the next renewal details no later than 30 days before the subscription end date. After that 30-day point, the details are fixed. Until then, you can change or cancel them as many times as you like.
- To move to a higher plan or add accounts, do not use this setting. Use "Upgrade plan / add accounts" above, which you can do at any time, right away.
- The subscription auto-renews with the details fixed 30 days in advance (if nothing is changed, the current plan continues), and we send an invoice based on the renewal details.
About downgrading and cancellation
- If you select [Cancel (switch to Free plan at next renewal)] in [Next renewal plan settings], you will automatically switch to the Free plan on the next renewal date. SOPs you have created remain viewable. If the number of accounts exceeds the Free plan limit (3 accounts), the accounts over the limit are disabled and cannot log in. They are not deleted: if you move to a higher plan, you can restore them from [Disabled] on the User management page. Before the switch, we will notify the contact person registered in the contract information by email, and show a warning on the User management page.
- The same applies when you move to a lower paid plan, such as from Pro to Lite, or reduce the number of accounts at renewal. Accounts beyond the account limit of the new plan (Free 3 / Lite 10 / Core 25 / Pro 50 / Enterprise 100) are subject to being disabled. Guest invitations are counted separately from accounts, and their limit is up to 3 times the number of accounts. So if you move to the Free or Lite plan, which have no guest invitations, all guests are subject to being disabled. For details, see here.
- If you do not want to move to the Free plan and instead want to terminate your Dive contract entirely (including data deletion), please let your sales representative or Customer Success know by email at customer-success@episotech.com. After your contract ends, we will delete all of your data.
※ For teams that subscribed via a reseller, please contact your reseller for plan changes, renewals, and cancellations.
