Dive automatically updates a person's skill level when they complete a training course, when a qualification becomes valid, or when they finish all the SOPs linked to a skill. Skill Maps stay up to date without anyone having to re-set each person's level.
Available on the Core / Pro / Enterprise plans. Link settings can be made by the Owner / Team Administrator / Group Administrator, and the automatic evaluation settings for the entire team can be made by the Owner / Team Administrator.
For how to set a level manually, see Set a member's skill level. Even when automatic updates are used, manual changes can still be made as before.
For guidance on whether to evaluate with SOP questions or with the assessment test in Training (Courses), see Evaluate skills by choosing between SOP questions and assessment tests.
How automatic updates work
If you link "Courses where this skill is gained" and "Qualifications that prove this skill" to a skill, the skill level rises to the target level set in advance when the person completes the course or when the qualification becomes valid.
A link is stored as a single relationship, so whether you set it from the course side or the skill side, you edit the same link. You do not need to register it again on the other side.
Automatic updates are enabled by default. If no links are set, nothing happens, so levels will not change on their own in a team that does not use this feature.
There is one more route for raising levels: when a person has finished all the related SOPs linked to a skill. It works without creating any courses or qualifications (see "Raise levels when all related SOPs are completed" below).
Link courses and skills
There are two entry points, and the result is the same no matter which one you use.
Set it from the training course
- From [Training management] in the sidebar, open [Training] and edit the target course.
- Under [Skills gained], select the skills.
- For each skill, select the [Target level] (Lv1 to Lv4). The skill rises to this level when the course is completed.
- Save.
Set it from the skill
- In the sidebar, go to [Training management] → [Development], open the Skill Map for the target group, and click [Edit skill map].
- Select the target skill and open the [Links] tab.
- Under [Courses where this skill is gained], select the course and the target level, then save.
For how to create and assign courses, see Training feature: How to create courses, assign them, and check progress.
Link qualifications and skills
This registers the relationship "If a person holds this qualification, they are considered to have reached this skill." Use it when a license or in-house certification is itself proof of the skill.
- From [Training management] in the sidebar, open [Qualifications] and edit the target qualification.
- Under [Skills proven by this qualification], select the skill and the target level, then save.
From the skill side, you can make the same setting under [Qualifications that prove this skill] on the [Links] tab in Edit skill definition.
The [Qualifications to link] setting on the same [Links] tab works in the opposite direction. It is a prerequisite: "To carry out this skill, this qualification is required." It does not change levels; it only shows whether the person holds the qualification. For registering qualifications and managing their expiration dates, see Manage expiration dates for qualifications (licenses, in-house certifications, health checks).
Raise levels when all related SOPs are completed
This setting raises a level once the person has finished all the related SOPs linked to a skill. You can run it on SOP records alone, without preparing courses or qualifications.
The settings are in two places. If either one is not set, it will not work.
- What level to raise to (per skill): In Edit skill definition, open the [Links] tab and select [Target level on completing all], which appears below the related SOPs. Skills with no level selected will not go up.
- What counts as completed (entire team): Select it under [Development] → [Common settings] → [Automatic evaluation], in the "Raise from related SOP records" setting.
- Only when completed as Solo completion (default): The SOP has been carried through to the end with no mistakes on its questions. This is the closest to judging that the person can do the work on their own. For an SOP without questions that have correct answers set, the latest version counts once it has been carried through to the end. A run in which completion was reported without answering the questions does not count.
- If they went through to the end: The SOP counts even if there were mistakes on its questions, as long as it was carried through to the end.
- Do not raise from SOP records: Select this if you do not want to use this route.
Times needed for solo completion
In the same section, use [Times needed for solo completion] to set how many times the person must complete the SOP before it counts as "Solo completion" under "Only when completed as Solo completion".
- Once is enough (default): One run in which the person carried the SOP through to the end without a mistake on any question that has a correct answer set counts as solo completion.
- On different days, 2 to 5 times in a row: If there are that many runs carried through to the end without mistakes on consecutive, different days, that counts as solo completion. Running the SOP several times on the same day counts as one day. If a mistake is made along the way, the count starts over (mistakes in Reference mode, including skipped questions, also count). The days need not be consecutive as long as there are no mistakes in between. For an SOP without branching, a run completed by skipping the questions without answering them does not count.
For an SOP with no questions that have correct answers set, the person achieves solo completion regardless of the number, once they answer all the questions in the current version and carry it through to the end.
The number is also used for the "Solo completion" display in Skill Details and in SOP viewing records. (This display uses this number even when a different condition is selected under "Raise from related SOP records" or when automatic evaluation is off.) If you lower the number while "Only when completed as Solo completion" is selected, a confirmation appears before saving, as it does when you loosen the conditions, and the change is applied to the entire team. Raising the number does not lower levels that have already gone up.
If even one of the linked SOPs does not meet its condition, the level does not go up. If partial completion counted as reaching the level, the standard would get looser as more SOPs were added.
The judgment is made when the target person completes the SOP. If the completion could not be sent at that time, for example because of a communication problem, the judgment is made when the target person's skill page is opened (the screen opened from [Development] by selecting that person). The development record keeps the basis, such as "All ◯ related SOPs ...".
People who are hidden on the Skill Map are not judged by related SOP records.
Choose how to update
For each team, you can choose whether levels are confirmed automatically, or whether only a record is kept and a person confirms the level.
- From [Training management] in the sidebar, open [Development] and click [Common settings].
-
Open the [Automatic evaluation] tab.
Choose it under [How to update] on the [Automatic evaluation] tab. The setting applies whichever of course completion, qualification acquisition, or related SOP records raises the level.
Selecting [Confirm the level automatically as well] (default) updates skill levels without anyone needing to check them. The change history records the change as an automatic update.
Selecting [Keep only the development record and let a person confirm the level] records course completions, qualification acquisitions, and related SOP completions automatically in the development record, and an administrator confirms the level. Choose this option if you want to be sure that a person is the one who evaluates the skill.
To stop automatic updates altogether, turn off [Use automatic evaluation] on the same screen.
Conditions for automatic updates to run
The level is updated when all of the following are met.
- A course has "Skills gained" set, and a qualification has "Skills proven by this qualification" set.
- If levels are raised from related SOP records, "Target level on completing all" is set for the skill, and all the linked SOPs meet their conditions.
- For a course with an assessment test, the person has passed the test. For a course without one, the person has completed all the SOPs included in the course.
- For a qualification, the person currently holds a valid holding (including one nearing expiry). Updates do not happen for a holding that is awaiting approval after the person's own request, or for a holding whose expiration date has passed.
- The target person belongs to a group that has the skill.
- The skill is set as an evaluation target. The levels of people excluded from evaluation are not changed.
- The person has not set, changed, or reset to unevaluated the level of that skill after that record (levels entered by Excel import are excluded). If they have, the level is not changed and only the development record is kept.
If the level is already at or above the target, it is never lowered. Automatic updates only work in the direction of raising levels.
An automatic update for the same record (the same course, qualification, or related SOPs) runs only once. A level that a person lowered or reset to unevaluated is not raised again based on the same record. The point in time used for comparison is: for a course, when the person passed or completed it; for related SOPs, when all the linked SOPs were complete; for a qualification, when the holding was registered or approved (not the acquisition date).
When you add a link later or change settings
When you save any of the following settings, the update is also applied to people who already meet the conditions at that point. The number of people updated is shown after saving. For people who set their level after that record, the level is not changed and only the development record is kept.
- When you change [Target level on completing all] for a skill, or its related SOPs
- When you change [Skills gained] for a course, or its completion conditions (whether it has SOPs or an assessment test, and the strict completion check)
- When you change [Skills proven by this qualification] for a qualification
- When you turn on automatic evaluation, or loosen the conditions under "Raise from related SOP records" (including when you reduce the number of times needed for solo completion)
When you turn on automatic evaluation or loosen the conditions, the entire team is affected, so a confirmation appears before you save. Automatic evaluation only works to raise levels, so even if you later restore the previous settings, levels that have gone up will not automatically go back down.
Changes saved for each skill, course, or qualification are applied on the screen where you saved them. When the entire team is affected (when you turn on automatic evaluation or loosen the conditions), the changes are applied in order on the server, so they keep going even if you close the screen. Progress and results are shown above the [Automatic evaluation] tab. If it stops partway, press [Resume applying] to apply the rest.
To apply the entire team's settings again without changing them, press [Re-apply with current settings] on the [Automatic evaluation] tab (Owner / Team Administrator). If some people still could not be updated after several attempts, "Some people could not be applied even after several attempts" is displayed. In that case, you can try again with [Re-apply with current settings].
If the entire team's update finishes while the Skill Map is open, a notice appears at the top right of the screen. Press [Refresh to latest] to show the applied changes in the table.
For qualifications, only the valid holdings (including those nearing expiry) are applied.
Check that an update was applied
- From [Development] in the sidebar, open the target person's skill page.
- Click the skill and check the change history under [Change level]. For updates made automatically, the person who made the change is shown as Dive (automatic evaluation).
- The [Development record] tab keeps a separate entry for each course, qualification, or set of related SOPs that the update was based on.
Even if you selected [Keep only the development record and let a person confirm the level] under How to update, development records are kept in the same way. After checking the record, confirm the level with [Change level].
If the level was not changed because a person had set it later, the note "(The level set by a person later takes priority, so the level has not been changed.)" is shown at the end of the development record.
Show frontline staff how to level up
Open Skill Details to see [How to gain this skill]. It lists the courses where the skill is gained and the qualifications that prove it, together with the target level and the current status (completed or not completed; qualification valid or lapsed).
It is not displayed for skills with no links set.
If the "Raise from related SOP records" setting is in use, the related SOP list on the same screen lets you check each SOP's status (the solo completion judgment) one by one. When the number of times needed for solo completion is 2 or more, people partway through are shown as, for example, "Solo completion in progress 1/3 days". SOPs reported as completed without answering the questions are shown as "Completed (unanswered questions)" and are not counted as solo completion. Pressing the [Solo completion] label opens that person's stumble map. Pressing [Viewing records] opens the SOP viewing records limited to that person (execution records and stumble map). These are shown to the Owner, to Team Administrators, to Group Administrators viewing people in the groups they manage, and to the person themselves.
Needs re-check marks
Automatic evaluation does not lower levels. Instead, it marks people who should be reviewed after their level has risen with "Needs re-check".
- Stumbled after solo completion: After solo completion, the person got a question wrong in their most recent run. The mark goes away once they carry the SOP through to the end without a mistake. A mistake made in a Reference mode run is displayed in the same way. (Reference mode runs are not counted in the number of stumbles or in the stumble map. You can check them on the "Reference" row under [Execution records] in the SOP viewing records.)
- Not performed since revision: The person carried the previous version through to the end, but has not yet carried the version revised after the SOP was revised through to the end. The mark goes away once they carry the current version through to the end. A version that was only deleted to revert to the earlier version, and a version marked "No re-check needed", do not count as revisions. A deadline can be set for re-checks after revision; once the deadline passes, "Expired" is displayed. When a person has been retrained through read-throughs or OJT, the training lead or an administrator can leave "Done" under [Re-check follow-up] to remove the mark (Core, Pro, and Enterprise plans. Manage re-checks after SOP revisions (deadlines, follow-up records, no re-check needed, exporting records)).
These marks appear in the related SOP list on Skill Details; on the skills under [Development] on the personal page (pressing one opens that skill's development record); as a dot at the top right of each cell on the Skill Map (orange: Stumbled after solo completion; blue: Not performed since revision; red: Not performed since revision and expired); in the trainee list (the count of [Needs re-check] and a filter; the count past the deadline is shown as "Of which expired"); and in the "Solo completion" column of the SOP viewing records. They are not shown for skills excluded from evaluation.
Only the Owner, Team Administrators, Group Administrators (for people in their groups and for themselves), the person themselves, and that person's development staff can see the marks. On the Skill Map, dots are not shown when more than 60 people are displayed. Check the marks on the personal page or in the trainee list instead.
Frequently asked questions
If a qualification lapses, do skill levels go down?
No. Automatic updates only work in the direction of raising levels. Check lapses and expirations on the qualification screen, and have an administrator decide whether to lower any level.
We use the same skill in several groups. Do we need to set it up for each group?
If the skill is defined as a team-common skill (skill catalog), the link is set once and applies to every group that imported the skill. For skills created uniquely within a group, set the link on that group's skill. For how to define team-common skills, see Define team-common skills (Skill Map common settings).
If a person retakes the same course, do the records keep increasing?
No. If an automatic record to the same level already exists from the same course, neither a new record nor a level update is made.
Will the level not go up if even one related SOP has not been carried out?
It will not go up. The level rises only when all of the linked related SOPs meet the "What counts as completed" setting that your team has chosen.
Will levels I set manually be overwritten?
If the level is already the same or higher, it is not updated. It is never rewritten to a lower level. Also, after a person has set, changed, or reset a level to unevaluated, earlier records will not change it; only the development record is kept. (A level a person lowered is not raised again based on the same record.) Levels entered through an Excel import are not treated as levels decided by a person. The change history shows whether each change was made manually or automatically.
If I increase the number of times needed for solo completion, do levels that already went up go down?
No. Automatic updates only work in the direction of raising levels. Because the "Solo completion" display is judged by the new number, people who were raised under the previous number may also be displayed as "Solo completion in progress" or "Completed with stumbles".
