A feature to centrally manage a team's standard skill definitions (categories, subcategories, skill items, and evaluation criteria) and import them into each group for sharing. Use this when you want to align skill definitions across teams, rather than having each group create their own.
Adding, editing, and saving Team-common skills (skill catalog) is available on the Enterprise plan. You can open the screen and view the content on other plans. For information on what happens if you switch from Enterprise to another plan, see "If you switch to a plan other than Enterprise" at the end of this article. The "Evaluation criteria" and "Auto-evaluation" tabs on the same screen can be configured on plans that support Skill Map (Core, Pro, Enterprise). Only Owners and Team Administrators can edit.
The Skill Map (Development) feature, which is the entry point to the skill catalog, is available on Core, Pro, and Enterprise plans. Operate from a PC browser.
Because the skill catalog is a team-level setting, you can create it even for teams that have not yet created groups (import to each group is done after the group is created).
About the Skill Catalog
A "catalog" that stores your team's standard skill definitions. To use skills registered here, import them from each group's Skill Map definition screen using "Import" → "From team-common skills".
The items you can register in the catalog are as follows.
- Hierarchy of categories, subcategories, and skills
- Descriptions and target level for each skill
- Evaluation criteria (Lv1-Lv4) for each skill
- SOPs related to each skill
- Courses where this skill is gained and qualifications that prove this skill
You can also separately set a team-standard evaluation criteria (Lv1-Lv4) that applies to all skills in common.
How to open the page
Open "Development Management" → "Development" in the sidebar, then click the "Common settings" button. This is displayed only to Owners and Team Administrators; clicking it opens "Skill Map common settings" on the spot. There are three tabs: "Team-common skills" (skill catalog), "Evaluation criteria", and "Auto-evaluation".
Edit the catalog
Add categories, subcategories, and skills
In the editing screen of the "Team-common skills" tab, build the hierarchy in the same way as a group's Skill Map.
- Add a category (example: Safety)
- Add a subcategory under the category (example: Basic Safety)
- Add a skill under the subcategory (example: 5S Activity)
- For each skill, set description, target level, evaluation criteria, and related SOPs as needed
- When you finish editing, click "Save and sync"
When you press "Save and sync", the changes are saved to the catalog and simultaneously reflected in all groups using this catalog (auto-sync, described below).
Import from industry templates
If you don't need to define skills from scratch, using industry-specific templates will help you set up faster.
- Click "Import" → "From industry templates"
- Select the industry and sub-industry, then choose the template to apply
- Verify the skills to be imported in the preview and select or deselect items as needed
- Execute the import
After import, you can freely edit to match your company's terminology.
Import from Excel
You can also import an existing Excel skill management table as is.
- Click "Import" → "From Excel"
- Select an Excel file
- On the "Import preview" screen, verify the breakdown of "Add", "Restore", "Replace", "Skip", and "Delete" (if skills are already registered, you can choose the merge behavior from "Add to existing (skip same names)" and "Clear existing and replace")
- Execute the import
The Excel table is read automatically from the column names in the header row. Columns for "Category" and "Skill" are required; the system also recognizes "Subcategory", "Target members", "Target level", and "Description". Column order does not matter, and unrecognized columns are ignored. If a row in the Category/Subcategory column is blank, it inherits the value from the previous row, so even tables with vertically merged cells can be imported as is.
Minor variations in column names are handled. Category is recognized as "Category", "Major classification"; Subcategory as "Subcategory", "Minor classification"; Skill as "Skill name", "Item".
What is imported is the skill definition (hierarchy, description, target level, target members). Evaluation criteria text (Lv1-Lv4) and each member's evaluation level are not imported from Excel. Set evaluation criteria in the following steps. Each member's evaluation level is entered directly in the group's Skill Map or imported into the member column of a file from "Export to Excel" by entering 1-4 and using "Import level" to write it back ("Export to Excel" is available on Pro and Enterprise plans).
Note that importing from the same Excel can also be done from the definition editing screen of each group's Skill Map ("Import" → "From Excel"). This is available on any plan that supports Skill Map.
Set team-common evaluation criteria
Set the evaluation criteria (Lv1-Lv4) that applies by default to all skills from the "Evaluation criteria" tab.
- Open the "Evaluation criteria" tab
- Enter descriptions for each of Lv1-Lv4
- Click "Save"
Saving on the "Evaluation criteria" tab is available on plans that support Skill Map (Core, Pro, Enterprise).
If you have not set individual evaluation criteria for each skill, the content set here will be used as the default. If you want to override the evaluation criteria for specific skills, set them individually in the editing screen of each skill.
Automatically update skill levels from results (Auto-evaluation)
Use the "Auto-evaluation" tab to set how skill levels are updated automatically from results. The settings apply to the entire team. The default is ON. The tab is divided into two sections: "Raise on course completion or qualification" and "Raise from related SOP records".
When raising levels on course completion or qualification, you have two options:
- Confirm the level automatically as well (default): The Skill Map is updated without requiring human confirmation. It is recorded as auto-evaluation in the change history
- Keep only the development record and let a person confirm the level: Choose this if you want "who evaluated" to always be a person. The fact of completion or acquisition is automatically recorded in the development record
Auto-evaluation runs when all of the following conditions are met:
- The course has "Skills gained" and the qualification has "Qualifications that prove this skill" set
- The target person belongs to a group that has this skill
- People who have set this skill as "Not target" are not changed
- If a person has set a skill level after that result, the level is not changed but the development record remains (applies to people who added, changed, or reverted to unevaluated. Excel import is excluded)
- People who already have the same level or higher will not go down (auto-evaluation does not lower levels)
When raising based on related SOP results, select what counts as completion from "Only when completed as Solo completion" (default), "If they went through to the end", or "Do not raise from SOP records". The level to raise is set for each skill in the "Qualification links" tab of the definition editing screen, under "Target level on completing all". The level rises when all linked SOPs meet the conditions.
In the same section, the "Times needed for solo completion" option lets you choose how many times solo completion counts (Once is enough (default), or 2-5 times on different days in a row). The count is also used in the skill details and the "Solo completion" display in the SOP usage record. For more details, see Automatically update skill levels from course completion, qualifications, and SOP results.
When you want to reapply the entire team without changing the settings, click "Re-apply with current settings" on the tab. People who already meet the conditions will be reapplied on the server (this continues even if you close the screen).
For detailed setup instructions for all three paths, see Automatically update skill levels from course completion, qualifications, and SOP results.
Links can be set from the "Skills gained" on the course side or "Qualifications that prove this skill" on the qualification side, or from the "Courses where this skill is gained" or "Qualifications that prove this skill" on the skill side. Links set from either side are the same. Links set on skills in the catalog affect all groups that have imported those skills.
Adding and editing team-common skills is for Enterprise plans, but "Auto-evaluation" and "Evaluation criteria" settings can be changed on any plan that supports Skill Map (Core, Pro, Enterprise). Only Owners and Team Administrators can make changes.
Use the catalog in groups
Import skills registered in the catalog from each group's Skill Map.
You need a group to import into. If you have not created a group yet, first create one following the steps in Step 5: Set up your groups (for administrators), and assign members.
- Open the target group's Skill Map and open the definition editing screen from "Edit skill map"
- Click "Import" → "From team-common skills"
- Check the skills you want to import from the catalog skill list
- Execute import
The imported skills automatically create a hierarchy within the group with the same name as the category/subcategory from the catalog and place the skills under it. If a same-name hierarchy already exists, it is added there.
Catalog changes and group auto-sync
When you change skills registered in the catalog, they are automatically reflected in all groups using those skills (when "Save and sync" is pressed). The content synced is as follows:
- Changes to skill name, description, target level, evaluation criteria, and related SOPs
- Links to courses where this skill is gained and qualifications that prove this skill (because they are attached to the catalog skill, they affect all groups that have imported them)
- Name changes to the category or subcategory they belong to (placement follows)
- Skills deleted from the catalog (automatically unlinked from adopting groups)
The number of groups adopting each skill can be confirmed in the "Adopting groups" column in the list that opens when you go to "Import" → "From team-common skills" on the group side.
Register group-specific skills to the catalog
You can also register skills defined uniquely in each group to the catalog as team-common skills. Registration is done from the Skill Map definition screen of the target group. For details, see the Skill Map management article for that group.
If you switch to a plan other than Enterprise
Even if you switch to a plan other than Enterprise due to trial end or other reasons, the skill catalog, skills imported into each group, member evaluations, development records, and development plans are not deleted.
On Core and Pro plans, you can use them as follows:
- In "Common settings", the "Team-common skills" tab can be opened and content viewed. You cannot add, edit, or save skills, import from industry templates or Excel, or register group-specific skills to the catalog
- Team-common skills already imported into each group remain in the Skill Map as is. You can continue entering evaluations, development records, and development plans
- From "Import" → "From team-common skills" in the group's Skill Map, you can import skills that are in the catalog
- When you select team-common skills in "Skill analysis", you can check the achievement status across all groups
- "Evaluation criteria" and "Auto-evaluation" can be configured as before
For the "source group" that registered a group-specific skill as a team-common skill, only the Enterprise plan allows editing the name, description, and evaluation criteria of the team-common skill. On Core and Pro plans, if you want to change the content of that skill, the Owner or Team Administrator should revert it to a group-specific skill by going to "Convert to team-common skill" → "Cancel" in the group's Skill Map definition screen, then edit.
- Even if you cancel, the group's evaluations, development records, and development plans remain as is
- Later, if you re-import the same team-common skill from "Import" → "From team-common skills", no new skill is created; instead, the record is re-linked to the original skill (the name, description, and evaluation criteria revert to the team-common skill content)
- While canceled, the related SOPs, courses, and qualifications linked on the team-common side do not apply to that group
- Content imported by other groups is not affected by canceling
On Free and Lite plans, Skill Map itself is not available. Data remains, and when you switch to Core or higher, it is displayed as it was. When you return to the Enterprise plan, catalog editing becomes available again.
