In Skill Analysis, when you select one skill, you can view people who should have that skill across groups in a single list, one person per row. You can filter the list by current level, development plan, development lead, and start status. In a single screen, you can see "Who is stuck at Level 2 in this skill?" and "Who is responsible for that person's development, what is the plan deadline, and has it already started?"
Select the people you found, and you can bulk change levels, switch evaluation scope, change development leads, set plan periods, and send email notifications to the person and development lead—all from the same screen. You do not need to open individual pages one at a time.
Owner, Team Administrator, and Group Administrator perform this from a PC browser. Group Administrators can only operate on people in the groups they manage (including subordinate groups). Skill Map is available for Core, Pro, and Enterprise plans.
Setup to view across all groups
To view across all groups in a single list, define the target skill as a "Team-common skill" and take it in on each group's Skill Map. If you select a group-specific skill, only people in that group are displayed. You can enter the period and development lead for the development plan either in bulk using the procedure in this article, or one by one using the procedure in Set the development plan for a skill (period and lead).
Procedure
1. Open Skill Analysis and select a skill
- Open Training management → Development from the left menu
- Click Skill Analysis at the top of the screen
- Select the target skill from the skill selection field. When you select a skill marked "Team-common", people to target across all groups appear
The meaning of each column in the list is as follows.
- Current Lv: The level currently confirmed. People not yet evaluated show "Not evaluated"
- Target Lv: The target level set in the group's Skill Map
- Status: Achieved / In development / Planned / Not started / Not target
- Development plan: Planned period for each level toward target
- Development lead: Development lead for each level toward target. Levels not yet assigned show "Not assigned"
- Development start date: The date the development record for that level was first added. Levels without records yet show "Not started"
2. Filter to the target people
From the filter icon in each column header, filter the displayed people. For example, to see only Level 2 people, use the filter for Current Lv to select Lv 2.
- When you select multiple values in the same column, people matching any of them appear. When you filter across multiple columns, only people matching all conditions remain
- To search for a specific person, use the filter for User to search and select by name
- To filter by group, use the group selection at the top left of the list
- Filters for development plan, development lead, and development start date display anyone if any level toward target matches (e.g., "Has an expired Lv", "Not assigned", "Has a Lv not started")
- To clear all column filters at once, click Clear filter
3. Confirm the development plan, development lead, and start status
In the filtered list, confirm the period in Development plan, the lead in Development lead, and the start status in Development start date. When you click a user name, you can confirm details of browsing history and development records for that person on their personal page.
4. Select people and follow up in bulk
Use the checkbox at the left end of each row to select target people. You can also use the checkbox in the header to select all displayed people at once. When you select, "Selected: # items" appears at the top, and bulk operation buttons become available.
You cannot select people from groups you do not manage. You can select people marked as not target (used when putting them back in scope), but they will not be changed in level change, lead change, or period set, and are also excluded from Contact recipients. Operations are not performed on people not displayed by the filter, even if selected.
Bulk change levels
- Click Change level
- Select New level. To reset to not-evaluated, select "Not evaluated". Entering a reason is optional
- Confirm the number and list of changes, and click Change
Each change is recorded in the change history with the "Bulk change" label. The person's self-evaluation does not change, and no email is sent. People already at the same level, people marked as not target, and guests are not changed, and the change screen shows their count.
Bulk switch evaluation scope
Click Change evaluation scope, select Mark as target or Mark as not target, and click Change. Even if you mark as not target, the level remains, and when you put them back in scope, the level reverts to the original. Bulk change development leads
- Click Change the lead
- Select Level to change. The default is "Next level (Current Lv + 1)", so for a Level 2 person, the lead for Lv 3 changes
- Select the development lead. To remove the lead, select "(Remove the lead)"
- Click Change
The plan period remains as-is. Lead candidates are: for Owner and Team Administrator, all team members; for Group Administrator, members of the groups you manage (excluding guests and disabled users). You can also assign people from a different group than the learner. Leads can confirm the status of learners from their "Mentees" list and add development records for the skills they are responsible for.
Bulk set plan periods
- Click Set the period
- Select Level to change, and specify the start and end dates
- Click Change
The development lead remains as-is. When you enter a deadline (end date), the development lead (or the person, if there is no lead) receives reminder emails 3 days before, 1 day before, and when overdue.
For lead change and period set, the screen shows "Number of changes" and "Number of non-changes and reasons". People who have already reached that level, people for whom a level higher than target was specified, people marked as not target, and people from groups you do not manage are not changed.
Changes are recorded in the change history, the same as when setting a plan on an individual's personal page. When Tell the person and the development lead by email is on, the person and both old and new development leads receive an email with the change details.
Contact the person and development lead
- Click Contact
- Select Person and/or Development lead as recipients
- Enter a message if needed, and click Send
The email includes the message you entered, plus target skill, current and target levels, plan period for each level, start status, development lead, and a verification link. Development leads receive a single email combining the people they are responsible for among those selected. Multiple actions on the same person are combined into one email, and the person who performed the operation does not receive one.
Frequently asked questions
Can I view group-specific skills across all groups?
No. Group-specific skills display only people in that group. To view the same skill across multiple groups, define it as a Team-common skill and take it in on each group.
Some people are not receiving the email
Email is not sent to users without a registered email address. After sending, the display shows how many people did not receive it.
I want to extend the deadline without changing the lead
Use Set the period. The development lead remains as-is.
