Just defining skills doesn't set member skill levels; they remain unset. Let's set the current levels first.
Dive assumes that the administrator confirms the level. Members can record their own assessment as Self-evaluation, which doesn't change the actual level but helps the administrator decide.
For an overview of Skill Map, please refer to What is Skill Map? / How to read Skill Marks.
Steps to set levels
-
Click the user whose skill level you want to set, then click the skill from their personal skill page.
※ In this example, we're setting the skill level for [Technical drawing].Note: Clicking a cell in the Skill Map opens that person's and skill's details on the right side while keeping the Skill Map open. To go to the personal skill page, click the person's name in the Skill Map.
- The skill's details appear on the right screen. Click Change level.
-
Select the New level, then click Save. Entering a reason is optional (any input is saved in the change history).
- The details are confirmed, and the change history is also saved.
Changing the level also changes the skill mark.
If you close the details or switch to another skill or tab before saving, you'll see a confirmation message saying "You have unsaved changes". Select Continue editing to return to your input. Changing the level does not send any email.
Reset to not evaluated
You can cancel a confirmed level and reset it to not evaluated (no level).
- In the skill details, click Reset to not-evaluated
- In the displayed field, click the red Reset to not-evaluated again. Entering a reason is optional
Just clicking the first Reset to not-evaluated doesn't save it. If you try to close the details before clicking the second one, you'll see a confirmation message saying "Not reset to not-evaluated yet", and if you select Close without resetting, the evaluation remains as it was.
The record of resetting to not evaluated is also saved in the change history. The member's Self-evaluation doesn't change. After resetting to not evaluated, previous accomplishments won't automatically raise the level again (only the development record remains). To reset multiple skills or multiple people to not evaluated at once, use the following "Select and bulk change".
Select and bulk change
You can select and bulk change levels for multiple skills and multiple people on the screen. The new level can be set to "Not evaluated", so you can bulk delete trial evaluations. You can also bulk switch between marking as target and marking as not target with the same operation.
Only the owner, team administrator, or group administrator (for their managed group) can do this from a PC browser. You can access this from three places: personal skill page, Skill Map, or Skill Analysis.
Change from personal skill page or Skill Map
- On the personal skill page or Skill Map, click Select and bulk change
- Select what you want to change
- Personal skill page: Click a skill row to select it. Use Select All to select all displayed skills at once (skills in collapsed categories won't be selected)
- Skill Map: Click cells to select. Clicking a person's name selects their entire column; clicking a skill name selects the entire row
- Click Change level
- Select the New level. To reset to not evaluated, select "Not evaluated". Entering a reason is optional
- Confirm the number of changes and the list, then click Change
- When done, click the × at the right end of the selection frame to end the selection
Each change is recorded individually in the change history with a "bulk change" mark. The member's Self-evaluation doesn't change. Items that already have the same or higher level, items marked as not target, guests, and items outside your group authority won't be changed; the number of such items appears on the change screen.
When you select a parent group to display subgroups together, changing a cell for a person in multiple groups changes the evaluation for that skill across all groups they belong to (group names appear in the change screen list). Cells for skills a person doesn't belong to are shown with gray diagonal lines and cannot be selected.
When selecting not-target skills on the personal skill page, filter to "Include Not target".
Bulk switch evaluation scope
At step 3 above, click Change evaluation scope, select either Mark as target or Mark as not target, then click Change. Marking as not target keeps the level; when you mark it as target again, the level returns to what it was before.
Change from Skill Analysis
For a single skill, you can select and change people across groups. For detailed steps, please refer to Check achievement status across all groups by skill and bulk follow up on development.
Bulk setting with Excel (Level import)
For many people or skills, you can export to Excel, fill in all at once, and import directly. Only member levels can be imported; skill definitions (categories and skills) cannot be changed. Excel export and Level import are available in Pro and Enterprise plans. Only the owner, team administrator, or group administrator (for their group) can perform this operation.
- Open [Education Management] → [Development], display the Skill Map, and select only one target group
- Click [Other] → [Export to Excel] and open the exported file
- In the Members column on the "Skill Map" sheet, enter 1-4 using half-width numbers (blanks are treated as "no change")
- Click [Other] → [Level import] and select the file you filled in
- Select How to handle existing levels as either Fill blanks only (keep existing) or Overwrite existing too
- Confirm the breakdown of "Import", "Skip", "Unmatched members", "Unmatched skills", and "Invalid value", then click [Import]
Imported levels are saved as official levels in the evaluation history with a mark showing they were imported. No email is sent. The import is saved immediately upon confirmation.
The import identifies people based on the "Members" sheet (a table matching columns, display names, and email addresses) attached to the exported file. Don't rearrange columns or delete sheets. Guests are not subject to import. If multiple people have the same display name, we won't import to avoid mistakes.
Levels may automatically increase based on accomplishments
If you set "Skills gained" for courses and "Skills proved" for qualifications, the levels of people who complete those courses or get those qualifications become valid will be updated automatically without administrator action (when team auto-evaluation is ON, which is the default). The evaluator in the change history is recorded as "Dive (Auto-evaluation)", so you can distinguish it from administrator confirmations.
Also, you can set it to increase when someone completes all related procedures linked to the skill. What level to increase to is set in the [Target level on completing all] on the [Link] tab of skill definition editing, and what counts as complete is set in team-common settings.
People who already have the same or higher level won't be lowered. After a person sets, changes, or resets a level to not evaluated, previous accomplishments won't change the level; only the development record remains (except for levels imported via Excel). Also, it doesn't apply to people not in that skill's group or people who have marked that skill as not target. If you want "who evaluated this" to always be a person, you can switch auto-evaluation to "Keep only the development record and let a person confirm the level". The setting can be changed from the [Auto-evaluation] tab (from [Development] → [Common settings]) in Define team-common skills (Skill Map common settings). For detailed steps on the three paths, refer to Auto-update skill levels from course completion, qualification acquisition, and procedure accomplishments, and for course links, refer to Education feature: How to create and assign courses and view achievement status.
Mark as not target (not target)
If a skill isn't required for a person, you can mark it as not target. Not target isn't a level but a setting for "whether that skill is required" and is excluded from totals such as achievement rates. The level is kept, so when you mark it as target again, the previous level is fully restored. To switch one at a time, click a cell in the Skill Map (including not-target cells) or a skill on the personal skill page to open details, then click Set to Not target / Put back in scope next to the skill name. To switch multiple at once, use Change evaluation scope in the above "Select and bulk change".
Note: For people marked as not target, neither auto-evaluation nor development plan deadline reminders apply. The display text for "not target" can be changed to match your team in [Development] → [Common settings] → [Evaluation criteria] tab.
Tips for effective use
- The initial bulk setting is time-consuming. A smooth workflow is for the group representative to assess the current state, then the administrator inputs levels all at once. For many people, use the above "Select and bulk change" or "Bulk setting with Excel (Level import)"
- Level changes are kept as history. You can use them as audit and education records
- Having members input their own "Self-evaluation" helps the administrator confirm the level
