In this release, we have connected files in Google Drive (including shared drives) directly to Dive. This is the second integration partner, following the Microsoft 365 (Teams, SharePoint, OneDrive) integration delivered in August. Customers who have been storing video and materials in Google Workspace can now import them as content without downloading.
① You can now import files from Google Drive as-is
Previously, to use video or materials from Google Drive in Dive, you had to download them to your computer first, then re-upload them to Dive.
In this release, a Google Drive button has been added to the [Bring in from the cloud] option in the material-addition screen. When you press it, the Google Drive file-selection screen opens, and you can select and import files from My Drive, shared drives, or files that others have shared with you.
● No need to retry downloading and uploading
Dive's server receives video directly from Google Drive. Since the file content does not pass through the browser you are using, even large video files do not consume your local bandwidth.
● Files you can import
- You can import video, images, PDF, and other file types that can be uploaded to Dive (format, size, and length restrictions are the same as when uploading from a computer).
- You can also import Google Docs, Google Sheets, and Google Slides. You can choose whether to import as PDF or in Word, Excel, or PowerPoint format using the material type ([PDF]/[Other files]).
- You can select multiple files to import at once.
- After import, you can use the imported content the same way as materials uploaded from a computer, including AI analysis, SOP creation, and linking to related files.
Due to Google Drive specifications, Google Docs, Google Sheets, and Google Slides files larger than 10 MB cannot be exported. In that case, download them as PDF or Office format from Google Drive and then import them.
● Import is a "copy at that time"
Dive receives the content as it is at the time of import, and the original remains in Google Drive. Imported content has a mark showing that it came from Google Drive. If the original is updated after import, the mark changes, and you can press it to import the latest version as a new item. This prevents you from creating an SOP using an outdated version.
Google Docs, Google Sheets, and Google Slides will display "possibly updated" even if only the name or sharing settings are changed.
● You can also use it from smartphone and tablet browsers, and from the Dive app
In addition to computer browsers, you can select and import Google Drive files from smartphone and tablet browsers as well as the Dive app (iPhone and Android). When adding video on a smartphone or tablet, you can now select [Bring in from the cloud] (previously, for video only, the screen went directly to the device's file selection screen).
In the Dive app, the Google Drive file selection screen opens in the device's browser (Safari for iPhone, Chrome for Android). When you're done selecting, press [Return to the Dive app] to return to the app's previous screen and proceed with the import. The screen you were editing remains as is.
On iPhone, Google login or "Please allow cookies" prompts may appear when you first open the file-selection screen. Follow the prompts. If Safari has a previous screen cached, the prompt will not appear when you continue selecting.
The smart glass app does not support Google Drive integration. Open Dive in a browser on your computer or smartphone to import. Imported content can be used in the smart glass app as-is.
You can also use Microsoft 365 (Teams, SharePoint, OneDrive) integration from smartphone and tablet browsers and the Dive app. We also fixed an issue where the Dive app for iPhone could not connect to Microsoft 365.
② You can now add SOP links directly to files in Google Drive
For files imported from Google Drive, you can select the file in its original location as the output destination for automatically adding SOP links to existing Excel, Word, PowerPoint, and PDF files. Press [Add to the file in Google Drive] on the confirmation screen, and the SOP link is added to the original file. There is no need to download and redistribute it; when someone opens the checklist in Google Drive, they can go directly to the SOP.
● You can also add links directly to Google Docs, Google Sheets, and Google Slides
In addition to Excel, Word, PowerPoint, and PDF files on Google Drive, you can add links directly to Google Docs, Google Sheets, and Google Slides themselves. No need to convert to Office format and re-upload; just add the link to the relevant text. Comments, suggestions, and formatting remain as they are.
To avoid adding incorrect links, we intentionally do not add links to the following locations:
- Paragraphs or cells containing links that the user has added themselves
- Paragraphs containing change suggestions
- Paragraphs or cells containing elements other than text, such as smart chips or images
- Cells with formulas, cells with partially different formatting
- Hidden sheets
Just before adding links, re-read the original file once. If the content shown on the confirmation screen has changed, we ask you to re-confirm without writing. This prevents writing to locations that were not confirmed when rows are inserted after confirmation and the like.
③ How to connect
Connection is made once per user, per device they use. Open the user menu in the top right of the screen → "External service integration" and press [Connect to Google Drive]. In the Dive app, the device's browser opens; when you select your Google account, the app returns and connection is complete.
- Only users with Created user or higher permissions can connect
- You can connect with a Google Workspace account or a personal Google account
- It does not need to be the same account you use to log in to Dive
● Dive can only access the files you select
Dive can only access the files that you select on the material-addition screen. It does not access any other files.
For this reason, adding SOP links and importing the latest version are performed using the Google account that selected the file. If another team member performs the operation or reconnects with a different Google account, it displays "Please grant access to this file". From [Select the file and grant access], select the file and you can continue as-is without re-importing.
● About the connection confirmation screen
On Google's confirmation screen during connection, we ask for permission to view and edit the selected file at once. Due to the way Google Drive works, we cannot request permission for viewing only separately. The target is only the file you selected. If you uncheck the "Google Drive" item on the confirmation screen, connection will not be possible.
● When your organization restricts third-party apps
If your Google Workspace administrator has restricted the use of third-party apps, it displays "Permission from your organisation's administrator is required". Please have your IT department set Dive as a trusted app in the admin console's "Security → API controls → App access control". We can provide you with setup instructions, so Please contact us.
● Disconnecting
From the same "External service integration" screen, you can press [Disconnect]. When you do, we also cancel the permission we gave Dive on the Google side. Imported content remains as is.
④ Plans available for use
- Import and connection: Available in Lite, Core, Pro, and Enterprise plans
- Adding SOP links to files in their original location: Available in Pro and Enterprise plans
- Only the Enterprise plan allows you to set this integration to not use it team-wide (the default state is "Use")
This is the same classification as Microsoft 365 integration.
Impact on existing customers
No changes that require you to redo settings. Unless you connect to Google Drive, the behavior is the same as before.
