In this step, you'll set up Groups to match your organizational structure and assign members. Follow these steps in order:
- Understand how Groups work
- Create Groups (aligned with your organizational hierarchy)
- Add users and assign them to Groups
- Configure an approval workflow
What is a Group?
A Group is an organizational unit (department, team, project, etc.). A user's Group determines three things:
- Which Folders (SOPs) they can access
- Which approval workflow is used when an SOP is issued
- The unit for managing your Skill Map (Skill content and Level definitions)
In this step, you'll set up Groups to match your organizational or project structure.
Difference Between Team and Group
A Team is the billing unit and represents your entire company (there's only one per Dive account). Within a Team, users are organized into smaller units—departments, teams, projects, etc.—which are called Groups.
Think of it this way: Team = Company, Group = Department or Team within it. Groups can be organized hierarchically (e.g. Manufacturing Department → Manufacturing 2nd Team), and a single user can belong to multiple Groups.
Access Restriction and Groups
When setting Folder access restrictions, you specify which Groups can access it. Users in that Group and all its subgroups (lower hierarchy levels) can access the Folder.
In other words, if you restrict access to a higher-level Group, all its subgroups are included. If you restrict access to a lower-level Group, only that specific Group can access it.

Example 1) If access is restricted to "Manufacturing Department," users in Manufacturing 2nd Team (a subgroup of Manufacturing Department) can access it. |

Example 2) If access is restricted to "Manufacturing 2nd Team," users in Manufacturing 1st Team (also under Manufacturing Department) cannot access it, even though they're in the same parent department, because they don't belong to Manufacturing 2nd Team. |
Also, users can belong to multiple Groups.

Example 3) A cross-organizational "Improvement Group" is created. The group members may differ from regular department groups, but Folder access can be managed separately. |
Based on the above:
① First, define Groups based on your current organizational hierarchy
② Then, if you have cross-functional Groups, add those as well
Let's Configure Groups
- Click the person icon (User management) in the sidebar.
2. Click 「Group management」.
3. Click 「Create first group」.
4. 「Enter group name」 and click 「Add」.
5. Your Group has been created! (In this example, we created the "Manufacturing Department" Group.)
Next, we'll create subgroups to define the hierarchy. Hover over the Group you created and click the [...] button that appears on the right.
6. Click 「Add subgroup」.
7. 「Enter group name」 and click 「Add」.
8. The subgroup has been created and you've defined the hierarchy! (In this example: Manufacturing Department → Manufacturing 2nd Team.)
Finally, click 「Save」.
9. Group creation is complete!
Add Users to Group Members
- Let's add your existing users to a Group. Click the Group you want to add users to (in this example, Manufacturing 2nd Team). The right side of the screen will show information for that Group. Currently, there are no members.
- Click 「Add member」.
- Click 「Select users to add」, select the target users, and click 「Add」.

The users have been added as Group members!
Add New Users
Add members as users to set up your working environment. There are two methods: 「Invite by email」 and 「Issue email-free account」. For registering multiple users at once, you can also use bulk 「Import」 via 「Excel」.

Once you've added users, assign them to each Group using the same steps as "Add Users to Group Members" above.
Set Up an Approval Workflow
Finally, set up an approval workflow as needed. An approval workflow is configured per Group, and once configured, approvals from designated approvers are required when SOPs are issued or revised.
