Once the Skill Map is fully completed, perform a [Snapshot]. When you take a snapshot, the Skill Map content at that moment is converted to Excel format and saved to the database.
You can review past states and also keep it as an approval record for audit compliance and other purposes. It is recommended to operate according to your actual needs, such as once per quarter.
For an overview of the Skill Map, please see What is a Skill Map? / How to Read Skill Marks.
Steps to Take Snapshot
Execute from [Snapshot] at the top of the Skill Map screen.
The snapshot Skill Map can be reviewed from the past snapshot history list and downloaded as Excel.
Useful in These Situations
- Audit Compliance: Keep snapshots quarterly as evidence of competency management (7.2) for ISO 9001
- Approval Record: Preserve the Skill Status at the point when management approval was given
- Review of Changes: Compare how Skill Status has changed over periods of six months or 1 year
Tips for Effective Use
- Regular Execution: Set a fixed schedule, such as quarter-end or fiscal year-end, to establish a consistent operation routine
- Assign Responsibility: Clearly designate who will execute the snapshot to prevent oversights and omissions
- Snapshot at Transition Points: Take snapshots before and after major organizational changes or skill definition reviews to track the impact of changes
