"Courses" bundle multiple SOPs together as a single mandatory training unit for distribution and learner management. Use this feature for new employee onboarding, annual refresher training, new equipment rollout, and other situations where you want to ensure everyone completes and understands the content. Progress is automatically determined from existing viewing records.
Available Plans
The course feature is available in Core or higher plans (Core / Pro / Enterprise). Free and Lite plans will see a link to upgrade when opening the Training tab.
Creating and assigning courses can be done by Owners, Team Administrators, and Group Administrators. Taking (enrolling in) courses is available to all user roles who have been assigned a course. Open it from the sidebar via [Training Management] → [Training].
Positioning of "Training (Courses)" and "Development (Skill Map)"
Training and development management divides responsibilities across two layers.
- Training (Courses): A system for bundling and distributing a set of "SOPs that everyone must view." The goal is for learners to view and complete the content (consume it).
- Development (Skill Map): A system for evaluating, planning, and recording "individual capability." It tracks long-term growth and development of each person.
Distribute content through Training and visualize individual status through Development — this combination is the standard usage pattern. For details on how to use the Development (Skill Map) side, see What is a Skill Map? / How to Read Skill Marks.
The two are not separate. If you set Skills gained on a course, the skill level of people who complete that course is automatically updated (see "Skills gained" below). Create a Course
- Open [Training Management] → [Training] from the sidebar, then click [+ New Course].
- The edit drawer will appear. Set the following items in order from the top.
Course Name and Description
- Course name (required): Example: "New Employee Site Startup Course"
- Description: Write in one sentence what audience this course targets and what skills you want them to gain.
- Generate with AI: You can generate course name and description candidates with one click based on the content of the SOPs you've added.
Course Thumbnail
This is the image displayed in the course list and learner screens. If not set, the thumbnail of the first SOP in the course is automatically used. You can optionally add shape and text overlays to make the course visually distinctive.
Add Procedures
Add the SOPs to include in the course. There are two methods for adding, with the same interaction pattern as Skill Map.
- Select from folder: Navigate through the folder hierarchy and select manually.
- Select from AI search: Search using natural language and AI will suggest candidates (the initial query "Please suggest procedures useful for this course" is automatically filled in for courses).
When you open the screen by clicking Select from folder, pressing the SOP name or card will open a preview so you can check the contents. To add SOPs to the course, check the checkboxes on the left, and confirm by clicking [OK] in the lower right.
The preview is a window within the screen, so closing it with the × in the upper right will keep your course input intact. Going back using the browser's back button will discard your unsaved input. If you need to view another screen while in the middle of settings, click [Save] first.
You can change the order by dragging and dropping. When using Sequential access (described below), this order becomes the "sequence in which SOPs can be opened."
Settings
- Sequential access: When ON, learners cannot open the next SOP until they complete the previous one. Use this when you want learners to build knowledge step by step.
- Strict completion judgment: When ON, if there are wrong answers in a quiz midway through, it will show "Wrong" instead of "Completed." Use this for training where you require flawless completion from start to finish (judgment is based on one completion attempt. This is separate from the "Solo completion" iteration setting in Skills).
Assessment Test (Optional)
You can attach an assessment test to measure course comprehension. Questions can be created manually with [Add question] or generated by AI using [Generate questions with AI] (robot icon) from the content of added SOPs (see "Generate questions with AI" below). You can drag the handle on the left edge of each question to reorder them.
- Passing score: Set as a percentage of correct answers (default 80%)
- Passing the test means meeting the course completion condition (all SOPs in the course marked Completed + test Passed)
- Shuffle the order of the choices on every attempt: Default is ON. This prevents learners from memorizing answer positions. Turn OFF if there are choices where order matters, such as "all of the above."
- Learners can take the test multiple times. Pass/fail status and attempt history (responses from each attempt) can be viewed from "Assignment / progress," "Course analytics," and the person's [Training] tab on their profile page (see "View assessment test attempt history" below).
Generate Questions with AI
First, add SOPs to the course.
- Click [Generate questions with AI] (robot icon) in the Assessment test section
- Set the conditions:
- Number of questions: Choose from 1-20 questions (default is 4)
- Question language: By default [Same as SOP], questions are created in the language of the SOPs in your course. You can also select other languages. If a language is not in the list, you can type it directly in the input field to search for it.
- Instructions for AI (optional, up to 1000 characters): Specify what to ask about, difficulty level, and wording (example: "Focus on safety-related questions. Include questions where learners select what NOT to do."). When blank, AI creates questions based on important points in the SOPs (procedure order, safety, quality checks, emergency procedures).
- Click [Generate]
- The generated questions appear. The correct answer is marked. Uncheck questions you don't want to include (use [Select all] to reselect everything).
- If there are already questions, choose [Add after the existing X questions] (default) or [Replace the existing X questions]
- Click [Add the selected X questions]. Verify the questions, make any edits, and save the course.
If the generated questions don't match your expectations, click [Change settings and regenerate] to go back to the condition settings screen. AI reads SOP headings, body text, work tips, quality warnings, important safety information, and questions to create problems. Your chosen conditions (number, language, instructions) are saved with the course and become the defaults the next time you generate for this course.
If you close the screen while generating, the questions created in that session will not be added. The screen for selecting generated questions will not close if you click outside it.
Skills Gained (Automatically Update Skill Map Upon Course Completion)
When you set "Skills gained" on a course, the skill level of people who complete that course is automatically updated. This eliminates the need to manually transcribe education records to the Skill Map. Settings are configured in the course edit drawer.
- Open [Skills gained] in the course edit drawer.
- From the skills in your team (group skills / team-common skills), select the skills gained in this course.
- Specify the achievement level for each skill (default: Lv3).
- Save the course.
Completion is recognized when an assessment test is present at test pass, and when no test is present at completion of all SOPs in the course. For courses without an assessment test, the determination is made when all SOPs are completed (it is also judged when the person opens their own [Training] tab on the top page, "Mastery" card). When you change [Skills gained] or completion conditions and save later, this reflects for people who have already completed it (if a person manually set a level after completing the course, the level stays unchanged and only the development record is kept).
The skill level is updated when ALL of the following conditions are met.
- "Skills gained" is set on the course AND "Credentials that prove the skill" is set on a qualification
- The target person belongs to a group that has that skill
- That person's skill is not marked as "Not target"
- The person has not manually set a level for that skill after completing the course (added, changed, or reverted to unevaluated; Excel import is excluded). If they had set a level, the level remains unchanged and only the development record is kept.
People who already have the same level or higher will not be downgraded (AI does not downgrade).
Team-wide auto-evaluation settings (whether to use it, whether to confirm the level automatically, or just record development history) are configured via [Development] → [Common settings] → [Auto-evaluation]. For details, see Automatically update skill level when courses complete, qualifications are earned, or procedures are used or Define team-common skills (Skill Map common settings). You can also configure from the opposite direction (select [Courses where this skill is gained] from the skill side), and either direction creates the same link.
Assign Courses (Distribution)
Distribute the course you've created to target learners.
- Click [Assignment / progress] on the right side of the course list.
- A drawer opens. Click [+ Add assignment].
- Specify and save the following.
- Assign to: Group(s) / individual user(s) (multiple selections allowed)
- Completion due date: Target date for when they should finish. Used for color coding in the progress grid.
Group Assignment Scope (All Subordinates / Direct Only)
When selecting a group, each click toggles the state as follows (same interaction as Skill Map).
- No selection
- Include all subordinates: The parent group itself + all people in subgroups are included
- Direct only: Only direct members of that group are included (does not extend to subgroups)
The assignment chip shows a blue "Direct only" badge for groups specified as direct members only. Groups saved as "all subordinates" automatically follow changes in subgroup structure.
When saved, an automatic email notification "A new course has been assigned to you" is sent to all assigned recipients (guests are not notified).
Completion Deadline Reminder (Automatic Email)
Courses with a completion deadline receive automatic reminder emails to the assigned person at three timing: 3 days before, 1 day before, and past deadline. No additional setup is needed.
- 3 days before, 1 day before, and past deadline (one reminder after deadline)
- Reminders are not sent to people who have already completed all SOPs in the course.
- Guests and disabled users are excluded.
- For the same deadline, each reminder stage is sent only once. Changing the deadline resets the duplicate guard and resends the reminder for the new deadline.
- Delivery runs in a batch daily at 08:00 (JST).
View Progress
Using the [By Course / By Person/Group] view toggle at the top of the course screen, you can see progress from two perspectives.
Course View
A grid of "target learners × SOPs in the course" is displayed, with each cell color-coded into four categories.
- Green: Completed (viewed and completed. When strict mode is ON, completed without wrong answers)
- Red: Wrong (answered a question incorrectly / when strict mode is ON, shows red if there are any wrong answers even if completed)
- Yellow: Incomplete (opened but not yet completed)
- Gray: Unviewed (not yet opened)
At the end of each row, course completion percentage and assessment test pass/fail status are displayed, giving you a complete view of "where each person is getting stuck."
By Person / Group View
Conversely, you can view a list of courses a single person or group is taking and their progress. A group tree is displayed on the left, and you can drag its boundary to adjust width. The same content is also visible from the person's profile page (/dashboard/person/{uid}) [Training] tab.
※ On mobile devices, the left and right fixed columns of the table are automatically disabled, allowing you to scroll horizontally to see all columns.
View Assessment Test Attempt History
Assessment tests record when, who, and what answers were selected for each question on each attempt. You can view this from the following locations:
- From [Analytics (stumbles / assessment tests)] in the course list → [Attempt history] in Course analytics: Shows all people taking the course. Press a person's name on the question card to view only that person's history.
- From [Assignment / progress] → Assessment test pass/fail display: Shows that one person's attempt history
- From the person/group view, the person's profile page [Training] tab, and the learner's own "Mastery" card → [Attempt history]: Shows that one person's attempt history
The list shows attempt date/time, which attempt number, number of correct answers, and pass/fail status. Opening a row shows what was selected for each question on that attempt. Pass/fail is determined by the correct answers at the time of the attempt, so if you later replace or reorder questions, past attempts will not appear as wrong answers to different questions. If questions are changed after an attempt, a warning message is displayed.
Attempts made before this feature was introduced may not have individual question responses saved. In those cases, only pass/fail status and number of correct answers are shown.
Learner Experience
Users assigned to a course can take it from the following locations:

Top Page "Mastery" Tab: Courses assigned to them are listed

Person Profile Page [Training] Tab: Displays the same content plus completion due date and progress percentage
On the "Mastery" tab and person profile [Training] tab, courses can be filtered to show [Incomplete] [Completed] [All] (default is incomplete only). Sort options are [Due soonest first] (default sort), [Least progress first], [By course name], or [Recently completed first]. You can search by course name or SOP name. Course cards can be expanded/collapsed by pressing the heading, and the button on the right edge toggles expand all/collapse all.
When you open each course, the included SOPs are displayed with thumbnail, title, and description. The flow is to open an SOP, view and complete it / take the assessment test.
For courses with sequential access turned ON, the next SOP is locked until the previous one is completed.
Update History and Archive
- Update history: Course edit history (who changed what and when) is automatically recorded. You can view it from the icon in the upper right of the drawer.
- Archive: You can archive unused courses to hide them from the list (existing assignment and progress data is retained).
Sample Use Cases
- New employee onboarding: Bundle and distribute safety and basic operation SOPs that all new hires must see, ensure understanding through assessment test
- Annual refresher training: Prompt re-enrollment within a deadline and create a single company-wide record of "viewed/understood" through one course
- New equipment or process startup: Have all affected people complete before the switchover date. Use "strict completion judgment + sequential access" to ensure error-free completion
- Contractor/temp worker day-one orientation: Narrow assignment scope by using "direct only" and have them complete the essential minimum before starting work
