You can set the Sharing scope for a Work Analysis (TimeStudy) project so that other members can see it. You can use it flexibly—for example, sharing standard time measurement results with the Entire team to build consensus, or sharing only within a Group to review it by location.
Three sharing scope options
For each project, you can choose from the following three options (the default is Only me, or the same Sharing scope as the source video material).
- Only me: Only the creator can view and edit (default)
- Same group (including subgroups): Members in the same Group as the creator and members in subgroups can view it
- Entire team: All Members of the team can view it
When you expand the Sharing scope, shared recipients are view-only by default, but if you turn ON the "Allow other members to edit" toggle in the Sharing scope dialog, you can allow shared recipients to edit as well. However, View-only users are always read-only regardless of this toggle setting.
Change Sharing scope
- Open "Work Analysis" in the sidebar and return to the list screen showing the target project
- Click the "..." (three dots) menu at the right end of the project row
- Select "Sharing scope" from the menu
- In the dialog, select one of "Only me" / "Same group (including subgroups)" / "Entire team" with a radio button and click "Change"
When you change the Sharing scope, the project will immediately appear in the list screen of members in the selected scope (live subscription).
The dialog also provides a checkbox for "Allow other members to edit".
- OFF (default): Shared recipients can only view, Export to Excel, and use comparisons that the creator added
- ON: Shared recipients can also edit the analysis (add, change, cut, reorder elements, re-export the after-improvement video, etc.). However, View-only users are always read-only and are an exception
This checkbox is disabled when set to "Only me" (since others cannot see it anyway).
The "..." menu for Sharing scope is displayed only to the creator. It does not appear on analyses shared from others.
How it appears to shared recipients
Analyses shared at the Team or Group level by other members appear mixed in with the Work Analysis list screen.
- In the "Sharing scope" column, "shared from [Creator name]" is displayed along with a green team icon
- You can use the "Filter" in the Sharing scope column (column header filter) to select "shared" and extract only analyses shared from others
- You can open a shared analysis by clicking on the row and view it in the same screen as the creator
- You can also Export to Excel and view the after-improvement video
- Editing operations (adding, changing, cutting, reordering elements, re-exporting the after-improvement video, etc.) are limited to the creator only by default, but if the creator turns ON "Allow other members to edit", then shared recipients can also edit (View-only users are always read-only)
Shared analyses appear directly under Root on your screen, even if other members have organized them in folders (folders are for individual organization and are not shared).
Inherit Sharing scope from source video material
When you create a new Work Analysis project based on video material that is already set to Group sharing or Team sharing, the project is created with that Sharing scope as the default value.
This is the flow where "the material is shared with the team, so the analysis created from it is automatically shared with the team as well." After that, you can independently change the Sharing scope of the analysis.
When the creator is Unassigned to any Group
If you select Group sharing when the creator is not yet assigned to any Group, the following message appears:
Since you are not assigned to a Group, this will not be visible to other members even if shared with the Group at this time.
The sharing setting itself is saved, but it will not actually be shared until the creator is later added to a Group. If you want to share immediately, first assign the creator to a Group in "User management" before configuring the setting.
Frequently asked questions
Q. Can shared members also Export to Excel?
A. Yes. If they can view it, they can Download the same content as an Excel file from the "Export to Excel" button in the top right of the screen. For more information, see Export Work Analysis results to Excel (extracting standard times).
Q. Can shared members edit the analysis?
A. By default, they can only view, but if you turn ON "Allow other members to edit" in the Sharing scope dialog, shared recipients are also allowed to edit. Even if turned ON, View-only users are always read-only. If you do not want to allow collaborative editing, leave the checkbox OFF.
Q. Can you narrow the Sharing scope Later?
A. Yes. The creator can use the same procedure ("..." → "Sharing scope") to return it to "Only me", and it will no longer appear in other members' lists.
