The main highlights of this release are "Create SOP from file" and "Specify reference SOP by video analysis (beta)". We've set up a workflow where many customers' existing Excel-based SOP assets can be leveraged directly as video SOPs in Dive. We're also making improvements such as adding QR codes to output files, improving layouts for mobile and tablet, and refining viewing records and usage reports.
① Create SOP from file (supports Excel/Word/PowerPoint)
We've expanded "Create SOP", which previously supported only PDF, to also support Excel (.xlsx/.xlsm/.xls) / Word (.docx/.doc) / PowerPoint (.pptx/.ppt). Existing Excel manuals, work standards, checklists, and other documents can be uploaded as-is and converted into SOPs by AI.
- Many of our customers currently operate work procedures in Excel. The goal of this release is to allow existing assets to be moved directly to Dive without having to re-record videos or rewrite the original text.
- Once uploaded, the system converts it to PDF on the backend, and AI generates the title, overview, and procedures (including quiz questions and pass/fail judgments) all at once.
- With AI processing options, you can fine-tune how content is incorporated (body mode: formatted (summarized) / transcribed (original text)), step split method (per content / per page), writing style (imperative, honorific, suggestive, follow authoring policy), and conversion mode (follow print settings / fit width to 1 page / 1 sheet = 1 page).
- After incorporation, it seamlessly connects through editing, sharing, and output in the same editor as video SOPs.
For detailed instructions, please see Create SOP from file (supports Excel/Word/PowerPoint).
② Specify reference SOP by video analysis (beta)
In the workflow of ①, you can now specify "existing SOPs or files (PDF/Excel/Word/images) to reference" when analyzing video. This feature addresses the need to refine video manuals based on existing Excel procedures, or to leverage terminology and structure that have already been established.
- [Align with reference file divisions (strict alignment)] check ON: Divides procedures according to the reference file's step count and order. The title and body adopt the text from the reference material, and information read from the video is added to the body (mode for creating video manuals based on existing work procedures).
- Check OFF (default): Uses the reference file only as a supplementary resource for terminology and context, with procedure division automatically determined from the video.
- Currently in beta: The accuracy of division and how text is incorporated are still under improvement. If you notice any successful or misaligned examples, we'd appreciate your feedback at customer-success@episotech.com.
For detailed instructions, please see Specify reference SOP by video analysis (beta).
③ Support for "Take photos as evidence" when answering quiz questions
When answering quiz questions, you can now take photos and keep them as evidence. Use this during inspections, inspection rounds, or checklist operations when you want to leave proof on the spot. The photos taken are linked to viewing records and can be confirmed and reported later.
④ Add QR Code to output files (PDF/PowerPoint)
When exporting SOPs as PDF/PowerPoint, you can now embed QR codes for each step. After distributing procedure manuals via paper or slides, users can scan the QR code to jump directly to the Dive playback screen (with video). Use this as a bridge for "dual operation of print and digital".
Other improvements and bug fixes
- Mobile and tablet layouts significantly improved: We've comprehensively reviewed button placement and scrolling behavior on narrow-width devices across key screens (SOP playback, editor, AI processing options, etc.). We've also standardized the approach to treat portrait-oriented tablets as "large smartphones" to make behavior more predictable.
- SOP playback: Player font size is now adjustable: Users can now adjust the font size of the playback screen individually. On-site smartphones and small devices can now display SOPs in a comfortable reading size.
- Text retained after cut editing: When you perform cut editing on a video, the text associated with the relevant section (SOP body text, title, captions, etc.) is no longer lost and is carried over to other procedures. The experience of "text disappeared when I cut it and had to rewrite it" is now gone.
- Viewing records and usage report refinements: Improved display in the viewing record detail modal and list table (filtering, sorting, photo answer previews, card view for mobile). Also organized the display of individual usage reports.
- User management "remaining slots" display simplified: Refined the remaining slot summary of the permission slots (owner to view authority slots / guest authority slots) on the user management screen to reduce unnecessary information and provide a quick glance at remaining numbers. For more information on permission slots, see User authority and number of accounts.
- AI processing count bug fix: Fixed an issue where the AI processing count was being incorrectly double-counted in some cases.
- Terminology Glossary page performance improved: Improved the display and editing performance on the Terminology Glossary page in teams with many dictionary entries.
- Fixed issue where video description input disappeared shortly: Fixed a bug in the "Video description" field of AI processing options where entered content was sometimes unintentionally truncated.
- Captions and read-aloud settings modal reorganization: In both "Create from file" and "Create from video", we've reorganized the item layout of the captions, read-aloud, and quiz mode settings screen.
