Uploaded media (video, image, PDF, URL, 3D Model, Excel, etc.) initially appear only to the person who uploaded them in their media list. When you expand the sharing scope, the media also appears in other team members' media lists, allowing them to view the media and use it in creating SOPs and work analysis.
Expanding the sharing scope beyond "only me" requires a Lite plan or higher. Free plan users can only see media they have uploaded themselves.
Three sharing scopes
For each media file, choose one of the following three options:
- Only me: Only the person who uploaded the media can see it in their media list (default)
- Share with Group: Members of the uploader's group and any subgroups can see it
- Team sharing: All team members can see it
Only the person who uploaded the media can change the sharing scope. Shared scope options do not appear for media shared by other members.
Change sharing scope
Change one at a time
- From the sidebar, open "Procedures / Media" and then select "Media"
- Select the media type tab at the top of the screen (video / image / PDF / URL / 3D Model / Excel, etc., Other)
- Click the target media to open the preview screen
- From the dropdown at the bottom left of the screen, select "Only me" / "Share with Group" / "Share with Entire Team"
The change takes effect immediately, and a message such as "Shared with the entire team" appears at the top of the screen. No save button action is needed.
Change multiple at once
- In the media list, click "Bulk selection mode" to enable it
- Click the media files you want to change the sharing scope for to select them
- From "Sharing Settings" in the bar at the bottom of the screen, select "Only me" / "Group Shared" / "Team sharing"
Bulk changes only apply to media you uploaded. If media shared by other members is included in your selection, their sharing scope will not change.
Set the default sharing scope at upload time
At the top left of the media list, below the "Add new" card, there is a dropdown for sharing scope. If you select "Group Shared" or "Team sharing" here, all subsequently uploaded media will be registered with that sharing scope from the start. You won't need to change each one individually.
This setting is saved in your current browser. It does not carry over to other PCs or browsers. The sharing scope of already-uploaded media will not change.
When uploading directly from smart glasses (DiveGlass), you can make the same setting in "Settings" under "Sharing scope for uploaded media".
How shared media appears
When you expand the sharing scope, media appears mixed in with other media in your team members' lists. A badge appears at the top right of the media card:
- Shared with team / Shared with group: Media you uploaded and are sharing
- Team Shared / Group Shared: Media displayed because it was shared by another member
For media shared by other members, the name of the person who shared it appears at the bottom left of the preview screen. You cannot change or delete the sharing scope. If deletion is necessary, ask the member who shared it (Owner / Group Administrator can delete only).
If the results of sharing scope changes or deletion do not immediately appear in the other member's list, press the refresh button in the media list to retrieve the latest status.
Frequently asked questions
Q. If I change the sharing scope back to "only me," can other people still view the SOPs that used this media?
A. No, they can still view them. Whether an SOP is visible depends on folder access restrictions and is independent of media sharing scope. Even if you change the media to "only me," published SOPs will continue to be viewable as before.
Q. I selected "Share with Group," but other members don't see it.
A. Group sharing is limited to the group you belong to and any subgroups. If you don't yet belong to any group, there is no sharing destination, so other members won't see it. Check the group settings in team management. If no groups have been created on the team, a message will appear at selection time and you won't be able to select group sharing.
Q. Can I create SOPs from shared media?
A. Yes, you can. Shared media can be used to create SOPs and work analysis just like media you uploaded yourself.
Q. What happens to the sharing scope if I create work analysis from media?
A. When work analysis is created, it inherits the current sharing scope of the media as the initial value for the analysis sharing scope. After that, you can change it independently on the analysis side. For details, see Share work analysis results with team / group (sharing scope settings).
Q. Can I show the media itself to people outside our company?
A. There is no feature to publish media to external parties by itself. If you need to show it to external people, create an SOP and use external sharing URLs or guest invitations. See I want to share uploaded video media for a usage guide by purpose.
