This is a feature that lets you bring existing files from Microsoft 365 (Teams, SharePoint, OneDrive) and Google Drive (including shared drives) directly into Dive as materials without downloading them to your computer. Once imported, you can use them for AI analysis, creating SOPs, and linking to related files, just like materials uploaded from your computer.
Import and connection are available on Lite, Core, Pro, and Enterprise plans. Only users with Creator or higher permission can set up the connection. You can do this from any web browser on your computer, smartphone, or tablet, or from the Dive app (iPhone or Android).
This article first explains how to use these connections in general, then covers the differences for each service in "For Microsoft 365" and "For Google Drive" below.
What you can do with import
When you select a file from the service's file selection screen, it is registered as a material in Dive. You can import any file format that can be uploaded to Dive. Videos, images, PDFs, and other file types are all eligible, with the same format, size, and length restrictions as when uploading from your computer.
For videos, Dive's server receives them directly from the service. Because the file contents do not pass through your browser, it does not consume your local bandwidth. When you download a 5GB video and then upload it again, 10GB passes through your connection, but you can avoid that entirely with this feature.
What enters Dive is a copy at the time of import. The original remains at the source, and Dive does not modify the original (except when you add SOP links, as described below).
Connect to a service
Each user needs to connect once per device they use. If the owner connects, it does not transfer to others. Everyone who uses import must connect themselves once.
- Open the user menu in the top right corner of the screen and click "External service integration"
- In the row for the service you want to use, click "Connect to Microsoft 365" or "Connect to Google Drive"
- A sign-in screen for the service will open. Sign in with the account you want to use
- When a permission screen appears, review it and agree
- You are back to the original screen and see "Connected" — setup is complete
You can use a different account to set up the connection than the one you use to log in to Dive. Which account was used for the connection is recorded in the audit log.
With the Dive app, sign-in and permission review happen in your device's browser (Safari on iPhone, Chrome on Android). When finished, you return to the app's original screen.
Import a file
- Open "Materials" in the sidebar
- Choose a tab for the type you want to import (video, image, PDF, or other)
- Click the add-materials card and select "Teams / SharePoint" or "Google Drive" under "Bring in from the cloud"
- The file selection screen for the service opens. Select the file(s) you want to import (you can select multiple files at once)
- After selecting, you see the same confirmation screen as when uploading from your computer (AI processing options, sharing scope, etc.)
- Check the contents and execute — the import begins
You can only select files of the type shown in the current tab. On the video tab, only video files appear. On the "Other" tab, there is no filtering by type.
How long import takes
Because Dive's server receives videos directly, you can close your browser after starting the import and it will continue. Progress appears in the materials list. For non-video files, the import goes through your browser, so keep the Dive screen open until it completes.
Imported materials count toward the daily upload limit. Being imported from a service does not give you a separate limit.
When the original is updated after import
Materials imported from a service have a marker showing the source. When you select a material, Dive checks the state of the original. If the original has been updated since import, the marker changes to a warning icon.
Clicking the warning icon lets you import the latest content as another separate material. The materials you already imported stay as they are, so SOPs made with an older version do not break.
Dive checks the original only when you select the material itself — not when you open the list. If you are not connected, the original has been deleted, or you lack permission, it cannot check, so the marker does not change.
Add SOP links to the original file
Files imported from a service can be selected as the destination for automatic SOP link insertion in existing Excel, Word, PowerPoint, and PDF files — specifically, the file in its original location. Without downloading and sharing a new copy, anyone who opens the checklist on the service can jump straight to the SOP.
- Open the SOP editing screen, click "Basic Info", and open the "Related files" panel
- In the row for the target file, click "Add Dive links"
- Review the matching results and uncheck any SOPs you do not want to add
- Click "Add to the Microsoft 365 file" or "Add to the file in Google Drive"
This feature is available on Pro and Enterprise plans. Supported formats are Excel (.xlsx / .xlsm), Word (.docx / .docm), PowerPoint (.pptx / .pptm), and PDF (.pdf). For Google Drive, Google Docs, Sheets, and Slides are also supported. Videos and images are not eligible.
If the original has changed since the last time Dive saw it, the update will not happen. This prevents overwriting other people's edits. See the relevant sections below for service-specific notes.
Disconnect
Open the user menu in the top right corner → "External service integration", and click "Disconnect" for the service you want to disconnect. The connection information on this device is cleared and you return to a disconnected state. Imported materials remain.
If you share a computer, disconnect when you are done. When you log out of Dive, the connection information is also discarded.
Turn off connection for the entire team
In the Team settings, on the "Integration" tab, you can set whether to "Use files in Microsoft 365 for this team" and "Use files in Google Drive for this team" for each service. Unchecking turns off both connection and import for that service on that team. The default is "Use".
Only Enterprise plan owners can change this setting. Teams on other plans keep the default "Use" setting.
For Microsoft 365
You can import files from Teams, SharePoint, and OneDrive. For adding materials, use "Teams / SharePoint".
- Accounts you can use: Work or school accounts (OneDrive for Business / SharePoint). Personal Microsoft accounts are not eligible
- What Dive can access: Only files that you originally have permission to see. Dive does not access any files you do not have permission for
- Permission requested at connection: Read-only permission. Write permission for the original file is requested separately when you add SOP links to the file. The permission screen is shown only the first time you run this — after you agree, it does not appear again. If you do not use write-back, Dive never has write permission
Right after connecting, you may see "One step to go". This means file browsing permission for SharePoint and OneDrive has not yet been completed. Clicking "Allow file browsing" on the screen finishes this step — afterward, you will not see a permission confirmation when editing SOPs.
When adding SOP links to a file that is open in Excel, Word, PowerPoint, or SharePoint, the update cannot happen. Close it first, wait a moment, and try again. If it is checked out, you must check it in first.
"You could not approve on your own" message
Your Microsoft 365 is set to require admin approval to use this app. Ask your IT department to approve Dive (published by: EPISOTECH LTD.) for connection. We can provide approval instructions, so please contact us.
"The connection may have been blocked by a Microsoft 365 policy" message
A policy on the Microsoft 365 side, such as conditional access, has blocked the connection. Ask your IT department to check.
For Google Drive
In addition to files in My Drive and shared drives, you can also import files that other people have shared with you. For adding materials, use "Google Drive".
- Accounts you can use: Google Workspace accounts work, as well as personal Google accounts
- What Dive can access: Only files that you select on the file selection screen. Dive does not access any other files
- Permission requested at connection: Viewing and editing permission for selected files are requested together. Google Drive's design does not allow separate viewing-only permission. If you uncheck the "Google Drive" item on the permission screen, the connection will fail
Google Docs, Sheets, and Slides
When you select them from the PDF tab, they import as PDF. When you select them from the Other tab, they import as Word, Excel, or PowerPoint format. Due to Google Drive specifications, files larger than 10MB cannot be exported. In that case, download as PDF or Office format from Google Drive and then import.
When you add SOP links, links are added directly to the original Google Docs, Sheets, or Slides. We do not convert to Office format and upload a new copy, so comments, suggestions, and formatting stay intact.
After you import these files, the original-check will show "may have been updated" if even just the name or sharing settings change.
You can connect only with the account that selected the file
When you add SOP links or bring in the latest version, you use the Google account that selected the file. If someone else on the team does this or you connect again with a different Google account, you will see "Please grant access to this file". Select the file from "Select the file and grant access", and you can continue without re-importing.
When using the Dive app
The file selection screen opens in your device's browser (Safari on iPhone, Chrome on Android). When you finish selecting, press "Return to the Dive app" to go back to the app and proceed with import. On iPhone, when the file selection screen opens, you may see Google sign-in or "Please allow cookies". Follow the on-screen instructions.
This does not work with the smart glasses app. Open Dive on a computer or smartphone browser to import. Imported materials work on the smart glasses app as well.
When you disconnect
Google also revokes the access permission it gave to Dive. If revocation fails, go to your Google Account "Security → Third-party apps and services" (myaccount.google.com/connections), select Dive, and revoke it.
"Permission from your organisation's administrator is required" message
The Google Workspace admin restricts third-party app use. Ask your IT department to set Dive as a trusted app in the admin console under "Security → API Controls → App Access Control". We can provide setup instructions, so please contact us.
"Google Drive access was not allowed" message
The "Google Drive" item on the permission screen was unchecked. Press "Connect to Google Drive" again and keep the box checked as you proceed.
"Cannot import because downloads are restricted" message
This file has viewer downloads disabled on Google Drive. Check the file's sharing settings.
When something does not work (general)
Pressing "Teams / SharePoint" or "Google Drive" shows a connection prompt
You have not connected on this device yet. Use the "Go to integration settings" link that appears. If you have unsaved edits, save them before you go.
"Integration is not allowed in team settings"
The "Integration" tab in Team settings is set to not use that service. An Enterprise plan owner can change this. If you see this on another plan and cannot change it, contact support.
"This is not available on your current plan"
Connection is not available on the Free plan. It is available on Lite and above.
