Before you start creating an SOP, you can work through a conversation with AI to clarify "what the SOP is for," "who will read it," "where to keep it," and "which form to export in." The details you work out stay with the SOP. Later, when you run the pre-publish check, these decisions become the standard against which you compare the finished SOP. If you continue to AI analysis of your materials, the purpose, audience, and scope you decided are automatically passed into the "Description" field of the AI analysis.
Available to customers on Core, Pro, and Enterprise plans. You can use it from a PC browser and smartphone. This feature is in trial release. The conversation material and the items decided in the conversation vary depending on your service plan.
How to open
- From "Create new" in the sidebar, start creating an SOP.
- Below the creation method card, click "If you want to start from the purpose and the reader AI consultation before you build".
The "AI consultation before you build" screen opens. The entry is below the creation method card. If you first choose one of the creation method cards (Create from video / Create from file / Create from scratch), you won't see this screen.
What you can decide
As you chat with AI on the left, the "What is decided" panel on the right fills in with your decisions in order.
- Purpose: What is the SOP for?
- Type: Work procedure, inspection procedure, and so on. If we're reading a company rule document, the type is chosen from that document.
- Audience: Newly hired staff, experienced staff, or people outside your company?
- Scope: What part should go into a single SOP?
- Storage folder: Which folder should it go in?
- Export format: If you have registered export formats, which form should it be?
- Reason for publishing: Chosen from the reasons for publishing registered in your team. The approval workflow is drawn from that reason, so AI doesn't name the workflow directly. You can change it when you request publication.
The conversation doesn't start from a blank slate. It begins with company rules, export formats, writing guidelines, and publishing reasons already registered. Even for teams that haven't registered any of these, the conversation works—just in a streamlined way. Which items you can register depends on your plan (see "What varies by plan" below).
You can also answer using your voice—tap the microphone icon in the input field.
After you decide
Once purpose and type are decided, you can proceed. When everything is decided, it shows "Everything is decided."
In "What to do next" at the bottom right, you see a creation method that fits your decisions and the reason why. Sometimes it includes advice on which scenes to record on video. Click "Proceed to create with this" to move to that creation method.
What you decide stays with the SOP for each version. The pre-publish check compares these decisions against what's actually in the SOP.
Redo or review the conversation
- "History": Reopen past conversations. The number in parentheses shows how many conversations are saved.
- "Start a new one": Keep your current conversation and start fresh for a different SOP.
What varies by plan
You can use the consultation itself on Core, Pro, and Enterprise plans. On Free and Lite plans, the entry shows but clicking it will tell you your plan doesn't support it.
The material the conversation draws on is limited to what you can register under your plan. Items you haven't registered are left out of the conversation—which means you'll be asked more questions—but the consultation still works.
- Company rules: Enterprise plan. If registered, your SOP type is chosen from the types extracted from your rules, and required fields and granularity are checked against those rules. If the rules conflict, AI asks you to choose rather than decide itself.
- How to write SOPs: Enterprise plan. If registered, it shows up in the conversation as your organization's standard. If not, the screen says "If you configure how to write SOPs, you can check against your company's standards."
- Export format: Enterprise plan. If not registered, it says "No export formats are registered (we'll export using Dive's standard)," and no format is decided.
- Reason for publishing: Pro and Enterprise plans. The approval workflow is drawn from the publishing reason, so these two change together. If not registered, it says "No publishing reasons are registered (you can choose when you request publication)."
- Purpose, audience, scope, storage folder: Same across all plans that support the consultation.
For SOP types with company rules, the format is drawn from those rules. If you haven't registered company rules, AI picks from your registered export formats based on what fits the conversation. If neither is registered, the format stays undecided and you proceed anyway.
The flow of decisions passing into the "Description" field of material AI analysis is the same across all plans that support the consultation. When the pre-publish check compares those decisions, different plans are required for different dimensions. To see which dimension needs which plan, read Review your SOP under 7 dimensions (pre-publish check). Reviewing decisions in the conversation (deciding again) uses the same plan as this consultation.
FAQ
Can I change what I decided later?
You can change the destination or format after creating the SOP. The pre-publish check will show "This differs from what you decided when you created it," and you can choose to proceed as-is or align with your original decision.
Can I use it on a smartphone?
Yes. On a smartphone, the conversation spreads across the screen, and what is decided appears in a bar at the bottom. Tap the bar to open a sheet from the bottom, where you can also confirm.
Is it okay if I stop midway?
What you've decided so far stays as your conversation. You can continue from "History."
The entry shows on Free and Lite plans too?
The entry shows, but clicking it will tell you your plan doesn't support it.
