In this release, we have expanded the range of SOPs you can create from photos and materials you have on hand. AI can now write the step text from accumulated work photos. Additionally, we now enable you to distribute Excel, Word, and PowerPoint as SOPs in their original formatting. At the same time, we have made it possible to review development plans in bulk from the Skill Analysis list.
① You can now create SOPs from photos with AI
Previously, when you arranged photos (images) to create an SOP, the image was added to the step but you had to write all the work content text by hand. AI text generation was only available for videos and PDF, Excel, Word, and PowerPoint files.
In this release, you can now create SOPs from images with AI. AI reads the work shown in the photo and creates one step per image, writing the work content, tips, cautions, and safety notes. You can now create a step-by-step guide with text from work photos taken on your smartphone.
●Arrange multiple photos to create one SOP
On the materials page, select multiple images and click "Create SOP in the order selected". A message will appear asking "Do you want AI to write the step text from the selected images?" Choose one of the following:
- Build with text written by AI: AI reads the arranged images together and writes text for each image in order as 1 step per image
- Build from the images only: As before, create an SOP with images only and no text
AI can write text for up to 30 images at once. You can also select multiple images in the sidebar, then "+" → "Create from file" → "Images" tab and create them in the same way.
●Create a step from a single photo
When uploading an image, a message will confirm: "After upload, should AI convert the image to a step right away?" For already uploaded images, you can run AI processing from the material card's "Run AI processing". After AI processing is complete, you can select the image from the "Create from file" → "Images" tab to create an SOP.
When you upload and process multiple images at once, each is processed separately. If you want to arrange them as one SOP, upload only and follow the steps above under "Arrange multiple photos to create one SOP".
●Add to an existing SOP
When selecting "Images" to add steps, for a single image, an AI-processed image will be added to the step along with the text (an unprocessed image will be added as an image-only step as before). For multiple images, choose from "Add with text written by AI" or "Add from the images only". When replacing an image in an image step, if the image has been AI-processed, you will be asked whether to also update the text to match the new image.
●Writing a description of the photo improves reading accuracy
If you write in the AI processing option's "Description of the image" what work the photo shows (subject, purpose, tools used, etc.), it gives AI helpful clues for reading the work.
Example: Photo of disassembling pump PT-300. Through removal of impeller. Tools used: hex wrench.
Common terminology within your company and industry assumptions, once registered in the Terminology Glossary, will be reflected in AI analysis without needing to enter them each time. If the photo contains text, selecting that language will also improve the accuracy of text reading.
●Supported image formats
JPEG, PNG, WebP, and HEIC are supported. GIF, SVG, AVIF, and AR alignment images cannot be read by AI, so when selected, you will be asked to confirm whether to create an SOP from images only.
●Usage terms
Image AI processing is counted together with SOP creation from PDF, Excel, Word, and PowerPoint. The Free plan allows 1 per day; Lite, Core, Pro, and Enterprise plans have no limit on the number of times. When arranging multiple images into one SOP, it counts as 1 time regardless of the number of images.
② You can now deliver Excel, Word, and PowerPoint in their original formatting as SOPs
In "File-based SOPs," where you register a file as a single SOP without dividing it into steps, Excel, Word, and PowerPoint were previously treated as "Other" file types. They could not be displayed in the screen and had to be downloaded and opened on-site.
In this release, once AI processing is complete, Excel, Word, and PowerPoint files are converted to PDF and displayed in the screen. Site staff can check the content just by opening the file, and when they download it, they get the original file (.xlsx, etc.). When offline, you can get the PDF currently displayed.
SOP management features such as folder organization, setting access permissions, searching, and viewing records work as before. You can now distribute existing Excel inspection sheets and Word work standard procedures to the site without changing their appearance.
●You can now choose how to import when creating from file
When you select a file in "Create from file", "How do you want to import the file?" opens, and you can choose from the following 4 options. Previously in new creation, there was only one form: importing all steps split by AI.
- As-is (1 step): Make the entire file one step
- 1 step per slide: Import all steps split by AI
- Select slides: Choose the pages you want to use and import only those page steps
- File-based: Do not divide into steps; register the file as a single SOP
●When replacing a file, you can also adjust the SOP information
When you select a different file in "Change file" for a File-based SOP, you can choose for each item whether to match the thumbnail, title, description, materials used, and related files to the contents of the selected file.
③ You can now review development plans in bulk from the Skill Analysis list
Previously, changing the Development lead or setting plan periods required opening each person's individual page one at a time. To find out "Who has this skill stuck at level 2?" and "Who is developing that person?" you had to navigate back and forth between screens.
In this release, we have added "Current level" and "Development lead" columns to the Skill Analysis list, and you can now filter by all columns. You can select the filtered people and perform the following operations in bulk right there:
- Change the development lead in bulk
- Set the plan period in bulk
- Email the person and their development lead with their current level, development plan, and progress to date
Bulk operations do not apply to people hidden by filters. Group Administrators can only perform operations on people in the groups they manage.
●You can now select a development lead from outside the learner's group
We have expanded the options for development lead candidates beyond those in the same group as the learner. Owners and Team Administrators can select from all team members; Group Administrators can select from members of the groups they manage. A Development lead can record development progress for that skill even if they are in a different group from the learner (both on PC and mobile).
●Development records are not interrupted even when you unlink team-common skills
If you unlink a group skill from Team-common skills and then re-import it later or make it a team-common skill again, it will return as the same skill. Assessments, development records, and development plans are carried over as is.
At the same time, the ability to edit the name, description, and assessment criteria of Team-common skills has been aligned with the Enterprise plan. Previously, even non-Enterprise plans could edit from the group that had been made team-common. If you want to change content only for that group, unlink the Team-common skill first and then edit. Target level, required personnel, and procedures for that group only can be changed as before.
●Usage terms
Skill Map is available with Core, Pro, and Enterprise plans.
Impact on existing customers
No settings need to be redone. For customers on non-Enterprise plans who were editing the name, description, and assessment criteria of Team-common skills on the group side, the process will now require unlinking first before editing.
