There are two ways to change account information: users can change their own information, or owners / team administrators can change other users' information. Since the items available to change differ, we will explain both methods.
No matter which changes are made, the user's usage history, group affiliation, and permissions are preserved.
Changing Your Own Account Information
You can change your own information from the user icon (user menu) at the top right of the screen.
Display name
You can change your display name for this team (other teams are not affected).
Profile photo
You can set or change your profile photo (avatar).
Password
You can change it from "Change password". Even users with email-free accounts can change their password themselves.
* Users who log in via SSO (Single Sign-On) cannot change their password on the Dive side (it is managed on the ID platform side).
Two-factor authentication
You can set it from "Two-factor authentication settings". Note that email-free accounts cannot have two-factor authentication set up (since there is no recovery method in case of loss).
Administrators Changing Other Users' Account Information
Changes such as email address changes and account type switching are performed by owners / team administrators / group administrators from "User details" in user management.
Opening User Details
- Open "User management" in the sidebar
- Click on the target user and open "User details"
Changes related to ID and password can be made from the "[…]" at the top right of "User details".
Changing Email Address
You can change the email address (login ID) of a user who logs in with an email address.
- From the "[…]" menu, select "Change email address"
- Enter the new email address and click "Send confirmation email"
- A confirmation link will be sent to the new address. The change is confirmed when the user opens the link (the link is valid for 24 hours)
If the confirmation email is not received, you can resend it from "Resend confirmation email".
Switching Account Type
"Log in with email address" accounts and "email-free accounts" can be switched to each other.
● Log in with email address → Email-free account
- From the "[…]" menu, select "Switch to email-free account"
- Enter a login ID (employee number, etc. Optional. If blank, it will be auto-assigned)
- Click "Switch to ID"
- A new login ID and initial password will be issued. Please distribute these to the user
After the switch, logging in with the previous email address will no longer be possible.
● Email-free account → Log in with email address
- From the "[…]" menu, select "Change to a real email address"
- Enter the email address to use and click "Send confirmation email"
- A confirmation link will be sent to that address. The change is confirmed when the user opens the link
Password and Invitation Operations
- Password reset (email address accounts): From "Send password reset email", you can send a reset link to the user's registered email address
- Password reissue (email-free accounts): Email-free accounts cannot be reset via email, so the administrator reissues the password from user details
- Resend invitation email: For users who have not yet completed registration, you can resend from "Resend invitation email"
Other Changes Available in User Details
- Change display name: For more information, see Changing a User's Name
- Change permissions: Change from "Permissions". You can only grant permissions equal to or lower than your own, and owner permissions cannot be granted to email-free accounts (reference: User Permissions and Account Limits)
- Change group affiliation: For more information, see Editing a User's Group Affiliation
- Disable or restore a user: Disable with "Disable user" (logical deletion). It can be restored at any time from "Disabled users". Note that you cannot disable your own account. If you need to remove yourself, another owner / team administrator must perform the operation (reference: Account Limits and Counting)
For any changes or switches, the user's usage history, group affiliation, and permissions are preserved. Use this feature according to your operational needs.
