When someone completes a training course, acquires a valid qualification, or finishes all SOPs linked to a skill, Dive automatically updates that person's skill level. No one needs to manually adjust individual levels—your Skill Map stays current.
Available on Core, Pro, and Enterprise plans. Owner, Team Administrator, and Group Administrator can configure the linkage settings. Owner and Team Administrator can configure team-wide automatic evaluation settings.
For manual level adjustment, see Set team member skill levels. Even when using automatic updates, manual changes work as before.
For guidance on when to evaluate using assessment questions in SOPs versus confirmation tests in courses, see Use SOP questions and confirmation tests to evaluate skills.
How automatic updates work
When you link "Courses where this skill is gained" or "Qualifications that prove this skill" to a skill, the skill level rises to the target level you set when someone completes that course or acquires that qualification.
The linkage is maintained as a single relationship. Editing from either the course or skill side updates the same link. You don't need to re-register it on both sides.
Automatic updates are enabled by default. If you've configured no linkages, nothing happens—teams that don't use this feature won't have levels change unexpectedly.
There is also a pathway to raise the level when someone completes all "Related procedures" linked to a skill. This works even without courses or qualifications (described later as "Raise from related SOP records").
Link courses to skills
There are two entry points; the result is the same either way.
Configure from the training course
- From the sidebar, open [Education Management] > [Training] and edit the target course.
- In [Skills gained], select the skill.
- For each skill, select the [Target level] (Lv1–Lv4). This is the level the skill rises to upon completion.
- Save.
Configure from skills
- From the sidebar, go to [Education Management] → [Development], open the Skill Map for the target group, and click [Edit skill map].
- Select the skill and open the [Linkage] tab.
- In [Courses where this skill is gained], select the course and target level, then save.
For course creation and assignment, see Training feature: How to create courses, assign them, and view completion status.
Link qualifications to skills
Register the relationship "holding this qualification means this skill has been reached." Use this when a license or internal certification directly proves competency.
- From the sidebar, open [Education Management] > [Qualifications] and edit the target qualification.
- In [Skills proven by this qualification], select the skill and target level, then save.
From the skill side, the same setting is available in skill definition editing, under the [Linkage] tab > [Qualifications that prove this skill].
The [Qualifications to link] in the same [Linkage] tab has the opposite direction: "this qualification is required to perform this skill"—a prerequisite that doesn't change levels. It only displays holding status. For qualification registration and expiration management, see Manage qualification expiration dates (licenses, internal certifications, health checks).
Raise from related SOP records
Configure the skill to rise in level when someone finishes all related SOPs linked to that skill. This works even without courses or qualifications—you can operate using only SOP execution records.
Configuration is split across two places. If either is not set, nothing happens.
- What level to raise to (per skill): Open the [Linkage] tab in skill definition editing and select [Target level on completing all] below the related procedures. Skills with this unset will not rise.
- What counts as completion (team-wide): Go to [Development] → [Common settings] → [Automatic evaluation] and select under "Raise from related SOP records".
- Only when completed as Solo completion (default): The person completed to the end and answered all questions correctly. This is closest to "can perform alone." SOPs without correct-answer questions count if completed to the end in the latest version. Completions submitted without answering questions are not counted.
- If they went through to the end: Counts if completed to the end, even if questions were answered incorrectly.
- Do not raise from SOP records: Select this if you don't use this pathway.
Times needed for solo completion
Under the same section, [Times needed for solo completion] sets how many times the "solo completion" condition must be met.
- Once is enough (default): Solo completion is achieved if there is one instance of completing to the end without any errors on questions with correct answers set.
- Consecutive times on separate days (2–5): Solo completion is achieved if there are that many consecutive instances of completing to the end without errors, occurring on different days. Multiple executions on the same day count as one day. An error resets the count. (Errors in Reference mode where questions were skipped are also included.) Gaps between days are fine as long as there are no errors in between. For SOPs with no branching where questions were skipped and submitted as complete, those instances are not counted.
For SOPs without correct-answer questions, solo completion is achieved if all current-version questions are answered and the SOP is completed to the end, regardless of how many times.
The count also affects "Solo completion" display in Skill Details and SOP viewing records. (This count is used even when "Automatic evaluation" is off or a different condition is selected for "Raise from related SOP records".) When you select "Only when completed as Solo completion" and reduce the count, confirmation is shown before saving and applied team-wide. Raising the count does not lower already-raised levels.
If even one of the linked procedures does not meet the condition, the level will not rise. Allowing partial completion would weaken the standard as more SOPs are added.
Judgment occurs when someone completes an SOP. If communication failed at that time, judgment is made when the person's skill page is opened (from [Development], opening the person's screen). The development record shows the reason: "All X related procedures completed…"
People hidden in the Skill Map are not judged by related SOP records.
Choose how to update
Choose at the team level whether levels are automatically confirmed or only records are kept for manual confirmation.
- From the sidebar, open [Education Management] > [Development], then click [Common settings].
-
Open the [Automatic evaluation] tab.
In the [Automatic evaluation] tab, select under [How to update]. This setting applies whether levels rise from course completion, qualification acquisition, or related SOP records.
Selecting [Confirm the level automatically as well] (default) updates skill levels without human review. Change history is recorded as automatic update.
Selecting [Keep only the development record and let a person confirm the level] automatically keeps course completion, qualification acquisition, and related SOP completion in the development record, but administrators must confirm levels. Choose this if you require a person to be recorded as the evaluator.
To stop automatic updates entirely, toggle [Use automatic evaluation] off on the same screen.
Conditions for automatic updates to apply
Updates occur when all of the following are true:
- The course has "Skills gained" or the qualification has "Skills proven" configured.
- For SOP records, the skill must have "Target level on completing all" set and all linked procedures must meet the condition.
- Courses with a confirmation test must pass. Courses without a confirmation test must have all included SOPs completed.
- The qualification must have a currently valid holding (including those nearing expiration). Applications awaiting approval or expired holdings do not trigger updates.
- The person must belong to a group that has this skill.
- The skill must be marked for evaluation. Levels are not changed for people marked as out of scope.
- The person has not manually set the level after this record (set, changed, or reverted to unevaluated; levels imported via Excel are excluded). If manually set, the record is kept but the level is not changed.
If the person is already at the same level or higher, the level does not decrease. Automatic updates only raise levels.
The same record (same course, qualification, or related SOP) triggers automatic update only once. A level lowered or reverted by a person is not re-raised from the same record. The timestamp compared is: for courses, when passed/completed; for related SOPs, when all linked procedures are complete; for qualifications, when the holding is registered or approved (not the acquisition date).
When you link later or change settings
Saving the following settings also applies to people already meeting the conditions at that moment. The count of applied cases appears after saving. People with manually set levels after the record are not changed—only records are kept.
- Changing a skill's [Target level on completing all] or related procedures.
- Changing a course's [Skills gained], or completion conditions (presence of SOPs, confirmation test, strict completion check).
- Changing a qualification's [Skills proven by this qualification].
- Turning on automatic evaluation, or relaxing the condition for "Raise from related SOP records" (including reducing the times needed for solo completion).
When turning on automatic evaluation or relaxing conditions, a confirmation is shown before saving because the entire team is affected. Since automatic updates only raise levels, reverting the settings later does not automatically lower already-raised levels.
Application per skill, course, or qualification happens sequentially on the screen where you saved. When the entire team is affected (turning on automatic evaluation or relaxing conditions), the server applies sequentially so work continues even if you close the screen. Progress and results appear at the top of the [Automatic evaluation] tab. If the process stops partway, click [Resume applying] to continue. Some people could not be applied even after several attempts appears if some could not be updated. You can try again from [Re-apply with current settings].
When you want to re-apply the entire team with unchanged settings, click [Re-apply with current settings] on the [Automatic evaluation] tab (Owner / Team Administrator). When team-wide application finishes while you have the Skill Map open, a notification appears in the top-right of the screen. Click [Refresh to latest] to display the applied results in the table.
For qualifications, only currently valid holdings (including those nearing expiration) are applied.
Confirm that updates have occurred
- From the sidebar, open [Development] and open the skill page for the target person.
- Click the skill and check the change history under [Change level]. For automatic updates, the changer shows as Dive (Automatic Evaluation).
- The [Development record] tab keeps one record for each course, qualification, or related SOP that triggered the update, showing the basis.
When you select [Keep only the development record and let a person confirm the level] for update method, development records are kept the same way. Review the records, then confirm in [Change level].
If a person manually set the level afterward so it was not changed, the end of the development record shows "(Person's manually-set level takes priority; level was not changed)."
Show the floor team "how to gain this skill"
Opening skill details displays [How to gain this skill]. Courses where the skill is gained and qualifications that prove it are listed with target levels and current status (completed/incomplete, qualification valid/expired).
This is not displayed for skills with no linkages configured.
If you are using the "Raise from related SOP records" setting, on the same screen, the related procedures list shows execution status for each (solo completion judgment). When times needed for solo completion is 2 or more, people in progress are shown as "Solo in progress 1/3 days." Procedures submitted as complete without answering questions show as "Completed (unanswered questions)" and are not counted toward solo completion. Pressing [Solo completion] opens that person's Stumble map. Pressing [Viewing records] opens that person's viewing records for the procedure (execution records, Stumble map), displayed to Owner, Team Administrator, Group Administrator viewing their managed group's people, and the person themselves.
Needs re-check mark
Automatic evaluation does not lower levels. Instead, it marks with "Needs re-check" those who should review their progress after a level rose.
- Stumbled after solo completion: After becoming solo, the most recent execution had a wrong answer to a question. The mark clears when completed again to the end without errors. If the error was in Reference mode, it is noted as such (Reference mode executions do not count toward stumble count or Stumble map; check the "Reference" row in [Execution records] on the SOP's viewing records).
- Not performed since revision: The previous version was completed to the end, but the SOP was revised and the new version has not yet been completed to the end. The mark clears when the new version is completed to the end. A version that was deleted and restored counts only as deletion, not revision.
Marks appear in the related procedures list in Skill Details, skills in [Development] on the Personal page (click to open development records for that skill), the cell's top-right dot on the Skill Map (orange: stumbled after solo, blue: not performed since revision), the teacher list ([Needs re-check] count and filter), and the "Solo completion" column on SOP viewing records. Marks do not appear for skills out of scope.
Marks are visible to Owner, Team Administrator, Group Administrator (people in managed groups and themselves), the person, and their development instructor. On Skill Map, dots are not displayed when more than 60 people are shown. Check the Personal page or teacher list instead.
Frequently asked questions
Does the skill level drop if a qualification expires?
No. Automatic updates only raise levels. Check expirations on the qualification screen and have the administrator decide whether to lower the level.
We use the same skill in multiple groups. Do I need to configure each group separately?
If the skill is defined as a Team-common skill (Skill Catalog), the linkage is made once and applies to all groups that have adopted that skill. Skills created independently by a group are configured for that group's skills. For Team-common skill definition, see Define team-common skills (Skill Map common settings).
If someone retakes the same course, do the records keep growing?
No. If an automatic record for the same course to the same level already exists, no new record or level update is created.
Does the level only rise if all linked procedures are completed?
Yes. All linked related procedures must meet the team's "counts as completion" condition for the level to rise.
Can manually-set levels be overwritten?
If the person is already at the same level or higher, no update occurs. The level will never be lowered. Also, after a person sets, changes, or reverts a level to unevaluated, prior records do not change the level—only records are kept. (A level lowered by a person is not re-raised from the same record.) Levels entered via Excel import are not treated as person-set levels. Change history shows whether changes were manual or automatic.
If I increase the times needed for solo completion, do already-raised levels drop?
No. Automatic updates only raise levels. The solo completion display uses the new count, so people who rose under the old count may now show as "Solo in progress," "Completed with stumbles," etc.
