If you are already managing a skill competency table in Excel, you can import and migrate that data to Dive.
The import process is divided into four parts: members (roster), skill items, skill levels, and qualifications, performed in that order. Levels and qualifications are recorded for specific members and their skills, so members and skill items must be registered first.

Before you start: Things to confirm
- Skill maps and qualifications are available on the Core, Pro, and Enterprise plans
- Export to Excel and Level import are available on Pro and Enterprise plans
- Owner and team administrators perform bulk user registration. Group administrators can also manage skill items and levels for their assigned group
- All operations are performed from a PC browser
If your skill competency table is divided into sheets by department, creating groups in Dive using the same structure will make the migration easier.
Step 1: Register members (roster)
Members who appear on the skill map are users registered in Dive and assigned to that group. First, register your roster as users in Dive.
- Open User management in the sidebar and click Bulk change in the top right
- Click Download current settings to get an Excel file (it contains three sheets: "User list," "Group hierarchy," and "How to use")
- Fill in departments and processes in the "Group hierarchy" sheet. Groups you enter here will be created during import
- In the "User list" sheet, enter one member per row with their name and assign a group affiliation
- Select a file, verify the contents in the preview, and perform the import
The columns in the "User list" sheet are read by position, so edit the downloaded file as is. The column order is: Email address / Login ID, Name, Authority, Email-free account, Employee number / ID, Notification email, Group affiliation 1–10.
- Users with an email address will receive an invitation email, and registration is complete once they set a password
- For on-site staff without an email address, enter "X" in the "Email-free account" column, and a Login ID and initial password will be issued
- There are two import modes: Incremental add (recommended) and Overwrite (full replace). With overwrite, existing users not in the sheet will be deactivated, so we recommend incremental add for normal use
- Each registered member consumes one account from your contract account quota. If you exceed the limit, an error will display in the preview before import

Step 2: Register skill items
Import the skill items section (categories and skill names) from your Excel file.
- Go to Education management → Development to open the skill map and select only one target group
- Click Edit skill map
- Select Import → From Excel and load the file
- Verify what will be added or updated in the preview and confirm
- Changes are not applied until you click Save on the definition edit screen
The columns read are: Category, Subcategory, Skill, Target members, Target level, and Description. The system can absorb variations in header wording, so it can read formats like "Major category," "Minor category," or "Item." At minimum, two columns (Category and Skill) are needed for import.
- Column order does not matter. Columns that don't match (such as members achieved or member names) are ignored
- The system looks for the header row in the first five rows, so tables with a title row at the top can be imported as is
- Rows with blank categories or subcategories inherit the value from the row above (merged-cell tables can also be imported as is)

Step 3: Register skill levels
Once members and skill items are registered, import each member's level. The import is done by writing back to a file exported from Dive.
- On the skill map screen, select only one target group and click More → Export to Excel
- In the "Skill map" sheet of the exported file, enter half-width numbers 1–4 in the member columns
- On the skill map screen, select More → Level import and load the file you filled in
- Choose how to handle existing levels: Fill blanks only (keep existing) or Overwrite existing too
- Check the breakdown of "Import," "Skip," "Unmatched members," "Unmatched skills," and "Invalid value," then perform the import
- Only half-width numbers 1–4 are recognized as levels. If your table uses symbols like o, triangle, or x, use Excel's find and replace feature to convert them to numbers 1–4 before pasting
- Blank cells are treated as "no change"
- To identify members, use the "Members" sheet in the exported file (a table matching display names and email addresses to column). Do not delete the sheet or reorder columns
- If multiple people share the same display name, the import will be skipped to prevent confusion. Guests are not included
Imported levels are retained in the evaluation history as official levels. For details, see Set member skill levels.
Step 4: Register qualifications
Qualification records can be imported directly from your qualification ledger.
- Go to Education management → Qualifications and click Bulk import in the top right
- Either download a template or drag and drop your existing Excel or CSV file
- In the row-by-row preview, check for rows where the target person is not found or the acquisition date cannot be read
- Click Import ◯ records to confirm
- Members are matched by the "Name" or "Email" column; qualifications are matched by the "Qualification name" column. If an email column exists, it takes priority
- Required columns are: Qualification name, acquisition date, and either Name or Email. Expiration date, next refresher, certificate number, issuing organization, and remarks are optional; if expiration date is blank, it is automatically calculated from the qualification master
- Rows with people who share the same name will not be imported. Use the email column to specify
- If a qualification on the ledger is not yet registered, you can select Create unregistered qualifications in the master

Frequently asked questions
Do I need to register everyone on the roster?
Registration consumes one account for each person, so you may choose to register only those who are evaluation targets initially. If you want to hide registered members from the skill map display, you can do so from the Order & display → Member display menu in the top right corner of the skill map table (at the right end of the header row where member names appear). Hidden members are also excluded from calculations (members achieved, total members, and gaps).
Can I also migrate phonetic guides and job titles?
There are no dedicated fields for phonetic guides or job titles. You can include them with the display name (for example, "Taro Yamada [タロウ ヤマダ]"). Display names can be changed in bulk from the Excel file in Step 1.
Can I import levels as symbols like o, triangle, x?
Symbols cannot be imported as is. Use Excel's find and replace feature to convert them to half-width numbers 1–4 before importing.
Can I reorganize groups after import?
You can change groups later. Skill map and folder access restrictions depend on the source group, so when making organizational changes, also see Key points for reflecting organizational changes in Dive.
