Fuzzy search (finds matches even when the words are not exactly the same)
Even if the words you type in the search box are not exactly the same as the text in an SOP, the search still finds it in the following ways.
- Reading: Even if you type in hiragana, SOPs written with kanji will match (for example, typing "tenken" finds SOPs with "Inspection," and "shimetsuke" finds SOPs with "tightening"). Words that are read the same but mean something different are not matched (for example, "Abnormal" and "or higher" are both read "ijou" but are not matched)
- Team dictionaries: Matches also use the readings in the Pronunciation Dictionary, and the Aliases (alternative names and spelling variations) and the notation of each language in the Terminology Glossary (for example, searching for the Vietnamese "bu lông" finds SOPs for "bolt")
- Typos: Small typos still match. Matches are made only when the characters line up within a range close to the length of the word, so characters that are far apart in a long text are never picked up as a match
- Sort order: The fewer SOPs a word matches, the more heavily that word counts, so those SOPs are shown higher (for example, when you search for "work calibration," the SOPs that contain "calibration" appear at the top)
- Did you mean: If no SOP matches, similar words are suggested based on SOP names, step names, items used, and tags
- Similar meaning: When fewer than 20 SOPs match the word, SOPs with a similar meaning are added below. "Similar meaning" is shown under Hit location
Search the file text of file-based SOPs
The text inside file-based SOPs (PDF, Word, Excel, PowerPoint) is also searched. If a match is found in the file text, the matched page is shown under [Hit location], and clicking it opens that page. In [Search conditions], select [File text] under [Hit location] to narrow the results to matches found in the file text.
- Scanned PDFs without text cannot be searched by their file text (they can still be found by SOP name and other fields)
- File text can be searched for up to 5 million characters across the entire team. File-based SOPs beyond that limit can be found by SOP name and other fields
- After you register or replace a file, it may take some time before its file text can be searched
When offline
Searching by typing words into the search box is only available when you are online. While offline, "Cannot search because you are offline" is displayed.
Search conditions
You can set detailed conditions. In particular, filtering by Tag lets you quickly narrow results by the tags attached to SOPs and folders (multiple selection is possible, with OR conditions). For how to register and add tags, see Add tags to SOPs and folders (tag feature).
How to search
From the Top Page
-
Log in to Dive, and you will find a search box on the Top Page. Enter the keyword you want to search for.
-
Search results are displayed. You can also narrow them down with AND or OR search.
From a folder
You can also search from a folder. In that case, the search is limited to the items under that folder.
