AI Search gives guidance tailored to each person who asks a question, based on the courses they are taking, their skill targets, and their SOP work records. For each SOP in an answer, it shows "Your status," and it adds one "What to learn next" item below the answer. Besides showing which SOP to look at, AI Search also tells you whether you have already done it, where you got stuck last time, and what to learn next.
This feature is available only to customers on the Core, Pro, or Enterprise plan. You can also turn it off in the team settings (on by default).
What is Personalized AI Search guidance?
This feature adds guidance created from the asker's own records to AI Search answers. The SOPs shown in an answer are still limited to the SOPs that the person is allowed to view, as before. The order of the SOPs and the guidance change based on the person's records. The AI model does not learn from this, and it does not affect other teams.
For how to use AI Search itself, see How to use AI Search.
"Your status" on answer cards
For each SOP in an answer, the following items are shown. On the closest card (the first one), all applicable items are shown. On the second and later cards, up to two lines are shown.
| Display | Details |
|---|---|
| Not done yet / Partly done / Completed (last done 10/12) | The work record for that SOP. "Not done yet" is not shown for a person who has no work records at all. |
| Answered the step 3 question incorrectly last time | The step where a question was answered incorrectly in the most recent work record. |
| Revised since you last did it (due 10/31) | This SOP was revised after the last time it was done. Once the due date has passed, it is shown in red. (See also: Managing re-confirmation after revising an SOP) |
| SOP in course "New Employee Training" (2 remaining, due 10/31) | An SOP in an assigned course that is not yet completed. If the due date has passed, "Due date 10/31 has passed" is shown. If you have finished the SOP and only the assessment test remains, "Assessment test remaining" is shown. |
| Leads to skill "Welding" (Lv1 → Target Lv3) | An SOP in the related procedures of a skill that has not reached its target level. |
The AI's reply may also include one short note based on the person's records (for example: "You answered the step 3 question incorrectly last time, so please review from step 3.").
"What to learn next" below the answer
Below the answer, one SOP to learn next is shown. It is chosen in this order.
- The next SOP in an assigned course that includes the SOP in the answer (not yet completed, unlocked in sequence, and viewable by the person). If the person has finished the course's SOPs and only the assessment test remains, "Course '[course name]' has an assessment test remaining" is shown.
- If item 1 does not apply, an incomplete related procedure of a skill that has not reached its target level, where the SOP in the answer is one of the skill's related procedures.
If neither applies, nothing is shown. Guidance about an overdue course that is unrelated to the answer is not shown.
- [Open]: Opens that SOP
- [View course]: Opens the [Education] tab on your Personal page, where you can check your progress in the course
Asking how to learn something
If you type the name of an incomplete course of yours, or of a skill that has not reached its target level, and ask how to learn it (for example, "How can I learn to operate a grinder?" or "How can I finish New Employee Training?"), the SOPs in that course or skill are shown first.
Even when the AI cannot find a matching SOP, up to five SOPs in that course or skill are shown, labeled "These are the SOPs included in your assigned courses and skills." Only the courses assigned to the person and the person's own skills are used.
Records that are used and records that are not used
Only the following records of the person who asked are used.
- Role and Group Affiliation
- Progress, due dates, and assessment test results for assigned courses (counted only for SOPs the person is allowed to view)
- Current skill levels and targets (skills in groups hidden from the person on the Skill Map are not used)
- SOP work records (Not done yet, Partly done, Completed; steps where questions were answered incorrectly; work done after a revision)
- HR fields (department, position, hire date): used only when turned on in the settings. The hire date is used as length of service, not as a date (see also: Registering a department and position)
The following are never done.
- Using other people's records or names. The person's status also never appears in other people's AI Search.
- Showing SOPs the person has no permission to view, by name or by count
- Showing HR fields in AI replies, cards, or "What to learn next." HR fields are used only to decide the order of matching SOPs and where to look first. They do not change the range of SOPs the person can view.
- Using employment type, retirement date, or employee ID
"Your status" is not saved in AI Search conversation history. When you reopen a conversation from history, the status from that earlier time is not shown. It is not used in AI Search for guest users.
How to configure
The owner configures this from a PC browser.
- In the side menu, open [Owner Functions]
- Select the [Business rules] tab at the top, then open [Personalized AI Search guidance · Unresolved question list]
- Select the following items, then click [Save]
| Item | Default | Details |
|---|---|---|
| Use the asker's own courses, skills, and work records in AI Search | On | When turned off, "Your status" and "What to learn next" are not shown (AI Search answers are the same as before) |
| Also use HR fields (department, position, hire date) | On | When turned off, only the HR fields are not used (courses, skills, work records, and Group Affiliation are still used). This has no effect when the item above is turned off. |
For "Collect unanswered questions" and "Roles that can view unanswered questions" in the same card, see Deciding which SOPs to create or revise from unanswered AI Search questions (Unresolved question list). You can restore the default settings with [Restore defaults]. Items that are not available on your current plan show "Not available on your current plan" and cannot be changed.
Frequently asked questions
"Your status" is not shown
It is not shown if any of the following applies.
- The team's plan is below Core
- The owner has turned off "Use the asker's own courses, skills, and work records in AI Search"
- The person was invited as a guest
- There are no records to show for that SOP (for a person with no work records at all, "Not done yet" is not shown; for an SOP that is not included in any course or skill, nothing is shown)
- The records could not be loaded (in that case, AI Search gives the same answer as before)
Does the AI's reply mention department, position, or length of service?
No. HR fields are used only to decide the order of answers and where to look first.
An SOP you should have completed does not show "Completed"
There may be a different SOP with the same title. Check the storage folder name on the card to confirm whether it is the same SOP you worked on.
