When you create an SOP from material after AI processing, the "Step conversion settings" screen appears. At this timing, you specify how to handle narration audio, subtitles, questions, and related files all at once. Even if you press "Confirm with this content" with the default settings, the SOP is created, and you can change the specified settings anytime later.
Items are grouped into collapsible sections: "Audio", "Subtitles", "Questions", "Reference", and "Other". Even when collapsed, the section heading on the right displays your current selection. Open only the sections you want to change. When you first open it, all sections are collapsed, and the open/close state is remembered for next time. If no keywords are found and all questions are removed, the "Questions" section opens automatically to notify you.
When it appears
It appears during the following operations:
- When you open an SOP from the AI processing completion email link
- When you create a new SOP from material
- When you add video or files to a draft SOP using "+ Add step"
The displayed items vary depending on the material type. For non-video material, "Mute video audio" and "Subtitles" are not displayed.
| Collapsible section | Items inside |
|---|---|
| Audio | Narration target, Mute video audio |
| Subtitles | Subtitle types to adopt (video only) |
| Questions | Apply questions to steps, Continue when unexpected, Use AI check, Keep questions only for steps where a keyword was spoken |
| Reference | Register as a related file of the procedure, Register the corresponding page as an attachment on each step, Alternate reference pages with video steps (when creating from a file or when analyzing video with a specified reference SOP) |
| Other | Include the items used detected by AI (only when detected), Open with the step text pane collapsed (only when creating a new SOP) |
Narration target
Within the "Audio" section, select which text to narrate when playing the step. The default when creating from video is "Subtitles"; when creating from a file, it is "Text" (files cannot select "Subtitles"). Your previous selection becomes the initial value next time.
| Option | What gets narrated |
|---|---|
| None | No narration audio is created. For operations where text is read, or for sites where sound output is difficult |
| Text | The body text of each step, plus work tips and cautions are narrated. It does not sync with the video |
| Subtitles | Subtitle text is narrated. For sync with video, the narration speed automatically adjusts so each subtitle stays within its display time |
Narration audio is generated by AI reading text aloud, not a recording. To change narration content, edit the source text or subtitles. For details, see Subtitle and text narration.
Mute video audio
Within the "Audio" section. Whether to mute the audio in the original video. The default is ON.
If you want to keep the original narration from filming, turn it OFF. If you selected "Subtitles" in "Narration target", the narration and original audio overlap, so it automatically turns ON and cannot be changed.
Subtitle types to adopt
Within the "Subtitles" section. AI video processing generates two types of subtitles separately. Choose which one to use as the SOP's subtitle.
| Option | Content | Default |
|---|---|---|
| AI-generated | Descriptions of actions detected from the video. The subtitle shows what is happening in each scene | ON |
| Speech transcription | Exactly what the videographer or worker said, transcribed to text | OFF |
If you select both, speech and action subtitles are combined on a timeline and enter as a single subtitle. If you deselect both, no subtitle displays. If material has no data on one side, it shows "(No data)" and cannot be selected.
Here is a guide for choosing: For videos of work, "AI-generated" is fine as-is. For videos where the speech is the main content, such as lectures or explanations, selecting "Speech transcription" preserves what was said as subtitles. Subtitle text is searchable, so you can later find scenes by the words they contain.
After creating the SOP, subtitles can be edited in Editing subtitles.
Other (Items used, text pane)
Within the "Other" section.
If you check "Include the items used detected by AI", items such as parts, materials, and tools that AI detected from the video or material are registered in "Items used" in the SOP's basic information, and you can trace them from the SOP. The default is ON. It is displayed only for material from which AI could detect items used, and the number detected is shown below. After creation, you can add, edit, or delete them. For details, see Setting document number, items used, and standard time for an SOP.
If you check "Open with the step text pane collapsed", the text pane on the right opens in a collapsed state when playing. The default is OFF. Use this when you want to display the video larger, or when you want images or slides with just narration audio to appear like a video.
The text does not disappear; it is just collapsed. If narration is set, the audio plays even while collapsed. Viewers can open the text pane using the "Step" tab in the divider.
"Open with the step text pane collapsed" is a per-SOP setting, so it does not appear when adding material to an existing SOP with "+ Add step". After creation, you can switch it from "Playback & display settings" in the SOP's basic information. For details, see Hiding text (description) during playback.
Questions
Within the "Questions" section. "Apply questions to steps" is whether to apply the AI-generated verification questions to the steps. The default is ON. In addition to video, questions are also created when creating from files (PDF, Office files) if you checked "Create questions" in the AI processing options. Questions are available on Core, Pro, and Enterprise plans. You cannot select if your plan doesn't include questions or the material has no question data.
If you check "Continue when unexpected", questions change from pass/fail to normal/abnormal judgment. Even if the answer is not normal, you can continue to the next step, and "Abnormal" is recorded, making it suitable for checklist operations. If unchecked, you cannot proceed to the next step without selecting the correct answer. If "Current field confirmation" was selected in the AI processing options' "Question type", this check is ON by default.
If you check "Use AI check" (beta), "Require photo submission" and "Use AI check" are collectively set on all steps that have questions. The default is OFF. AI re-examines submitted photos and advises OK, needs review, or cannot determine. It does not judge pass/fail or prevent answer saving. Available on Pro and Enterprise plans. Per-step adjustments can be made after creation from each step's questions. For details, see Using AI check (double-check of submitted photos).
If you check "Keep questions only for steps where a keyword was spoken", questions remain only on steps where the specified word is spoken, and questions are removed from other steps. The default is OFF. If you include a cue like "be careful here" during filming, you can narrow questions to key points. This appears only for video material. For details, see Keep questions only for steps where a keyword was spoken (filtering questions).
For details, see Step-level question settings and Pass/fail questions and implementation records (checklist operations).
Reference (Related files, page attachments, alternating display)
Within the "Reference" section. It appears only when creating an SOP from a file or when analyzing video with a specified reference SOP.
If you check "Register as a related file of the procedure", the source file is registered as a related file of the SOP and becomes traceable from the SOP. The default is OFF. Registered files are also displayed to View-only users. If you do not want to display them, you can switch to "Hide from viewers" from the related files list after registration. If the same file is already registered, it is not added again.
If you check "Register the corresponding page as an attachment on each step", each step is attached the page of the material that became that step, as a PDF. The default is OFF. It can only be used with video analyzed using "Split according to the document's steps". If the material has fewer pages than steps, the same page is attached to multiple steps.
If you check "Alternate reference pages with video steps", material pages are made into individual steps and inserted before the video step corresponding to that page (for example: Material P.1 → Video → Material P.2 → Video). The default is OFF. It can only be used with video analyzed using "Split according to the document's steps". It does not appear when creating from a file.
- The page step's heading is "Material name (P. page number)", and that page of the material is displayed. No body text is included, and narration is OFF. The material's text is included in the body of the video step
- When multiple video steps apply to one page, the page step appears only once where the page changes
- Videos are divided into separate video step blocks where pages are inserted. Video editing and audio settings are done per block. In each block's video editor, the timeline shows parts of other blocks, but adoption and cut changes cannot be made
- It is available when creating from the material page, in new creation screens, and when adding video in SOP editing. It does not appear when inserting into the middle (gap) of a video step block
- If pages could not be inserted, you are notified of the reason (video not split according to the document's steps, material could not be loaded, steps and pages could not be matched). If material cannot be loaded, check that the reference material has not been deleted from the material
Settings are remembered
Your specified settings are remembered and become the initial values the next time you open "Step conversion settings". If you want to change based on the material, specify it on this screen each time.
Changing later
If the SOP is still in draft status, you can change the settings specified here later.
- Narration target, Mute video audio … Changing narration and Mute Video Audio settings
- Subtitle content … Editing subtitles
- Questions … Step-level question settings, Removing all questions (removing only questions from steps)
- AI check … Using AI check (double-check of submitted photos)
- Open with the step text pane collapsed … Hiding text (description) during playback
"Subtitle types to adopt" is a choice when creating the SOP. After creation, you can edit subtitle wording in the video editor, but if you want to bulk replace with the other type, create the SOP again from the same material.
